HomeMy WebLinkAboutMinutes_CVB_03.12.20104:11/2 E51".1848 GEORGETOWN TEXAS Convention & Visitors Bureau Board Meeting Minutes — March 12, 2010 Parks and Recreation Administration Building Present: Ty Gipson, Randy Lesseps, Taunya Vessels, Georgene Richaud Absent: Stephanie Blanck, Bob Villarreal, Tina Owen City Staff: Cari Miller, Tourism Manager Guest: Milton Van Dusen Call to Order Gipson called meeting to order at 11:38 a.m. Minutes & Board Action Minutes from February 12, 2010 were reviewed and no changes were made. MOTION was made and seconded (Lesseps[Vessels) to approve the February 12 minutes. Vote called to approve minutes (Gipson). Motion passed unanimously. Nomination & Election of Board Officer MOTION was made to nominate Taunya Vessels as Board Vice -Chair by Lesseps, Richaud, seconded. Motion carried. MOTION was made to nominate Stephanie Blanck as Board Secretary by Richaud, Vessels seconded. Motion carried. Presentation on Convention and Visitors Bureau Postponed until April meeting. Fury Basketball HOT Grant Application The Fury Basketball grant was presented requesting $2,000. Fund will be used for publicizing tournaments and hospitality rooms for coaches and officials. MOTION was made and seconded (Lesseps/Richaud) to approve the $2,000 HOT grant with the stipulation that all funds be spent in the City of Georgetown. Motion passed unanimously. Jack Frost Invitational Basketball Tournament HOT Grant Follow-up Report Milton Van Dusen distributed the follow-up report from the Jack Frost Invitational Basketball Tournament. Grants funds were used for advertising and banners, hospitality room and promotion of City. 85% of attendance was from outside Georgetown and approximately 70% stayed two nights in Georgetown hotels. The tournament program included a CVB ad and a welcome letter from Mayor. At future tournaments Van Dusen will work with coaches to encourage parents to complete surveys and will send information to Gipson to distribute to local businesses. Board Meeting Time, Day, and Location Postponed until April meeting. Adding an Additional Georgetown Event Postponed until April meeting. Updates to H.O.T. Grant Application and Follow-up Report Richaud will make suggested updates and report back to the Board. 2010 Board Goals & Responsibilities Postponed until April meeting. Advertising and Media Exposure and Dates of Upcoming Events Miller gave an update an the following advertising/media exposure and dates to remember: Advertising • Updated Visitor Guide and distributed to Georgetown merchants, restaurants, and hotels Red Poppy Festival • Obtained $19,425 in sponsorship commitments • Accepted 125 applications from Arts & Crafts Vendors • Developed new parade route to avoid staging in residential area Upcoming Events • 2' Saturday Market Days & Concerts — March 13 • Red Poppy Festival Pageant — March 27 • City -Wide Garage and Sidewalk Sale — March 27 • Native Tradition Powwow — Southwestern University, i lam —11 pm — March 27 • Harvey at the Palace Theatre, showing March 26 through April 18 • First Friday — April 2 • Reception for Red Poppy Artist Mark Coyle, Williamson Museum, 6 pm -- 8 pm — April 2 MOTION was made and seconded (Lesseps/Vessels) to adjourn.
