Regular Meeting
1. Call to Order
The meeting was called to order by John Hesser at 7:00 pm.
2. Roll Call
Robert Johnson, Daniel Dance, Keith Fruge, Jean Houck, Katherine Kainer, John Hesser,

3. Discussion and possible action on Cemetery Project and Subcommittee
John Hesser stated the Parks and Recreation Board will be looking for volunteers to
participate in a subcommittee for the cemetery project. He stated he would like to use
people in the community as consultants to gather more information and to get a feel for
the interest level from cemetery and funeral businesses. He would like to get
information from the Community Foundation to get some direction on a 501c3. Robert
Johnson spoke with the Our Lady of the Rosary cemetery and will be meeting with her
in the near future. John Hesser stated he has some direction from an architect for
building a columbarium. Robert Johnson stated they have researched some other cities
that have incorporated into a 501c3. John Hesser stated that by the January meeting
there will be some direction of this process.
4. Discussion and possible action on appointing a member of the Parks and Recreation
Board to serve on the review committee for the selection of Landscape Architects to
enter into Master Service Agreements with the City.
Kimberly Garrett stated the Parks and Recreation Department will solicit Requests for
Qualifications for Landscape Architects to perform various park projects. This process
will allow the City to prequalify Landscape Architecture firms for park projects. This
will help with smaller projects throughout the parks. City Council has approved this
process. Kimberly Garrett would like to get a representative from the Parks and
Recreation Board to review the Requests for Qualifications. A member would be
expected to look through the qualifications and be part of the process scoring the
Landscape Architects. This process does not guarantee them jobs but it puts them on an
approved list as a vendor. Keith Fruge and Katherine Kainer would be interested in
serving on the review committee. Kimberly Garrett stated these would be landscape
architect firms they would be reviewing. Kimberly Garrett explained the process and
how other departments use this method.
Motion made by Jean Houck, second by Keith Fruge for Katherine Kainer and Keith
Fruge to be appointed to serve on the review committee for the selection of
Landscape Architects to enter into Master Service Agreements with the City.
Approved 7 - 0
5. Discussion and possible action on approving the proposed Parks and Recreation
Summer Camp Fee Schedule for 2013
Kimberly Garrett presented the fee schedule for the Spring Break and Summer Camp
Fee Schedule for 2013.
Motion made by Robert Johnson, second by Daniel Dance to adopt the Spring Break
and Summer Camp Fee Schedule for 2013. Approved 7 — 0
6. Discussion and possible direction to staff on the "State of the Pool Report"
There was discussion on formulating a proactive plan for the pools and will be
discussed at a future meeting.
7. Update on Boards and Commission process for upcoming 2012/2013 year
Kimberly Garrett stated the City of Georgetown is accepting applications for the City's
Boards and Commissions. The deadline to apply/reapply is Friday, January 11, 2013. If
you are completing your first full term, you are eligible to reapply. You must reapply in
order to be appointment to a second term.
8. Update from the Friends of Georgetown Parks and Recreation
• Jean Houck presented the new Friends of Georgetown Parks and Recreation
t-shirt donated by Georgetown T-Shirt Company.
• There is a grant from the Lola Wright Foundation pending for a second portable
pool lift and should receive notification this month.
• The Friends of Georgetown Parks and Recreation are focusing on membership
and strategic planning.
• The Biggest Loser Challenge is a program offered through the Recreation
Center. It is for people who are 20% overweight who commit to the 8 week
program and the Friends will offer financial assistance. This will be part of their
vision to promote Recreation Center programs and wellness in the community.
• Georgetown Swims is continuing.
• Through Make a Splash the Friends are eligible to apply for a $5,000 grant. They
will apply once the application is available.
9. Discuss on December 13, 2012 Parks and Recreation meeting
Jean Houck offered to host the December 13, 2012 meeting.
10. Approve minutes from the October 11, 2012 meeting
Motion made by Keith Fruge, second by Jean Houck to approve the minutes from the
October 11, 2012. Approved 7 - 0
11. Adjourn
Motion was ma e by Daniel Dance to adjourn the meeting. The meeting was
