HomeMy WebLinkAboutMinutes_ARTAB_09.16.2009Minutes of the Meeting of the Arts and Culture Board City of Georgetown, Texas Wednesday, September 16, 2009 Present: Charles Aguillon, Jane Paden, Penny Plueckhahn, Steve Proesel, Georgene Richaud Absent: Melanie Dunham, Mandy Solin Staff Present: Judy Fabry, Library Administrative Assistant, Eric Lashley, Library Director Others Present: Chris Dyer, Director, Williamson Museum A. Chair Charles Aguillon called the meeting to order at 3:06 p.m. B. Announcements of upcoming events • Charles showed the board members the Symphony Society's recent printed program in which a number of arts nonprofits had advertised. He said this was the kind of cross promotion and support among the arts organizations that he would like to see taking place in Georgetown. ® Chris Dyer said he was visiting the meeting as a representative of Taste of Georgetown, just to learn what arts -related events will be taking place the weekend of October 17-18, 2009 C. Citizens wishing to address the Board. None were present. D. Consideration and approval of minutes of last meeting Jane moved to accept the minutes as distributed and Georgene seconded the motion. It passed unanimously. E. Consideration of and possible action on 1. Report of Marketing Subcommittee - Charles Aguillon, Melanie Dunham, Mandy Solin Charles passed out copies of the draft of the print ad the subcommittee is proposing, which would appear in the Williamson County Sun and the Austin Chronicle as half -page ads Also, the image will be used, if possible, for a rack card —the ad image would be on one side and a more extensive list of events taking place in October would be on the other side. Everyone expressed approval of the draft with the exception of adding the web addresses of Visit Georgetown and the landing page yet to be developed for Arts Month in Georgetown. Judy said she wasn't sure the web address of the landing page would be available in time for printing posters and rack cards. Someone suggested color would be more eye-catching than black and white and all agreed that it would be worth an extra charge to get the ads in color in both publications. Charles said he would also investigate the Chronicle's online advertising. Regarding rack cards, Penny said that Lynette Wallace knows of a person who will deliver cards to local outlets such as hotels for only $200. Charles said he would check with Lynette. 2. Report on San Gabriel Park sculpture display project - Charles Aguillon Charles reported that Texas Crushed Stone was unable to donate the type of stone that the Board is looking for. Georgene said that she is prepared to visit quarries during the next week to get bids on stone quantities. There was some discussion about how much stone to buy and where it would be stored. Judy said that it was her understanding that the Parks staff will move the stones only once —from the point of delivery to their permanent positions in the Park —which would seem to preclude buying "extra' pieces of stone for future use. Penny said she would go with Georgene to the quarries. If the price of the stone exceeds $1,000 it will be necessary to have three bids. There also was discussion about the metal plates that need to be attached to the stone bases. Penny and Georgene said they would talk with Dan Pogue about this and try to get names of suppliers. Once the type and source of metal material is known, Judy and Eric can approach the City facilities people to see whether they would be able to attach the metal to the limestone. It also remains to be determined who will spot weld the sculpture to the plates. Finally, Penny said that she had received no inquiries from sculptors about displaying their work. She thinks the Board needs to be more proactive about recruiting sculptors and she will ask the Pogues for email addresses of the sculptors who currently have work on display in Marble Falls. Georgene inquired about whether the application to display work could be available online and Judy said it could be but she needs the form. Charles and Georgene agreed to work out the formatting issues before sending the application to Judy. Everyone agreed that anyone who previously had displayed their piece in Marble Falls would not have to go through the jury process to display in Georgetown 3. Update on Art in the Square - Charles Aguillon Charles said that everything seems to be in order for the event. He wonderedwhat the Board wants to call the tent they will sponsor as a place for local arts organizations to advertise their activities. "City of Georgetown Arts and Culture" was agreed upon. Nick Ramos is working on the banner design and is trying to get Ideal Signs to donate it. 4. Summit of the Arts - Charles Aguillon The Summit will be on October 22 in the library classroom. Charles will write the email tomorrow that will go to all of the organizations that attended the Summit last year. He will tell them about the Arts Month Proclamation on September 22, the Arts and Culture tent availability on October 17 & 18, and the Arts Summit on October 22, at which the grant program will be explained. 5. Presentation to Council 9/22/09 - Charles Aguillon Charles passed out draft copies of the proposed presentation. The Board spent the remainder of the meeting revising the PowerPoint presentation.
