He also reviewed the parliamentary procedures by which the Board operates. 2 Election of vice chair and secretary for 2010 - Charles Aguillon. Charles called for nominations or volunteers for the office of vice chair Mandy Solin volunteered, no one else wished to be considered for the office, and her election was approved by acclamation. Steve Proesel volunteered to be secretary, no one else wished to be considered for the office, and his election was approved by acclamation. 3. Report on sculpture pad project and selection of a date for grand opening - Dar Richardson. Dar announced that he has contracts with nine sculptors for fourteen sculptures that will be placed in San Gabriel Park. Most will be put in place later this week but two will not arrive until around April 1. The artists will be given $100 each to help defray the costs of moving their sculptures. Dar spoke briefly about the cooperation that he hopes will develop among Georgetown, Marble Falls, the Lady Bird Johnson Wildflower Center, and Gilbert Barrera in. San Antonio to create a permanent Central Texas sculpture trail, with pieces rotating among these locations. Dar said that work still needs to be done to acquire markers for each of the sculptures in the park. He will look into getting these made. The group agreed to have a ribbon -cutting for the sculpture exhibit on Friday, April 23, at 5:00 p.m. Dar made a motion to call the exhibit the Georgetown Sculpture Tour, which was seconded by Kaki and passed unanimously. Eric pointed out that it will be important to get some kind of informational material printed about the Sculpture Tour that can be available at the Vistors Center. 4. Cooperative sculpture project with Southwestern University/Ben Pierce/3M grant - Eric Lashley Eric reported that he had been approached by Ben Pierce, professor of biology at Southwestern University, about the possibility of money being available for art to place along the San Gabriel River. Dr. Pierce has a grant from 3M that has some money left that must be spent by August 2010. He said the main caveat is that students must be involved in selecting the art. The very brief time period remaining before students leave campus for the summer makes it likely that the grant will have to be used to purchase an existing work. Dar said that several of the pieces that are being placed in the park exhibit might be candidates for this project. Dar, Mandy, and Charles will serve on the art selection panel. Mandy said she would talk with Mary Visser, professor of art at Southwestern, about involving students in coming years with the design and creation of more pedestals for sculpture in the park. 5. Report on grant process - Tudy Fabry. Judy reported that the grant checks have gone out and that two of the grantees have contacted her to get the City logo to use in their promotional materials. 6. Report on the membership requirements of the Ordinance establishing the Arts and Culture Board—Tudy Fabry. Judy said she had heard from the City Secretary that it will not be a. problem for the Board to operate in the coming year without a representative of Southwestern among its members. 7. Changes in day andtime of Arts and. Culture Board meetings - Charles Aguillon. After a brief discussion among the members of the Board, they mutually agreed to change the regular meeting day to the third Tuesday of each month and the meeting time to 4:30 p.m. The next meeting will be on Tuesday, April 20. Judy said she would check into the process of amending the bylaws to reflect this change. 8. Application for Cultural District Designation - Charles Aguillon. Charles explained briefly about the designation offered by the Texas Commission on the Arts, the complexity of the application and the need to have a City employee to lead the project. He asked Judy to send the materials about this topic that had been distributed during the January meeting to the new members of the Board. 9. Budget and grants in the next fiscal year - Eric Lashley. Eric said that the budget process started at a Council workshop on March 9, but no priorities were established at that time Instead, Council asked staff to come back with priorities that they could rank. Charles said he had spoken with Paul Brandenburg about the budget process and that he and Eric will be meeting with Mr Brandenburg on March 22 to discuss it further Respectfully submitted, esel, Secretary Char es Aguillon, Chair 0 Arts and Culture Date Description Amount Balance 10/01 /2008 1 88,718.00 Board Expenses, FY 08-09, 09-10 Detail _ 10/07/2008 Jim Wear 400.00 88,318.00 Jim Wear consultatio_n 10/23/2008 City of Gtwn 25.00 88,293.00 building permit for sculpture pedestal 11/30/2008 Red Poppy Cafd 100.07 88,192. 33 lunch for Jim Wear workshop 11/30/2008 Solutions 22.94 88,169.99 anchoring material for acrylic sculpture 12/12/08 Yours for Keeps 54.24 88,115. 55 donor plates for artwork 12/31/08 Walker Display 141.75 87,974.00 additional hanging system equipment (library) 01/31/09 Wildfire 35.35 87,938.65 lunch with Juli Fellows (Eric & Ruth 02/12/09 Juli Fellows 420.00 87,518.65 consulting fee 02/11/09 Red Poppy Caf6 15.00 87,503.65 farewell to Addie coffee & cookies 03/02/09 GTX Awards 12.50 87,491.15 name badges Charles & Melanie 06/10/09 GTX Awards 6.25 87,484.90 83,484.90 name badge for Mandy 08/18/09 ArtWorks 4000.00 grant for Art Month banners 08/26/09 GTX Awards 358.06 83,126.84 plaque for Mules sculpture 10/01/09 Roberts Printing 173.25 82,953.59 October Arts Month postcard printing 10/20/09 Ideal Signs 54.00 82,899.59 A&C banner for tent at Art in the Square 11/05/09 Williams Co Sun 3066.40 79,833.19 1/2 page ads (4) for Art Month 10/7,10/11, 10/ 44, 10/18 11/05/09 Austin Chronicle 1241.00 78,592.19 1/4 page ad in Chronicle for Art Month 10/16 11/13/09 Downtown Gtwn 100.00 78,492.19 rent for two booths at Christmas Stroll, 12/5/09 11/19/09 Espinoza Stone 975.00 77,517.19 limestone blocks for sculpture pads in San Gabriel Park (PO 3000784) 01/19/2010 Monument CafB 50.60 77,466.59 lunch/Aguillon, Lashley, Miller, Hargrove to discuss Cultural District application 02/69/ 0010 Festival of the Arts 25480.00 15680.00 51,986.59 sponsorship grant through Oct 31, 2010 Gtwn Symph Soc 36,306.59 sponsorship grant through Oct 31, 2010 Gtwn Art Works 1,282.00 35,024.59 sponsorship grant through Oct 31, 2010 FOGSS 2250,00 32,774.59 sponsorship grant through Oct 31, 2010 14,774.59 sponsorship grant through Oct 31, 2010 10,274.59 sponsorship grant through Oct 31, 2010 Palace Theatre 18000.00 Williamson Museum 4500.00 COUNTY OF WILLIAMSON § FUNDING AGREEMENT • § BETWEEN THE § CITY OF GEORGETOWN AND § GEORGETOWN FESTIVAL OF THE ARTS STATE OF TEXAS § This is an agreement between the City of Georgetown, a Texas Home Rule Municipal City (hereinafter "City"), and Georgetown Festival of the Arts, (hereinafter referred to as "Grantee"), for the City to provide funding for services received by the citizens of Georgetown, Texas, from Grantee for the period from February 1, 2010 through October 31, 2010. For many years my work at the big church in Dallas helped to equip me for a greater understanding in Music and the Other Arts. My skills, appreciation and understanding might equip me to help in this area, should I be given the opportunity. In addition, it might be helpful to know that I am an avid reacher and exceedingly proud of our Georgetown Public Library. It would be my privilege to play a role in helping to expand its use and appreciation within our community. Respcci I ul ly submitted. Philip .`13r r • • 0 Philip E. If you have problems opening any of the documents, please let me know and I'll send you paper copies. We hope very much that all of you will attend this meeting because we want to say a proper farewell to those of you who weren't reappointed, but more important, we really need your experienced input for the decisions that need to be made at this meeting. • Dar is moving ahead quickly with the sculpture project and we need to finalize the contract with the sculptors at this meeting. • Also, Georgene has done some good work at revising the grant application and I'd like input from all of you regarding the changes she's made. I don't have her final version today, and I need to post today, so I'll send it to you when I get it. • We also need a decision about what the grantees' final report will include. • The issue of whether to retain the designated positions on the Board for Southwestern and GISD now must be addressed.
