CVB Board Meeting Minutes
December 3, 2003
Members present: Kent Huntsman, Posey Duncan, Carolyn Martin, Jennifer
Stephens, Ellen Weimer, John Wiley, Scherry Chapman, Bill
Lipscomb, Mike Martin, Jim Timmons, Martha Lawlor
Members absent: none
Staff present: Shannon Baldridge
Guest present: Shelly Hargrove
Kent Huntsman called meeting to order @ 6:34pm.
Motion made by John Wiley to approve November minutes. Seconded by Posey Duncan.
No discussion. Approved.
No Cooperative advertising requests.
Discussion regarding cooperative advertising application process:
~ can we hand out a ‘flow chart’ with cooperative advertising application?
~ can we send out a copy of flow chart to past grant requests so they are aware of
process?
~ is 45-day minimum to low?
Bill Lipscomb made motion to approve flow chart. Mike Martin seconded motion.
Discussion: Should we increase time line to 60 or 90 days? Bill Lipscomb made
amended motion to approve flow chart with change of 45 days to 90 days. Further
discussion of application: page 1: application process item number one – change to 90
days. Page 2: add email address to organization information required. Page 3: Remove
‘Marketing Plan’ line item and change ‘Advertising Plan’ to read:
‘Advertising/Marketing Plan’ and swap order of ‘schedule’ and ‘event’ line items.
Motion made by Carolyn Martin to approve with those changes. Motion seconded by
Martha Lawlor. Discussion~none. Motion approved.
Quote by Kent Huntsman: “Never confuse activities with accomplishments.” With that
in mind:
1. Why Georgetown?
2. What is Georgetown’s tourism potential?
3. How do we enhance this?
Discussion: Why…..It’s charm, It’s groups (sports, weddings, reunions, events including
Southwestern University’s Homecoming, Parent’s weekend, Graduation, etc.), It’s

corporate business, It’s attractions (Innerspace Cavern), It’s romantic getaways, visitors
from It’s local families……. ‘IT’ being Georgetown.
Discussion continues about the possibility of talking to Gary Nelon, Paul Brandenburg,
Mel Penland (Chamber), the DGA, Main Street, Jack Noble, Jake Schrum, etc….give
them the opportunity to get input on them regarding the Why, What & How.
Staff Report:
Main Street Update: Renee recognized as the National Main Street Hero at Main Street
Award Luncheon. Georgetown recognized as a National Main Street Community for
2004.
Tourism Department staff: Shelly Hargrove hired as new Tourism Director & Main
Street Manager. Shelly starts 12/08/03 and Shannon’s last acting day of reign is
12/19/03.
Old Time Fiddlin’ fair: monthly meetings to begin in December.
Red Poppy Festival: Headliner is Bellamy Brothers; poster painting selected; visitor
center sold out of poppies (now reordered) from Poppy Yard of the Year contest
announcement in Sun.
Website: On hold.
Brand Development: process to be headed by Main Street Advisory board.
Christmas Stroll: 12/06/03 vendor’s all day, pet pageant @ 2:30, parade @ 4:30.
Motion to adjourn meeting @ 8:15pm made by Posey Duncan and seconded by Jennifer
Stephens. Approved.
