Convention and Visitors Bureau Board Members: Georgene Richaud, Stephanie Blanck, Nancy Benold, Shelly Patel, Steven Harris, Don McCullough Convention and Visitors Bureau Board meets every second Friday of the month unless otherwise specified. Call to Order at 08:30 AM 1.Welcome/Call to order 2.Discussion and possible action regarding approval of the April 12, 2013 minutes 3.Discussion and possible action regarding letter of support for Cultural District Designation from Texas Commission on the Arts – Judy Fabry 4.Discussion and possible action regarding CVB Goals & Objectives 5.Discussion and possible action regarding HOT grant application process 6.Presentation regarding Georgetown’s ranking among 130 Texas Cities by population and beds sold – Don McCullough 7.Discussion and possible action regarding communication between Georgetown tourism partners 8.Set agenda and date for June meeting 9.Discussion and possible action regarding advertising and media exposure and dates of upcoming events 10.Adjourn Certificate of Posting I, Jessica Brettle, City Secretary for the City of Georgetown, Texas, do hereby certify that this Notice of Meeting was posted at City Hall, 113 E. 8th Street, a place readily accessible to the general public at all times, on the _____ day of _________________, 2013, at __________, and remained so posted for at least 72 continuous hours preceding the scheduled time of said meeting. __________________________________ Jessica Brettle, City Secretary EST. 1848 FOR GE TOWN TEXAS Georgetown Convention and Visitors Bureau Board May 10, 2013 Minutes Georgetown Visitor's Center.Conference Room Present: Nancy Benold, Stephanie Blanck, Steven Harris, Cari Miller, Don McCullough, Shelly Patel, Georgene Richaud, and Bob Villarreal Absent: None Guests: Judy Fabry Welcome /Call to order by: Georgene Richaud, chair, at 8:35 AM Discussion and possible action: Discussion and possible action regarding approval of the April 12, 2013 minutes: Don Mc.. moved that the minutes of the April 12, 2013 meeting be approved as written, Bob V. seconded; passed Discussion and possible action regarding letter of support for Cultural District Designation from Texas Commission on the Arts — Judy Fabry Judy came to the meeting representing the Arts and Culture Board asking for a letter of support to the Tx Commission of the Arts for a cultural designation of downtown Georgetown. The Application is due June 1, 2013 and letters are support are part of the application - they are talking to all stakeholders. At this time - it's just an HONOR - there are only 8 cultural districts in the state. Alpine and Clifton are 2 small towns with this designation and they credit this designation to their comeback. After further discussion, Stephanie B. moves a letter of support be written, Nancy B. second, Approved Discussion and possible action regarding CVB Goals & Objectives: Goal planning sheets from the Strategic Plan Manual were reviewed: o Planning /developing date /time /procedures for regular meetings with key stakeholders o Cari has asked the City Council for the money to do the marketing study by putting it in her budget that was just submitted to the Council. The money will not be available until Oct. 1 if approved. RFP's can be sought at an earlier date 4/12/13 - will answer ' how people chose' where they go for recreation as well as business o Advertising Plan discussed by Cari and she will bring a formal document at a later date. o Cari will set a date /time for us to visit two nearby communities of comparable size (New Braunfels and San Marcos) to determine "Visitor Center" model as well as Convention and Visitor's Bureau of the future. o Cari will schedule the CVB to visit some of the Signature Destinations of GT Discussion and possible action regarding HOT grant application process: Cari handed out a timeline process for discussion. Adding both fall and spring deadlines in the PSA revisions were suggested and will be made prior to submission to the media. Presentation regarding Georgetown's ranking among 130 Texas Cities by population and beds sold — Don McCullough Don did a comprehensive study of Texas Cities and their HOT tax revenue and handed the Board several documents to review. Georgetown's ranking among 130 Tx cities was 65. Upon review of a Texas Map - radius of 50,100, 150 miles from GT; visiting San Marcos and New Braunfels was suggested. Further discussion included: We are limited by a lack of hotel rooms in order to entice conferences and conventions - regardless of what the Visitor's Bureau does to advertise and entice, we appear to be viewed a place to "pass through" as opposed to "pull over and stay ". The materials handed out - great benchmark of where we were at the end of 2012 - this will allow us to measure in the future. We are in a chicken and egg situation currently in supply and demand, weekday vs. weekend, etc. Cari is scheduling the CVB to visit Inner Space, the trails, Southwestern, the courthouse tour, the lake, etc. Discussion and possible action regarding communication between Georgetown and Tourism Partners: Brainstorm who should be included as we move forward: City Boards include Mainstreet, Arts and Culture, and Parks and Recreation. Other Boards include the Heritage Society, Williamson Museum, Downtown Georgetown Association and the Chamber of Commerce. Those that are associated with the city - the managers meet once per month; otherwise the communication is somewhat informal. After further discussion, it was recommended that every group needs to have a representative to come to the table to update each other in moving forward with goals and objectives - support for respective objectives. Cari will work on this concept. Set agenda for June meeting. Due to holidays and other commitments, as of this writing the rest of 2013 Board Meetings will be June 15 (PM to visit Inner Space), July 12, August 2, September 6, October 4, November 1, and December 6. 4/12/13 Discussion and possible action regarding advertising and media exposure and dates of upcoming events: Refer to Cari's report for details.
