Members Present: Stephanie Blanck, Ty Gipson, Randy Lesseps, Tina Owen, Georgene Richaud Members Absent: Taunya Vessels and Bob Villarreal Staff Present: Cari Miller Minutes Regular Meeting Welcome/Call to order by: Ty Gipson at 8:39 am. Guests: Steve Faught , Nick Ramos, Mickie Ross, and David Gaume Welcome/Call to order by: Ty Gipson at 8:39 am. Discussion and possible action: The minutes of the November 12, 2010 were reviewed. No corrections were made. Georgene R. moved and Randy L. seconded that the minutes be accepted as written, approved by unanimous vote. ·Discussion and possible action regarding HOT grant application – David Gaume, GHS Soccer Booster Club President: (see handout) Mr. Gaume explained the tournament and its purpose. There is the possibility of 850 heads in beds for the boy’s tournament and 700 for the girl’s tournament – two adjacent weekends in January. Each team will be occupying 8-10 rooms plus parents and families that attend. It was asked that the Booster Club gather data in the future regarding exactly how many rooms in Georgetown will be occupied, the hotels that will be used, etc. Cari Miller scheduled a date with Mr. Gaume regarding this. Randy L. moved and Georgene seconded that we grant the $2500 to the Soccer Booster Club. ·HOT Grant follow-up Report- Mickie Ross, Williamson Museum: Ms. Ross was discussing the Up the Chisholm Trail event that was held last September. She brought copies of articles, survey results, and copies of receipts. They had expected more Chuck wagons than attended which threw off the budget. They are only asking for $1400 in reimbursement. 40% of those surveyed indicated that they were from outside Georgetown. The event will undergo some changes including moving to the 3 rd week in October, no longer have a cook-off, but will pay for the wagons to attend, and there will be a name change. ·Update on the Visitor’s Guide and Website Resign – Cari Miller: See handout ·Discussion and possible action regarding advertising and media exposure and dates of upcoming events – Cari Miller: See handout Nick Ramos showed the Board mockup logos for the Hospitality or Customer Service awards. One design clearly stood out as a favorite , he will make the modifications, send to Cari M. who will then email it to the Board for review. Everyone was again asked to submit ideas for the actual name of the award. Cari M. reviewed her duties and obligations over the past month (handout). ·Future Agenda items: (1)The best way to: (a)Gather grant requests (b)Rubric for grading requests (c)Criteria for grant submission, etc. (2)Schedule a visit for the CVB to the Temple Event Center ·Adjournment: Georgene R. moved that the meeting be adjourned at 10:35 AM, seconded by Randy L., approved. Taunya V. moved and Georgene R. seconded that the minutes be accepted as written, approved by unanimous vote. ·Discussion and possible action regarding HOT grant application – Jack Frost Thanksgiving Tournament, Milton Van Dusen: The grant application was handed out to the Board asking for $2,000 for the basketball tournament. All Georgetown hotels will be used. After many questions asked of Mr. Van Dusen and much discussion, Taunya V. moved and Bob V. seconded that the grant be approved. Motion passed. ·Update from Arts & Culture Center Study Subcommittee – Eric Lashley: Eric has been participating on this subcommittee which has been focusing on the repurposing of the old library into an art center. There are many other old buildings downtown to be considered for many other functions if the downtown will become viable and vibrant. There are two camps on the repurposing: revenue vs. quality of life. Recommendations center around 5 concepts: flexible space, renting studio space, meeting space, gallery space, and a children's art academy/art classes for adults. All subgroups are advocating for their own unique needs and interests as opposed to the greater good of the community. One common vision will be needed in order to make any ideas come to fruition, a marketing study will assist with this. Georgene R. will start attending these meetings. They are held on the 4th Tuesday of the month at 4:30 PM at the Library. ·Report regarding city owned conference centers in comparable sized cities: Prior to the building of the Convention Center in New Braunfels, a feasibility study was conducted. Weddings and meetings keep the facility occupied most of the time. It is staffed by 8 city employees. ·Discussion and possible action on Exemplary Service Certificates: Taunya V. presented the Board with the wording and criteria for the recognition. Discussion. It was agreed that a web-based nomination system be used, there will need to be a massive marketing campaign to get the word out once it is launched, only those meeting the full criteria of exemplary service will be given a pin/certificate (to be determined), and there will be one overall award given during Tourism Week. Nick Ramos will be asked to do a mock up of the award. ·Report regarding Main Street, Arts & Culture and CVB Joint Subcommittee – Randy Lessups & Georgene Richaud: There was a meeting last Wednesday and the discussion was centered around the common threads to promote tourism. One common theme is needed. The next meeting date and time has not been determined. ·Report regarding Local Lodgers Group Meeting held September 29, 2010 – Tina Owen It was held at the Holiday Inn Express, there were 4 hotel representatives as well as members of this board. Mark Thomas was a guest speaker. November 17, 2010 will be the next meeting which will be a lunch meeting. The location is yet to be determined. ·Discussion and possible action regarding advertising and media exposure and dates of upcoming events: o The signs on University will be fixed by TxDOT pointing the way to downtown. o Cari Miller distributed her monthly review report. o An RFQ was sent out for proposals to redo the website and the 2011 Visitor's Guide. Cari asked for volunteers to assist in rating the proposals. o Randy Morrow and Paul Brandenberg will be in attendance at the next CVB Board meeting. ·Taunya V. moved and Bob V. seconded that the meeting by adjourned at 10:25 AM. Randy L. moved and Georgene R. seconded that the minutes be accepted as written, approved by unanimous vote. ·Visitor Center Volunteer overview regarding Georgetown visitors : Jerry Sensabaugh, a volunteer in the Visitor's Center, spoke to the Board and answered questions. They are in need of additional volunteers in the Center. Two main questions from visitors: Where is a good place to eat and what is there to do here? Discussion regarding signage on Highway 29 directing visitors to the Square. It was recommended that Paul Brandenberg and Randy Morrow be invited to a CVB meeting to discuss in more depth as well as what they see as the future direction of the Board. The high volume of general questions from Georgetown citizens regarding day to day problems that are fielded by phone or in person were a surprise to the Board. ·Report regarding city owned conference centers in comparable sized cities: Georgene continued to do additional research and brought handouts to view. Bastrop is building a new convention center and is city owned; Kerrville is still in discussion; New Braunfel's is open. After Board discussion, Georgene recommended Cari call both New Braunfels and Bastrop to get additional information. This Board feels it is essential to stress the importance of a city owned conference center in Georgetown and work collaboratively with other Boards to see this happens before Round Rock builds one and draws the revenue from that venture. Randy found the Sun City Ballroom does not keep details on who rents the facility but it is primarily weddings and family reunions. Ty was unable to obtain the information from the Chamber as yet. ·Discussion and possible action on Exemplary Service Certificates: Cari Miller had researched what other CVB Boards do to recognize exemplary service. Some have on-line nomination ability with a CVB making the final selection based upon the nominations. May is national tourism month which may be a good time to hold a celebration of exemplary service. Tina and Taunya volunteered to work with Cari on developing a service recognition program and determining the criteria. Ty will work on developing a logo. ·Report regarding Main Street, Arts and Culture and CVB Joint Subcommittee: No report as yet, the meeting will be held October 6, 2010 at 8:00 AM. Georgene and Randy will attend. ·Discussion and possible action regarding advertising and media exposure: Cari distributed her monthly report for consideration and discussion. After some discussion it was decided that when the CVB distributes grant checks, in order to enhance media exposure, photos should be taken and added to the website and/or Sun. The Local Lodgers group Meeting is set for Sept. 29, 2010 at 3:00 PM at the Holiday Inn Express. All CVB is invited to attend. Members Present: Stephanie Blanck, Ty Gipson, Randy Lesseps, Tina Owen, Georgene Richaud, Taunya Vessels, Bob Villarreal Members Absent: Staff Present: Cari Miller Minutes Regular Meeting Call to Order by : Ty Gipson at 8:34 AM at the Parks and Recreation Administration Building Minutes and Board Action : The minutes of the July 9, 2010 were reviewed. The corrected copy had been sent to the members however the copy in the Board Packet omitted Randy Lesseps as in attendance. Georgene R. moved and Taunya V. seconded the minutes be accepted with the noted revision. Motion passed. Old Business /Action Items : ·Discussion and possible action regarding board meeting time, day, and location : The meetings will remain the second Friday of the month at 8:30 AM for now. ·Discussion and possible action regarding appointing two CVB Board members to a sub-committee for meetings with Arts & Culture and Main Street board representatives: Randy Lesseps and Georgene Richaud will serve on the subcommittee which Charles Aguillon chairs. ·Report regarding Local Lodgers Group Meeting held July 28, 2010: Tina Owen reported that 3 hotels were in attendance. The meeting was very positive and collaborative. The next meeting will be September 29, 2010 at 3:00 PM at the new Holiday Inn Express. All members of CVB are invited to attend. The Bed and Breakfast businesses will be included in the notice for the next meeting. Mark Thomas will be the guest speaker. ·Report regarding city owned conference centers in comparable sized cities : Georgene R. will continue to research and will notify the CVB Board if there are sites we need to visit on-line or in person. If comparable city owned conference centers are found, the CVB office may need to do follow up questions by phone. ·Discussion and possible action on Exemplary Service Certificates : Taunya V. and Bob V. shared the discussion their subcommittee had on the “Friendly Service – Georgetown Style” Certificates. After much discussion, Cari M. will go through the archives and see if she can find the service certificates and information the city once used. Stephanie B. will develop a nomination form and send to CVB Board. All members will use this form over the next month and bring any nominations they have to the next meeting. At that time, revisions and discussion of the form can take place. ·Discussion and possible action regarding advertising and media exposure and dates of upcoming events : Cari M. reviewed her Director report. After some discussion, it was recommended that a Volunteer from the Visitor’s Center attend the next meeting. The CVB Board would like to hear from them as to feedback about who come into the Center and why, as well as ask them direct questions to get a better feel for who is coming to Georgetown. o Email blasts on Monday’s regarding events at hotels, restaurants on a weekly basis. The DGA and City already have e-mail alerts, possibly coordinate with the other departments and consolidate into one email alert. o Website Discussion: The Visitor’s website is too busy and overwhelming. CVB will go out for bids to hire an Ad Agency to help develop a marketing campaign as well as what the Visitor’s Guide will look like. o An APP for the iPhone is being developed New Business: ·Pep Rallies on the Square: Discussion pertaining to that Home Town feel and bringing the Pep Rallies back to the Square at least a few times per year. This would increase foot traffic downtown as well as instill a sense of community. The bulk of contracts for room rental appear to be weddings on the weekends. During the week, out of area businesses rent the rooms for training and meetings. The town Square is a big draw. Ty will bring a written report to the August meeting. o Georgene R. referred to the written library report. The meeting spaces are constantly booked, but not always for a fee. o Randy L. will contact the officials at Sun City and provide a written report at the August meeting. ·Exemplary Service Certificates – No new information – discussion only. Tina O., Taunya V. and Ty G. will meet as a subcommittee to discuss the purpose, slogan, criteria, recognition procedures, etc. They will report back to the full committee in August. New Business: Joint Meeting of Multiple Boards , June 24, 2010 (minutes were distributed): Discussion. Consensus from all who attended is that it was a good first step but there needs to be additional meetings. Georgetown is still very fragmented as opposed to Round Rock which has one tag, one unified mission. Cari Miller will get together with the chairs again and discuss the possibility of one common vision/problem statement. Advertising, Media Exposure: Discussion – What can CVB do to promote Georgetown? This is very complex since each subgroup in Georgetown has a different vision. What makes Georgetown a destination location for business meetings, vacations, etc? Everyone was encouraged to look at the Fredericksburg, Tx. Website. CVB feels it is in our best interest to hire a company who can assist with defining the identity of Georgetown – slogan and marketing. Cari Miller will meet with the other chairs and discuss a joint initiative and possible joint funding for it. She will report back at the August meeting. By the end of December, there should be a short list of goals we are working toward. Presentations: None Grant Applications : None Tourism Coordinator Report : Cari Miller distributed and the CVB Board discussed her June 2010 written report (attached). She has scheduled an hotelier luncheon in late July and has invited members of the Board to attend. The purpose is to explain to the Hotel Owners/Managers what the CVB does and get their input in how they think the monies should be spent. She is hoping they will assist then in data accumulation such as where the clients are coming from , purpose of the visit , etc. Discussion Items : There are some conflicts with the time of day the CVB is meeting. Everyone is to come to the August meeting with day of the week/time of day suggestions. A decision will be made at that time. Cari Miller has a conflict with the date of the next meeting. It was agreed upon by all to move the August meeting to August 20, 2010 at 8:30 AM. Old Business : ·Report regarding City owned Conference centers : Georgene Richaud went to New Braunfels to tour the facility downtown there. Others had a hard time finding city owned centers in a city comparable to Georgetown. This item will be placed again on the June agenda. The CVB Board will tour the old library – Cari Miller will send a time and date to everyone. ·Report on list of conference rooms at the Chamber and Library – Georgene Richaud had met with Suzette Davidson at the library. She will put together a list of who is renting the rooms and who they are turning down. At this time they might not have information regarding “purpose” of the rental. Ty Gipson met with Allison McKee of the Chamber who indicated weddings were the biggest rental at this time. She indicated they could double the bookings, but the Chamber Board does not want to “rush” anyone for set up. Ceremony, or clean up. Other rentals to a much smaller extent include construction firms and state organizations that need the meeting space. The cost is about $500 for a meeting and it staggers up for a wedding, depending on the size and time needed. This item will return to the agenda for June. ·Exemplary Service Certificates – After much discussion it was decided that the CVB Board needs to come up with an Action Plan: slogan, criteria, what are we going to give the nominee, how will they be recognized, how it will be carried out, etc. This will return to June agenda, possibly form a subcommittee. New Business/Action Items : Presentations: None Grant Applications : Mickie Ross, representing the Williamson County Museum, was present to answer questions regarding the HOT grant request for Up the Chisholm Trail Event in September. The event will expand the children’s events, add a children’s cook-off, and expand the Western Art display. There will be opportunities for area non-profits to display their literature. The website is already up and running and the Museum is already getting calls about the event. PSA opportunities were discussed. Georgene Richaud moved that the full grant request be funded by HOT, Bob Villarreal seconded, approved unanimously. They are still in the early stages of planning and will need volunteers. Old Business Discussed the Board Retreat in Bastrop – everyone feels they learned a great deal and would benefit from continued education throughout the year. New Business/ Action Items Research needed to attract more weekday visitors to Georgetown: o Work closer with the local hotels in order to determine where the clients are coming from, what are they coming for and where to advertise. Cari Miller discussed a PowerPoint on the Role and Value of Tourism in Georgetown and will make contact with all the hotels to get their buy-in. o Each Board member will research a comparable size community anywhere in Texas that has a city owned conference center. Ask such questions as who is in charge of the center, how is the revenue generated, how often is it rented, by whom, etc. o The Chamber and the Library all have conference rooms. Ty Gipson will obtain a list from the Chamber and Georgene Richaud will obtain a list from the library - who has rented the facility and for what purpose? o Georgetown needs to establish ONE Identity to use in publicity in attracting week visitors. Jack Frost Invitational Basketball Tournament HOT Grant Follow-up Report Milton Van Dusen distributed the follow-up report from the Jack Frost Invitational Basketball Tournament. Grants funds were used for advertising and banners, hospitality room and promotion of City. 85% of attendance was from outside Georgetown and approximately 70% stayed two nights in Georgetown hotels. The tournament program included a CVB ad and a welcome letter from Mayor. At future tournaments Van Dusen will work with coaches to encourage parents to complete surveys and will send information to Gipson to distribute to local businesses.
