·Cyclocross Project 2015 Hotel Occupancy Tax Grant Follow -up Report -
Rolando Roman
Mr. Roman presented several documents regarding the use of the grant monies
as well as hotel occupancy during the event. A video presentation was also
made. Next year he hopes to offer incentives such as gift cards and discount
coupons to the participants in order to obtain additional information as well as
promote more local businesses.
·Discussion and possible action regarding developing a CVB Goals and
Objectives – Cari Miller
January 11th will be a longer meeting with Theresa Gonzales who will facilitate
the meeting. Our outcomes will be presented to City Council in March.

The revised grading rubric was passed out, discussed, approved as written.

The grading rubric was distributed which began a lengthy discussion on
recommended changes/additions/deletions. The Revisions will be voted on at the
next CVB meeting.
·Discussion and possible action regarding developing a CVB Strategic Plan –
Cari Miller
After much discussion, it was noted that “strategic plan” was not quite accurate-
but more a development of annual goals and objectives . Theresa Hersch will
facilitate this discussion at a future meeting. It was recommended that at some
point, the CVB collaborate on specific goals and objectives with other
board/committees in order to promote Georgetown and the Square.
·Report from Local Lodgers Group meeting held on October 25th – Shelly Patel
Although attendance was low, it was a good meeting. Discussed a billboard for
I-35 representing all the hotels in town and several examples were shown. It was
recommended that the hotels provide quarterly reports of guests by zip code.

·Discussion and possible action regarding Georgetown Arts Center Update – Eric
Lashley, Library Director: Eric distributed a handout with several renderings of
the potential Art Center and asked for feedback. They are partnering with
Georgetown Art Works and trying to keep the integrity of the historical nature of
the building. Discussed the different designs and the splash pad. The CVB Board
was very complimentary of what was presented.
·Georgetown Grand Hotel Occupancy Tax Grant Follow-up Report – Andrew
Willis : He presented a written report and walked the CVB through the results.
They were very pleased with the event in Georgetown and the results for just the
first year. The problem with room blocks – 80% of the participants do not register
until the Monday prior to the event since they are racing in other locations prior
to that. Possibly in the future a “Grand Code” is used to obtain a special rate as
well as educate the hotels. 98% who completed the survey indicated that they
would return again. The race has been scheduled for Sept. 2013.
·Discussion and possible action regarding Hotel Occupancy Tax Grant
application process: The Board reviewed a handout with the application
changes. This Board wants to have consistent guidelines, due dates, etc.
·Discussion and possible action regarding attracting small conferences to
Georgetown – Don McCullough: Don had done some research through Price
Waterhouse and distributed his findings. This was a discussion only.
·Discussion and possible action regarding advertising and media exposure and
dates of upcoming events: Reviewed and discussed handout. Cari indicated she
had had a meeting with the UIL and emphasized the need to use hotels in
G’town. UIL indicated they are having a hard time finding rooms in Austin for
sporting events (State Volleyball is moving to Arlington) so they may be
contacting Georgetown and GISD if they decide to move other activities out of
Austin. The Visitor Center and Ads have entered several contests for award
consideration.

2011 survey’s were better organized and 2012 will be even better with a tighter plan
implemented by a Board member. Chisholm Trail Days will be the 3rd weekend of
October from here on. 2011 net was $14,000 (monies were split with all the
volunteer groups); 2012 is struggling with sponsorships. Five Chuck wagons are
expected for demonstration and Cowboy Breakfast. There will be a roped off
performance area with re-enactment groups. 2012 will see more publicity, better
signage, different bands, a focus on adult learning and new re-enactment events.
The budget is $18,000 (same as last year). There will be a Cattleman’s Ball the
evening before (October 19) at the Community Center for $50 per ticket. Georgene
R. moved that we give the Chisholm Trail event the $1575.00 requested, Stephanie
B. seconded, after further discussion, motion approved.

discussion came out of the necessity for consistency and pre-planning a budget for
the grants. A grading rubric for grants was reviewed and discussed; a follow up
survey must be enforced (such as the one LCRA did for the Grand); all decisions
must be made with the foundation of “heads in beds” but not be the sole
determination; develop a transition year during 2012-13 with full implementation
2013-14. It is recommended that September 14, 2012 and February 1, 2013 be
targeted grant submission dates for 2012-13 and grant applicants will be
encouraged to apply at one of the those two dates depending on when their event
will be held. Cari M. will contact all previous applicants. Tentative Dates: September
21 – Grant applicants will be given 15 minutes for presentation along with Q&A of
Board; September 28 – Special CVB Board meeting to discuss grant awards .

HOT Grant Application follow up report : Jeff Seiders , GHS Soccer Booster Club
GHS Soccer Boosters presented a handout with the hotel accommodations that
had been used for the State tournament as well as Hospitality Expenses . HOT
Grant had been used for that purpose. They had talked to the UIL this past week
and all the feedback was good regarding returning for 2013. They spoke with
various officials
during the tournament and they have agreed to talk to the Georgetown hotels due to all
the events in this area over the next few years . UIL is about to hire someone
who will be responsible for this and Jeff S . has agreed to follow up with him. All
Georgetown hotels
were full during that weekend . PJ Stephens will be Booster President next year.
Before leaving, they asked for CVB feedback . The CVB feels the GHS Soccer
Boosters have done all that is expected and provides meaningful reports and
follow up.
Discussion and possible action regarding Fury Basketball HOT Grant Application:
Milton Van Dusen: Hand out was provided with the HOT Grant Application. There will be
7 tournaments again (3 have already been held), 16 teams, 20 paid staff , rent,
facilities, equipment, travel expenses and registration are all included in the
budget for the year.
Discussion involved better hotel tracking and attaching something to the
registration that would capture this information as well as HOT monies being
used to promote NEW events into Georgetown to fill the hotels . Nancy B.
moved that $1500.00 be awarded to the Fury program, Georgene R. seconded;
after further discussion , passed.
Presentation regarding BMX Bike Race Track – Don McCullough
Don M. was joined by Joey Lake and Matt McCullough regarding BMX racing and

Soccer Booster Club
There will be 32 teams involved in the State Tournament. The funds are for the
hospitality room which includes the Press, TV, College Scouts, UIL, etc. The Booster club
has met with Pete Contrerra of UIL and selected menu’s, explained how the HOT grant
works and they agreed to add a link to the local hotels.
The Booster Club has requested $2500. Stephanie B. moved and Nancy B. seconded
that the monies be given to the Soccer Boosters, no further discussion, vote passed.

·Discussion and possible action regarding approval of the February 10, 2012 minutes: Bob
v. moved and Georgene R. seconded, minutes approved written.
·Board member introductions: Cari M. handed out new Board list with contact
information.
·HOT Grant follow up report – Jeff Seiders , Soccer Booster President: Mr. Seiders provided
the Board with a comprehensive handout regarding the 2 Governor’s Cup soccer events in
January which included what hotels were used and numbers of rooms per hotel. 53% of the
tournament attendees were from outside the Georgetown area. 50% of the teams stayed
in Georgetown hotels and filled 40% of the rooms. This is a vast improvement over previous
years and with the procedures now in place with links to local hotels; it is felt that this will
only increase over time. The Eagle Soccer program will be submitting a new grant request
for the Texas State Soccer Tournament Ap. 19-21, 2012. They will be visiting with UIL
officials this coming week to obtain approval on a variety of items and will discuss the
importance of the UIL to block rooms in Georgetown – they will also provide a list of said
hotels. The CVB agreed to meet at 8:30 AM on March 16th to consider the grant proposal.
·Discussion and possible action regarding the nomination and election of officers:
Stephanie B. moved that Georgene R. be elected Vice-Chair, seconded by Bob V. –
approved by vote . Bob V. moved that Stephanie B . be elected secretary , Georgene R.
seconded – approved by vote.
·Discussion and possible action regarding Board meeting time , day, and location: After
some discussion, it was agreed to maintain the 2nd Friday of the month, 8:30 AM, at the
Visitor’s Center. It is requested that all participants bring their calendars for each meeting
and the date for the subsequent meeting will be discussed and possibly changed if a
number of the Board cannot attend.
·Discussion and possible action regarding advertising and media exposure and dates of
upcoming events: Cari M. notified the Board that a Georgetown Visitor Center App was
soon coming; they have been doing a “Live Here” campaign; DIni Lewis was introduced as
the new Visitor Center Coordinator; March 20th at 7:30 AM Cari would be speaking to the
Georgetown Business Network at Roots Bistro – all are invited to attend; a national
magazine/website just named Georgetown the #1 place to retire in the US. Cari handed out
her February monthly review and lively discussion was generated regarding Poppy Fest and
the Criterium.
·Bob V. moved and Don M. seconded that the meeting be adjourned at 9:42 am, approved.
Next Meetings:
March 16, 2012 – 8:30 AM – Visitor’s Center – discuss HOT Grant
April 13, 2012 – 8:30 AM – Visitor Center – Scott Joslove of the Texas Hotel and Lodging

·Discussion and possible action regarding approval of the December 9, 2011 minutes:
Nancy B. moved and Georgene R. seconded, minutes approved as with a typographical
error corrected.
·Report from Arts and Culture Board concerning possible Arts Center: Eric Lashley, Library
Director: Eric provided the CVB with a handout of the timeline and expectations of using
the Old Fire House on Main and 9th as a Pilot to launch an Arts Center. There will be gallery
space rotating monthly and studio space for classes and workshops, and possible
receptions. In the first year, there will need to be assistance for renovations, but it is
anticipated that the revenue being brought in should cover all costs. October 6th is the
anticipated grand opening.
·Discussion and possible action regarding board support letter on possible Arts Center:
After much discussion, Randy L. moved that the CVB write a letter in support of the Pilot
Arts Center in the old Fire House, Nancy B. seconded, passed unanimously.
·Red Poppy Festival Update - Cari Miller : This is the 12th year and it has grown more
successful each year. March 1st is the first day to purchase tables for Saturday night with
Corey Morrow being the headliner. Sponsorship sales have been very successful already.
·Discussion and possible action regarding advertising and media exposure and dates of
upcoming events: Cari Miller gave all members a hard copy of the past month as well as
upcoming events. Discussion included the March 31st Chalk walk on the Square. All of March
will be geared to showcasing the art of school children in the shop windows . Each
elementary school has been paired with a shop on the Square. There will be a billboard
with the new logo Most Beautiful Town Square in Texas – between Jarrell and Georgetown.
Brief discussion on the UIL State Soccer Tournament and the Bike race coming in the spring.
Special thanks were given to Tina Owen and Randy Lesseps who have served 2 terms on the
CVB and this is their last meeting. They will be replaced by Don McCullough and Shelly Patel
(Quality Inn).
