State Soccer Tournament Hotel Occupancy Tax Grant Follow-up Report Presentation – P. J. Stevens, Jeff Harris, and Roger Kidwell The follow up report had been distributed electronically - the actual tournament went very well with many still viewing the repeat telecast. PJ went through the report - UIL controls the gate while the district controls the concession. He indicated that the HOT grant is crucial to maintain this tournament in GT - it's what keeps UIL coming. Unfortunately there are not enough double rooms with inside corridor in GT for the teams to stay here. Brief discussion regarding next year improvements to the tournament outreach. ·Texas Half Century Club Hotel Occupancy Tax Grant Follow-up Report Presentation – Keith Parker could not attend but the report had been submitted for review. This event was very successful and 45 teams came in and many hotel rooms in GT were booked. This tournament helps fill hotel rooms during the week ·Discussion regarding the impact of transit on tourism: General dialog regarding the impact of the Lone Star Rail Collaborative vote by the City Council and its impact on tourism for the future. Concern was raised on the message that sends to the local merchants and hotels in our community. ·Discussion and possible action regarding CVB Goals & Objectives The CVB is strongly encouraged to visit the "Signature" areas of Georgetown Cari is recommending a visit to Inner Space - July 24th 2 PM Golf Cart Tour on the trails - Wed, Thurs or Saturday mornings Courthouse Tour - date August 2nd after the CVB meeting Cari will send dates out to CVB and get a tours organized ·Discussion and possible action regarding HOT grant application process Specific dates were distributed for discussion regarding exempt days for Grant Applications - the hotels are already full on these dates: Bob V. moves HOT grant applications not be accepted for the dates recommended , Stephanie B. seconded, passed ·Set agenda and date for August meeting August 2, 2013 is our next meeting and the CVB will begin meeting on the first Friday of the month July 31, 2013 is the next due date of the HOT grants and all CVB members will receive a copy one that date. Members Present: Nancy Benold, Stephanie Blanck, Steven Harris, Cari Miller, Don McCullough, Shelly Patel, Georgene Richaud, and Bob Villarreal Members Absent: none Staff Present: Cari Miller, Tourism Manager; Judy Fabry, Library Administrative Assistant Minutes Regular Meeting ·Discussion and possible action regarding approval of the April 12, 2013 minutes : Don Mc.. moved that the minutes of the April 12, 2013 meeting be approved as written, Bob V. seconded; passed ·Discussion and possible action regarding letter of support for Cultural District Designation from Texas Commission on the Arts – Judy Fabry Judy came to the meeting representing the Arts and Culture Board asking for a letter of support to the Tx Commission of the Arts for a cultural designation of downtown Georgetown. The Application is due June 1, 2013 and letters are support are part of the application - they are talking to all stakeholders. At this time - it's just an HONOR - there are only 8 cultural districts in the state. Alpine and Clifton are 2 small towns with this designation and they credit this designation to their comeback. After further discussion, Stephanie B. moves a letter of support be written, Nancy B. second, Approved ·Discussion and possible action regarding CVB Goals & Objectives: Goal planning sheets from the Strategic Plan Manual were reviewed: o Planning/developing date/time/procedures for regular meetings with key stakeholders o Cari has asked the City Council for the money to do the marketing study by putting it in her budget that was just submitted to the Council. The money will not be available until Oct. 1 if approved. RFP's can be sought at an earlier date - will answer ' how people chose' where they go for recreation as well as business o Advertising Plan discussed by Cari and she will bring a formal document at a later date. o Cari will set a date/time for us to visit two nearby communities of comparable size (New Braunfels and San Marcos) to determine "Visitor Center" model as well as Convention and Visitor's Bureau of the future. o Cari will schedule the CVB to visit some of the Signature Destinations of GT ·Discussion and possible action regarding HOT grant application process: Cari handed out a timeline process for discussion. Adding both fall and spring deadlines in the PSA revisions were suggested and will be made prior to submission to the media. ·Presentation regarding Georgetown’s ranking among 130 Texas Cities by population and beds sold – Don McCullough Don did a comprehensive study of Texas Cities and their HOT tax revenue and handed the Board several documents to review. Georgetown's ranking among 130 Tx cities was 65. Upon review of a Texas Map - radius of 50, 100, 150 miles from GT; visiting San Marcos and New Braunfels was suggested. Further discussion included: We are limited by a lack of hotel rooms in order to entice conferences and conventions - regardless of what the Visitor's Bureau does to advertise and entice, we appear to be viewed a place to "pass through" as opposed to "pull over and stay". The materials handed out - great benchmark of where we were at the end of 2012 - this will allow us to measure in the future. We are in a chicken and egg situation currently in supply and demand, weekday vs. weekend, etc. Cari is scheduling the CVB to visit Inner Space, the trails, Southwestern, the courthouse tour, the lake, etc. ·Discussion and possible action regarding communication between Georgetown and Tourism Partners: Brainstorm who should be included as we move forward: City Boards include Mainstreet, Arts and Culture, and Parks and Recreation. Other Boards include the Heritage Society, Williamson Museum, Downtown Georgetown Association and the Chamber of Commerce. Those that are associated with the city - the managers meet once per month; otherwise the communication is somewhat informal. After further discussion, it was recommended that every group needs to have a representative to come to the table to update each other in moving forward with goals and objectives - support for respective objectives. Cari will work on this concept. ·Set agenda for June meeting: Due to holidays and other commitments, as of this writing the rest of 2013 Board Meetings will be June 15 (PM to visit Inner Space), July 12, August 2, September 6, October 4, November 1, and December 6. ·Discussion and possible action regarding advertising and media exposure and dates of upcoming events: Refer to Cari's report for details. Members Present: Stephanie Blanck, Steven Harris, Cari Miller, Don McCullough, Shelly Patel, Georgene Richaud, and Bob Villarreal Members Absent: Nancy Benold Staff Present: Cari Miller, Tourism Manager Minutes Regular Meeting ·Discussion and possible action regarding approval of the March 8, 2013 minutes : Bob V. moved that the minutes of the March 8, 2103 meeting be approved as written, Steven H. seconded; passed ·Discussion and possible action regarding CVB Goals & Objectives: After much discussion it was decided to use the forms in the provided binder to start formulating our goals and objectives. Other discussion on this topic included: o Contract for a study in order to get more information as to why people chose to come to cities. We must make sure our hotels and events locations are willing to participate in the study and provide the information. We would need to do an RFP and then we can interview the finalists. Everyone agreed this is a necessary component to our strategic planning. Georgene R. moved that Cari be authorized to spend $15,000 to conduct a study on existing and potential tourism in GT, Bob V. seconded - approved o If and when we get a convention center - another study may need to be done to determine what types of conventions would be attracted to GT. o Finding model convention and visit bureaus similar to us - San Marcos, New Braunfels, McKinney. Cari will contact her association and get some other suggestions, Pre-prepare a list of questions for consistency sake - a subcommittee to develop the questions (Bob, Don, Shelley volunteered to help with that) - by the next meeting ·Discussion and possible action regarding HOT grant application process: It was agreed that the application process should take place twice per year: July and January. It will stay the 3rd weekend of the October and possibly try to 'gate' some of the park in order to obtain the information needed for CVB . Have already secured some of the participants for next year. ·HOT Grant follow up report : PJ Stevens, GHS Soccer Booster Club - Reported on the Governor's Cup January 2013: Comprehensive report in packet - money primarily is for hospitality of the UIL officials, game officials, and visiting coaches.
