Culver, Staff Liaison Minutes Regular Meeting I. Board Meeting called to order by Rebecca Counts at 4:40 p.m. II. Discussion and possible action on Bylaws Article II Membership Section 2.1 Remove the part of sentance 1that reads, "...and a maximum of four(4) members representing each of these grade levels." Section 2.3 Remove the first sentance that reads, "The annual selection of the Board will be through an application process" The third sentence will read, "Applications will be reviewed by a Subcommittee of the Georgetown Youth Advisory Board Officers", replacing "...the Mayor and the City Council will then interview qualified applicants" Section 2.4 The first sentance will read, "The term of membership shall be for two years with an option to reapply." The second sentance will read, "Vacancies left by graduating seniors will be filled in August." Section 2.7 The seventh sentance will read, "Absences will be reviewed in December and June by the Sergeant at Arms to ensure members are fulfilling their attendance requirements." Section 2.8 The second sentance will read,"Attendance will be reviewed in December and June by the Sergeant at Arms to ensure members are fulfilling their attendance requirements." Article III. Officers Section 3.1 The second sentance shall read, "The Chairperson will be elected by the Board and appointed by the Mayor." The third sentance will read, "The City Council shall confirm the current membership and appoint new members at the first City Council meeting." Section 3.4 The fifth sentance shall read, "The Sergeant at Arms is responsible for maintaining order in meetings by ensuring Board guidelines are followed and keeping and reviewing attendance records." Article IV. Meetings Section 4.1 The first sentance shall read, "Two regular monthly meetins will be held on the first and third Tuesday of the month at 4:30 p.m. in the Parks and Recreation Conference Room." Article VI. Subcommittees Section 6.1 Seentance two will read, "Subcommittes comprised of non-members may only be formed with prior consent and confirmation of the City Council." Board election are held, with the following members being elected to Officer positions: Chairperson- Rebecca Counts, Vice-Chairperson- Meredith Morrow, Secretary- Candice Butler, Treasurer- Elissa Delmatier, Sergeant at Arms- Jonathan Soape III. Discuission and possible action on Calendar Jonathan Soape opens discussion on upcoming events. December 11, 2004, will be the Annual Christmas Party and Caroling at the Nursing Homes. Members are asked to bring a gift for the family adopted for Christmas. The evening will begin at 2 p.m. so that GYAB can get around to all the centers before bedtime. The next GYAB meeting will be on December 7 at 4:30 p.m. The newly elected GYAB Officers will meet at the Recreation Center November 23 at 4:30 p.m. IV. Adjourn Candice Butler motions to adjourn. II.REPORT ON VACATION PARTY Brenda Culver reports that there were over 200 students at the Back to School Event and everyone seemed to enjoy the festivities. III.REPORT ON PROP 2 BOND ELECTION Brenda Culver repots on the upcoming Bond and hands out information about the Bond and what factual information the Board is allowed to discuss in their role as Georgetown Youth Advisory Board members. IV.DISSCUSSION AND POSSIBLE ACTION ON THE CALENDAR The Board discussed having the GYAB Retreat October 2nd and 3rd, to expidite the team building aspects of the retreat as well as to familirize the new members with the Bylaws, Calender, and Community Service aspect of Board. Members also discussed participating in a cleaning day at the Heritage Community Gardens on October 30th , . The group also agreed to participate in the Parks and Recreation's Haunted Hayride on October 28, 2004. Planning for the Hayride will be on October 12th and 26th, at the Georgetown Recreation Center Confcerence Room at 4:30 p.m.. Members also discussed continuing the Annual Veteren's Day Appreciation on November 11th at the area Nursing Homes and the Annual Christmas Caroling at the local Nursing Homes on December 18, 2004. Elissa motions to approve the dates for the calender. Jomathan Soape seconds. Vote 8-0 in favor. V.DISSCUSSION AND POSSIBLE ACTION ON PHONE TREE Brenda will start calling and mailing all members with the upcoming meetings and dates of Board activities. II.DISCUSSION AND POSSIBLE ACTION OVER MEMBER EXPECTATIONS Brenda Culver leads discussion of expectations, attendance requirements and the responsibilities of tenured members to help out the new members get aquainted. Memebers write down a goal for the upcoming term. III. INDUCTION OF NEW MEMBERS Brend Culver and Yvette Rose induct new and re-appointed members to the Board. IV.DISSCUSSION AND POSSIBLE ACTION ON GYAB PARTICIPATION IN VACATION PARTY Brenda Culver leads discussion about the back to school party for GISD students. GYAB will do Hawaii again and there will be prizes and food. Members are asked to arrive at 6:oo PM to assist with setup. V.DISSCUSSION AND POSSIBLE ACTION ON THE CALENDER Candice Butler leads discussion about upcoming events and when the next GYAB meetings will be held. VI. DISCUSSION AND POSSIBLE ACTION ON GYAB PHONETREE Jennifer Daleiden leads discussion on updating the GYAB Phonetree. Jillian moves to make the phone tree a little less difficult by having everyone make only one call to a fellow member. Jennifer seconds. Vote:11-0 in favor. Melody leads discussion on Calendar and informs everyone that the Challenge Course will have to be moved due to Jessica being booked for the March 7, 2004, date. Brenda will get Jessica to give us another date and whoever is available will make that date. The 6th Grade Valentine Dance will not be rescheduled. III. Jillian leads discussion on Teen Fest 2004. Members are asked to get donations for prizes, help make flyers for the school, as well as a banner and posters to hang up at the school. Jillian will make the Band applications, the Club applications and will bring those by to Brenda this week. Melody will talk to the school paper about the event and also about the announcements at the school. Amanda and Nicole volunteer to talk with the bands and be the contact persons for them. Jillian will be the contact for the GISD clubs and any other youth organizations who are interested in setting up a booth. Phillip and Jonathan will assist Brenda with the PA system and with the bands on the day of Teen Fest. Other members volunteer to assist wherever thay are needed. The next GYAB meeting will be moved to March 11, 2004, at 4:30 p.m. here at the Recreation Center Conference room. Jillian asks everyone to bring their donations and any other information concerning Teen Fest to this meeting so that information can be finalized and flyers, posters can be made. IV. Culver Minutes Regular Meeting City of Georgetown Youth Advisory Board Meeting Minutes January 26, 2004 I.CALL MEETING TO ORDER Jillian calls the meeting to order at 4:54 p.m.at the Parks and Recreations Conference room. II.DISCUSSION AND POSSIBLE ACTION ON TEEN FEST Amanda leads discussion on Teen Fest dates and list responsibilies for the April 17, 2004, event. Jillian reports that the date does coincide with the National Youth Service day. The Georgetown Project will continue to sponsor the Service day and GYAB will handle the Teen Fest. The board is interested in opening up booths to High School Clubs for them to raise money at the Fest. Community Events and Youth Activities Committees will meet to discuss what the setup for booths will be and who will be invited to participate. The Board is also interested in giving door prizes away at the event. GYAB will prepare flyers and solicit donations from area business for prizes. Brenda will apply for the event permit and get more information from Traci about climbing wall availability. Brenda will meet with the Parks Manager to determine what the lighting and electricity situation will be like in the park. More information and task list will be created for the next meeting. III.DISCUSSION AND POSSIBLE ACTION GEORGETOWN PROJECT YOUTH GROUP GRANT Jillian discusses the Youth Group grants that the Georgetown Project is offering to the local programs. Steffanie volunteers to fill out and present the grant proposal. IV.REPORT ON YOUTH SERVICE DAY Jillian reports that MLK Service day was a success as 50 students participated in annual event. Lots of enthusiasm from the volunteers who worked at a varity of sights around the city. V.DISCUSSION AND POSSIBLE ACTION ON CALENDAR Brenda leads the discussion on upcoming events. The Cupid's Chase 5K will be Saturday February 7, 2004, and volunteers are needed to man the 1 mile water station. Volunteers: Phillip, Elissa, Meredith, Steffanie, Jonathan and Jillian There will be a 6th Grade Valentines Dancen on February 12, 2004, here at the Rec. Center. YAC Summit deadline for attending is Friday, February 20th, 2003. The event is March 6th and 7th in Mesquite.
