Motion to approve: Dylan Ragan, Second: Kokie Cummings to approve minutes 2.Katie Sofranko discussed how we did at the Christmas Stroll. More than 300 fliers were passed out to teenagers about the upcoming holiday party but had a bad spot for a booth and lost $130 in costs of the cookies and hot chocolate mix. Keeping in mind the Red Poppy Festival for ways to make the experience better. 3.Katie Sofranko brought up the planning for the presentation at December 14 City Council Meeting. a.6pm Meet at the corner of Main Street and 7 th Street b.All member s should be dressed nice/appropriate\ c.5-10 minutes to present. ·Have general introduction of GYAB and individual members ·Give recap on Christmas stroll ·Soldiers Service project · Holiday party ·Survey -Pass surveys out to Georgetown youth with questions regarding things they want changed around Georgetown, and sports or activities they’d be interested in. d.The City Council will have final say on approving the changed by laws 4.Katie Sofranko brought up planning for the Holiday Party. -It was decided to use the leftover cookie dough balls for cookies at the party. And the system of “take and bake” would be enforced, where you bring the cookie dough home, make it yourself, and bring it back. -There will be pizza and the chosen company would be discussed the next meeting when Claire Janes has the local prices. -The party will offer sodas and punch, purchased from Sam’s. -A playlist off an iPod consisting of modern music and holiday music will be made by Bailey Vandegrift and used at the party. -Members of GYAB should be at Rec by 6pm to start setting up. Party will be from 8 until 10. -The movie Elf will be playing. -Sara Peacock will make fliers to advertise party -People entering will have to sign in, get a wristband and not leave if they want to come back. Somebody will have to watch the doors. -Decorations like snowflakes but NO mistletoe. 5. Katie Sofranko brought up the consideration and possible action to add activities to the GYAB calendar. a. Service Projects - Army letters for Christmas. It would involve sending Christmas letters to soldiers overseas. The deadline is Monday the 20 th . Kokie Cummings, Parker Tadlock, Frances Stone, and Rachel Konovodoff volunteered to promote this project around their schools. b. Other events - Partnering with a group in Georgetown who would like to have a running live music night. It would be held every second Saturday from 7 until 9. The first one will start on January 15. - The idea of having a party once a month was brought up. These parties would have themes to go with the month or holidays, with an admission to get in. The next meeting was set for Monday, December 20 th at 5pm. Motion by Sara Peacock and second by Tyler Willrich to approve events and next meeting. 6. Meeting was adjourned at 5:45pm. Motion to approve: Peacock, Second: Vandegrift to approve minutes 2.Rachel Konovodoff brought up the consideration and possible action to change GYAB meeting time and the board voted for the meeting times to be changed to every first and third Monday at 5 p.m. Motioned by Vandegrift and Second by Cummings to approve the change in GYAB meeting times. 3.Katie Sofranko brought up the consideration and possible action to change some of the language in the by laws. a.The number of members on the board was changed to 24 in accordance with Ordinance 2001-17 b.Members must reside in Georgetown Independent School District in accordance with Ordinance 2001-17 c.Meetings are to be held in the teen and senior center study room d.The address was changed to the Parks and Rec address at 1003 N Austin Ave. Motion by Cummings and second by Ragan to approve changes in language in By-laws 4.Katie Sofranko asked about adding teen events and service product to the GYAB calendar. It was decided that the board will work a booth at the Christmas stroll on December 4 th and they will sell cookies and hot chocolate mix. The treats will be made the night before on Friday, December 3 rd at 6 until 9. The prices are undecided and will be determined that Friday night. A holiday party/dance was also discussed. It will be on December 17 and made as a celebration of winter break. The GYAB will need t-shirts for the future and it is a good idea to get them before the stroll. Each member would get three t-shirts, one color of their choice, one either red or green, and one white. An idea for a service project was gift wrapping for Blue Santa which will be looked into for dates available. There was discussion on where GYAB could market their events including the Parks and Recreation brochures and/or the Georgtown View. The next meeting was set for Monday, December 6 th at 5 pm. Recap of Haunted Hayride- Katie Sofranko Sofranko thanked GYAB members for their service at the Haunted Hayride and stated that 40 service hours had been logged for the event. She informed the GYAB that they won 3rd place out of 6 total scenes. 4. Election of Officers- Chairperson, Vice-Chairperson, Secretary, Treasurer, and Sergeant At Arms- GYAB members Tadlock and Willrich both stood for election to Chairperson. Willrich defeated Tadlock by 1 vote. Peacock was unchallenged for Vice-Chairperson and was unanimously voted into the position. Konovodoff was unchallenged for Secretary and was unanimously voted into the position. Janes and Kokie Cummings stood for election to Treasurer. Janes defeated Cummings by 1 vote. Vandegrift was unchallenged for Sergeant At Arms and was unanimously voted into the position. 5. Ideas for upcoming events and service projects- GYAB members The floor was open to GYAB members to suggest ideas for Teen events and service projects. Ice breaker games-GYAB Board members played ice breaker games to get to know each other better Tree Planting Service Project at Pinnacle Park- GYAB This did not take place. There were too many volunteers and it was requested that the GYAB members help with a different tree planting Lunch- GYAB Board members ate lunch while playing ice breaker games Address questions about GYAB- Katie Sofranko Floor was open to questions about any GYAB information. No questions were asked. Discussion of Haunted Hayride and preparations for event- GYAB The Board decided on a "Haunted Wedding" scene for the Haunted Hayride to take place on Thursday, October 28. They all went to the Parks & Recreation warehouse to gather supplies needed for the haunted wedding scene and a list was made of what items were still needed for the scene. Board Members Present: Kokie Cummings, Sara Peacock, Rachel Konovodoff, Claire Janes, Tyler Willrich, Bailey Vandegrift, Frances Stone Board Members Absent: Parker Tadlock, Dylan Ragan, Alicia Kellum, Audrie Cummings Staff Present: Katie Sofranko Minutes Regular Meeting Meeting called to order at 04:44pm Welcome Inductees- Katie Sofranko -Sofranko Welcomed and congratulated newly appointed Board members History and Future of the GYAB- Katie Sofranko -Sofranko gave a brief history of the GYAB, including the ordinance that creadted the Board in 2000 and events and projects the Board has done in the past -Sofranko explained the future of the GYAB serving the Georgetown community Overview of By-laws, Ethics Code, Open Meetings Act, and Public Information Act- Katie Sofranko -Sofranko read through By-laws, giving explanations as necessary -Floor was open to member questions regarding the City’s Ethics Code. No questions were asked -Sofranko explained City Attorney’s Ethics Presentation and how to read through it and reference it in case of ethical violations -Sofranko gave explanation of Open Meetings Act and Public Information Act as it pertains to GYAB -Floor was open to questions regarding all materials discussed. No questions were asked Discussion of GYAB Calendar and Agenda for October 23 Retreat- Katie Sofranko -Sofranko went over October calendar with Board members, including October 23 retreat and October 28 Haunted Hayride -Agenda was presented for October 23 retreat Motion by Konovodoff, second by Peacock to approve October 23 Retreat agenda Meeting adjourned at 05:23pm
