Board Members Present: Tyler Willrich, Claire Janes, Sara Peacock, Alicia Kellum, Parker Tadlock, Frances Stone, Bailey Vandegrift, Kokie Cummings Board Members Absent: Jade Moffett, Kaylee Speilmann, Rachel Konovodoff Staff Present: Katie Sofranko Minutes Regular Meeting Meeting called to order at 5:51pm Consideration and possible action to approve minutes from September 26, October 17, and December 5 Meeting- Rachel Konovodoff -Peacock motion, Kellum second to approve minutes from December 5 meeting - Other meeting agendas pushed to next meeting due to absence of secretary Review of December 10 Live Music Night- Katie Sofranko -26 teens came to Live Music Night -John Lind and Emilio Alvarez provided the live music. They played a little bit of many types of music and were well-received Consideration and possible action to approve 2012 GYAB shirt design and have shirts made- GYAB members -No one had created a shirt design, so the Board decided to have Bailey Vandegrift design a shirt for approval at January 9 meeting Discussion of December and January service projects- GYAB members -Will begin to collect supplies for the Hope Alliance -Will meet at the Teen Center and go to a local nursing home on December 22 to spend time with residents Final preparations for Holiday Party- GYAB members -GYAB members will arrive at 6:15 to decorate and set up -All preparations have been made Discussion of Youth Advisory Council Summit January 21-22- Katie Sofranko - 5 members will go. Attendace at the summit will be determined by attendance record for past GYAB meetings and events. The 5 members with best attendance will go. Board Members Present: Tyler Willrich, Claire Janes, Sara Peacock, Alicia Kellum, Parker Tadlock, Jade Moffett, Frances Stone Board Members Absent: Kokie Cummings (excused), Rachel Konovodoff (excused), Bailey Vandegrift, Kaylee Spielmann Staff Present: Katie Sofranko Minutes Regular Meeting Meeting called to order at 5:52pm Consideration and possible action to approve minutes from past meetings- Rachel Konovodoff - Rachel was not present, so agenda item was moved to next meeting Consideration and possible action to add December service event to calendar- GYAB members -Katie was not able to get in touch with VFW about hosting an event -GYAB members agreed that they would go to a local nursing home to spend time and play games with residents on December 22 -Item collection for the Hope Alliance will be suspended until after Christmas due to many other collections happening currently Discussion of Holiday Party- GYAB Members -GYAB Teen Holiday Party is Friday. It was agreed that it was a success and would be done again in the upcoming year, along with more planning and maybe even a trailer. As a whole, it went very well and it was enjoyable. It will help GYAB’s name be spread throughout the Georgetown community. 3.The GYAB continued planning for the upcoming park cleanup event. It was set for April 30 th at 11am until 1. Supplies needed are trash and recycling bags; and gloves. GYAB was to wear old clothes that could get dirty and meet at the Teen Center. After the cleanup the volunteers would head back and get some pizza. 4.GYAB planned for Georgetown City Limits. Five interested bands have called and live music was now scheduled to be played. To set up, GYAB needs to get there at 5:30 to set up. The possibility of judges and prizes were discussed. Bailey Vandegrift is going to call Kenz Guitars to see if GYAB can get gift certificates as prizes; if not there is the possibility of getting VISA gift cards. This event would start at 7pm in the teen courtyard. There would be pizza, soda, t-shirts, air brush tattoos and glowsticks. Art paper would be wrapped around the Georgetown recreational center truck. There will be tissue paper flowers, garland, pipe cleaners, glue, red balloons with helium and members can paint flowers on the paper throughout the week. Anything red! Dates for decorating were set for Friday and Monday at 5:30pm. The Red Poppy Festival Parade is starting at 10 o clock am so the members would need to be there at 8:45am and ready for 9. All members were expected to be there and to wear their GYAB t-shirts. 3.The poster for the Park cleanup was officially made by Bailey Vandegrift and finalized for distribution. The park cleanup will be held on Saturday April 30 th from 11am to 1 with pizza served after at the rec. 4.The Georgetown City Limits poster was also finalized and member duties were distributed. The date was set for May 14 th from 7 to 10 pm in the teen center courtyard. There will be soda and pizza and music all for only $5 admission. All GYAB members need to be there at 5pm to help set up. There will be glow sticks and air brush tattoos to add to the entertainment. For profit, the GYAB will sell old Georgetown City Lights t-shirts. 5.The GYAB application advertising posters were handed out to hang up at all Gisd middle schools and high schools. Bailey Vandegrift motioned and Claire Janes approved. 2.Katie Sofranko gave an update of the member contact information, distributing phone numbers and addresses. 3.All GYAB members gave a report on the YAC Summit. It was overall a very good decision to go there. The organization got many ideas from the trip including -Social lock ins -Becoming more organized -Advertising better with and without new technologies -Service projects involved with the schools and government -GYAB camping trip 4.Parker Tadlock was absent but represented for the possible action to push future meeting times back. It was a majority vote to move it to 5:45 on still the first and fifth Mondays . 5.Tyler Willrich brought up the possibility of creating a GYAB monthly newsletter and Facebook page. The item was made for an agenda item in the next meeting. 6.Tyler Willrich talked about the possibility of creating a Public Affairs officer, maybe even split up into 2 roles. This was also pushed back to a future meetings’ agenda item. 7.Tyler Willrich brought up the possibility of developing GYAB’s own service projects. Many ideas and plans were made. Someone needed to call Heather B for information on a tree planting day. For April, plans were made to have a float in the Red Poppy Parade and give out information there. April 30 th was the set date to have a park cleanup. Ideas for future events such as in May were to have a blood drive sponsored by GYAB at the rec center and/or having a May Spring Cleaning themed garage sale. 8.Tyler Willrich brought up the possibility of developing bi-monthly safety programs for teenagers and young adults. The organization would need to get involved with the police and it was decided to wait until the next school year since it was almost summer. 9.Tyler Willrich brought up the idea to become closer to the Mayor like other advisories had at the YAC and it was moved to the next meeting. 10.Katie Sofranko discussed the upcoming application process and how GYAB needs to fill empty positions. In April the group will be handing out membership information packets and applications throughout the schools and community. Katie Sofranko discussed t-shirts. The order was placed and they could possibly come in on Friday. 5. Katie Sofranko updated GYAB on the teen surveys. Surveys had been picked up but not turned in. GYAB decided to put the surveys on the website as well. 6. Katie Sofranko gave an overview of the Youth Advisory Community Summit. She handed out excuse letters to students and discussed rules of the Summit. 7. Katie Sofranko discussed planning for live music nights. The February 12 th night was a success with 47 people. The GYAB is sending through the schools, libraries, and recreational center. 4.Tyler Willrich discussed interacting with school student councils and GYAB agreed to asking to sponsor their events. 5.Katie Sofranko discussed t-shirts with logo. The t-shirts would have to have the Georgetown city logo on the front. GYAB decided to get the logo on the back with block letters on the front spelling GYAB. Each member could pick their own color. 6.Katie Sofranko reminded members about by laws. Attendance is required for at least 75%of the meetings and 50% of the community projects. 7.Katie Sofranko discussed the Youth Advisory Committee Summit. The GYAB would leave at 7 am Friday morning. Board Members Present: Kokie Cummings, Audrie Cummings, Claire Janes, Rachel Konovodoff, Sara Peacock, Dylan Ragan, Frances Stone, Parker Tadlock, Tyler Willrich Board Members Absent: Alicia Kellum, Bailey Vandegrift Staff Present: Katie Sofranko Minutes Regular Meeting Minutes for January 10 th 2011 Meeting called to order at 6:00 PM by Tyler Willrich 1.Consideration and possible action to approve minutes from GYAB meeting on December 6, 2010 Motion to approve: Dylan RaganSecond: Kokie Cummings 2.Tyler Willrich discussed the outline for possible activities in 2011 -January 15 th , to have a live music night with snacks such as Chex mix and popcorn or have a coffee bar theme. This would be held from 7 – 9. -January 17 th , to have a service project for Martin Luther King Jr. Day. -Possibility of volunteering at The Caring Place at the end of January. Maybe the 29 th . -February 5 th is Cupid’s Chase in Georgetown and some volunteers off GYAB will go and help out with water for the runners. -Possibility of volunteering at St. David’s hospital on March 6 th or 27 th . -April 16 th , The Red Poppy Fest will be held in downtown Georgetown and the GYAB will be in the parade. Will have later plans on whether or not to include a float. -If possible, in April, it would great if GYAB could help out at the local Eggstravaganza. -In May, there should be a date where the GYAB can volunteer at the Animal shelter and that gives the GYAB enough time to take the class on it. -May 14 th , will be the Battle of the Bands night from 6 – 10. 3.Tyler Willrich reviewed last year’s board activities. -GYAB performed at the Halloween festival. -GYAB was introduced to the city council. -GYAB held a booth at the Christmas stroll. -GYAB held a holiday party at the Recreational center. 4.Tyler Willrich discussed the proposal of changing the GYAB symbol and where to find an artist. -9 voted in favor of having a rec center contest to find the best symbol. 5.Tyler Willrich discussed the teen survey composition. -It is to be mostly multiple choice with a few short answer open ended questions. -It is to be sent out to all schools. -Rachel Konovodoff would draw up a sample survey for an example at next meeting. 6.Tyler Willrich reviewed city council meeting and their perception of the GYAB. -The city council was very impressed and excited to hear about GYAB and interested in the service projects. 7.Tyler Willrich asked to review the current budget balance and was pleased to hear that the GYAB has a good balance of money with almost $5,000 and had it up until September. 8.Katie Sofranko discussed the future Youth Action Council Summit on February 25 th and 26 th . 8 were in favor of representing the GYAB there and possible action would be instated on January 21 st . 9.
