Convention & Visitor Bureau Board

January 10, 2014
The Convention & Visitor Bureau Board met on Friday, January 10 at 8:30 am at Convention
and Visitors Bureau Office, located at 103 W. 7th Street, Georgetown, Texas.
Members Present: Don McCullough, Georgene Richaud, Bob Villarreal, Stephanie Blanck,
and Steven Harris
Members Absent: Nancy Benold, Shelly Patel
Staff Present: Cari Miller
Guest: Milton Van Dusen and Mickie Ross
1. Welcome/Call to order
The meeting was called to order by Chair Georgene Richaud at 8:32 am
2. Discussion and possible action regarding approval of the November 22, 2013 minutes
Motion by Don McCullough, second by Steven Harris to approve the minutes from the
November 22, 2013 meeting. Approved 6-0
3. Chisholm Trail Days Hotel Occupancy Tax Grant Follow-up Report Presentation
Mickie Ross presented the follow-up report which is attached. Below are the report
highlights.
• It was a successful event even with it moving to a half-day as opposed to all day
• 578 surveys were completed
• 275 first time attendees
• Of the 4000 in attendance, it appeared most were from outside Georgetown
• The website is still getting 2000 - 3000 hits per month
No action was taken.
4. Jack Frost Basketball Tournament Hotel Occupancy Tax Grant Follow-up Report
Presentation
Milton Van Dusen presented the follow-up report which is attached. Below are the report
highlights.
• Tournament was moved to the first weekend of December. Unfortunately, inclement
weather impacted the tournament. The out of town teams made it here before the cold
front.
• Had a 25% drop in attendance due to spectators not being able to travel and this impacted
the revenue.
• The hotels were less impacted
• Will keep the tournament in December
No action was taken.
5. Update on Tourism Research Study
Cari Miller indicated they have a good sample of participants who have submitted
information to Mind Ecology. Mind Ecology will present the study results to the Board on
Friday, February 7 and to City Council on Tuesday, February 11. All who participated will
be invited to the Council meeting.
No action was taken.
6. Discussion and possible action regarding CVB Goals & Objectives
A Request for Proposal is being developed to select an advertising agency to create an
overall marketing campaign. This campaign will be used in all Main Street, Arts and
Culture, and CVB advertising to send a unified message in all promotional materials.
A lunch meeting will be scheduled for CVB, Main Street, Arts and Culture, HARC, and
Parks Board Chairs and Vice Chairs to begin the dialog of sharing goals and information.
The purpose is to begin collaboration and minimize overlap or duplication. At the initial
lunch meeting, other key stakeholders will be identified.
Cari Miller contacted Jeff Novak for a contact name and number for the Sheraton Conference
Center. She would like to enter a bid for the 2016 National Alliance of Preservation
Commission Forum but will need room rates for the bid. Don McCullough thought he had
another point of contact and will get that to Cari.
No action was taken.
7. Discussion and possible action regarding advertising and media exposure and dates of
upcoming events
CVB December Monthly Report is attached.
