HomeMy WebLinkAboutMinutes_CVB_05.16.2014Minutes of Meeting of the Convention & Visitor Bureau Board City of Georgetown, Texas May 16, 2014 The Convention & Visitor Bureau Board met on Friday, May 16 at 8:30 am at Convention and Visitors Bureau Office, located at 103 W. 7th Street, Georgetown, Texas. Members Present: Don McCullough, Nancy Benold, Karen Soeffker, Christy Fisher, Steven Harris, Ray Dorton Members Absent: Shelly Patel Staff Present: Cari Miller Guests: Rolando Roman, Jeff Harris, Kimberly Garrett 1. Welcome/Call to order Meeting called to order by Chair McCullough at 8:32 am. Original agenda order was revised by Chair McCullough to accommodate presenter schedule conflict. 2. Hotel Occupancy Tax Grant Follow-up Report Presentations Received follow up reports/presentations from the following: Georgetown Cyclocross Festival — Rolando Roman U.I.L. State Soccer Tournament — Jeff Harris GHS Governors Cup Tournament — Jeff Harris East View Patriot Classic Softball Tournament — Kimberly Garrett Take Aways • Hotel Room block requirement of upfront funding for rooms creates issues for participants. • Pursue discussions with UIL to enhance Georgetown's opportunities to serve as a premiere tournament location for those sports where Georgetown has a competitive facilitates advantage. • The City is expanding several facilities that will increase the city's viability to serve as tournament host. No action was taken. 3. Discussion and possible action regarding approval of the April 4, 2014 minutes Motion by Harris, second by Benold to approve the minutes from the April 4, 2014 meeting. Approved 6-0. 4. Discussion and possible action regarding board meeting time, day, and location Following lengthy discussion the following motion was made. Motion by Benold, second by Fisher to move meeting time and date to the 2nd Friday at 8:30 am. Approved 6-0. 5. Discussion and possible action regarding establishing a Red Poppy Festival Subcommittee Discussion was held regarding establishment of a Red Poppy Festival Subcommittee for the purpose of developing policies and procedures, and aid in the decision making process related to issues arising during the Festival. After discussion as to membership interest the following motion was made. Motion by Benold, second by Harris to appoint McCullough, Fisher, and Soeffker to serve on the Red Poppy Festival Subcommittee. Approved 6-0. 6. Discussion and possible action regarding CVB Goals & Objectives No action taken. 7. Discussion and possible action regarding advertising and media exposure and dates of upcoming events CVB April Monthly Report is attached. 8. Adjourn McCullough adjourned the meeting at 10:28am. Administration • Began Coordinating Summer Music on the Square Concert Series and 5th Annual AirFest • Distributed Georgetown visitor information at Retired Navy Veteran's Association Conference and Women's Missionary Union of Texas Conference • Sent weekly Georgetown Happenings! Email Red Poppy Festival • Approximately 45,000 attendees over a three day period • Approximately 3,500 attendees at Friday Evening Concert • Approximately 10,000 attendees at Saturday Evening Concert • Sold 24 Reserved Tables for Saturday Evening Concert (sold out) • Sold 20 Reserved Tables for Friday Evening Concert • 140 Arts & Crafts Vendors(sold out) • 18 Food Vendors(sold out) • 100 Car Show Participants(sold out) • Obtained $44,650 in sponsorship commitments ($31,650 cash, $13,000 in-kind) • Conducted Red Poppy Festival Economic Impact Analysis Survey Upcoming Events • "We Built This City" I.O.O.F.
