WHEREAS, the Meeting Room and the Board Room of the Georgetown Publ'
Library are intended for use of community groups; and,
WHEREAS, the Library design incorporates gates to allow use of t
Meeting Room and Foyer when the main Library is sealed off; and,
WHEREAS, the Library Board recommends adopting a policy allowing gro
to use the Meeting Room after closing time with a $50 key deposit; and,
WHEREAS, funds raised by the Friends of the Georgetown Public Librar
will support programs or purchases to benefit the Library-, and,
WHEREAS, the Library Board recommends adopting a policy allowing t
Friends of the Georgetown Public Library to use the Library Meeting Rooms fo
fund raising purposes; and,
WHEREAS, the revised Library Meeting Room and Board Room Polic
attached as "Exhibit A", addresses after hours use of the Meeting Room
use of the room by the Friends of the Georgetown Public Library; and,

NOW, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF
GEORGETOWN, TEXAS, THAT:

herebyadopted inits entirety.

The Mayor is hereby authorized to execute, and the City Secretary to
attest. This resolution shall be effective immediately upon adoption.

The Meeting Room and Board Room of the Georgetown Public Library is designed to
meet general informational, educational, cultural, and civic needs of the
community. Activities such as discussion groups, panels. lectures, conferences,
seminars, exhibits, displays, story times, puppet shows, and films are examples
of Meeting Room and Board Room use. Use of the Meeting Room and Board Room is
available to the public on an equitable basis, regardless of the beliefs or
affiliations of individuals or groups requesting facility use.
All activities taking place in the Library Meeting Room and Board Room shou
have no admission charge and be open to the public. Fund raising activities
prohibited. Exceptions are paid registration for insts
itutes, em
inars
education courses held by the Library, the City of Georgetown or an establishle
educational institutions or activities of the Friends of the Georgetown Publi
Library. Meetings for which any fees are to be charged must receive approval o
the Library Director.
11'se of the Library Meeting Room and Board Room does not constitute endorsement
by the Library, the Library Advisory Board, or the City, of points of view
expressed by program participants. No advertisement or announcement implying
such endorsement shall be permitted.
The individual/group will be held responsible for any and all damages that may
occur as a result of the use of the facilities.
RESERVATIONS:
May be made in person or by phone at the Circulation Desk.
Confirmed upon payment of applicable deposits and fees and signing of Room Use
Agreement.
Reservations may not be made more than 60 days in advance. A group may not
reserve a room more than one time per month.
AVAILABLE SEATING:
Meeting Room 100 auditorium style, or 30-40 with tables.

Deposits will be kept under the following conditions:

by 6:00 p.m. • the next working day.
Cleaning deposit will be forfeited if special cleaning service is required to
return the room to usable condition.
CARE_QF_FACILITIES
Groups are responsible for their own set-up and clean-up. Facilities are to be
left as they are found.
Smoking is notpermitted in the Library building.
Light refreshments may be served in the Meeting Room. There is a sink available,
but no refrigerator or stove. No refreshments may be served in the Board Room.
Equipment, supplies, or personal effects cannot be stored or left in the Library.
Groups using the Meeting Room after regular Library hours must lock the facility
before leaving. The key must be returned the next day the Library is open.
Permission to use library facilities may • withheld from groups damaging t
rooml carpet, equipment, or furniture; failing to lock the •'o allowi
smoking; causing a disturbance, or any other failure to comply with the rules
regulations. Revoked permission may be reinstated by the Library Board. I
