Smith, Suzy Pukys, Severine Cushing, Barbara Rauch, Larry Gambone Members Absent: None Staff Present: Shirley J. Rinn, Executive Assistant to the City Manager MINUTES Call to Order at 3:02 P.m. Legislative Regular Agenda A Call to Order--C.O Smith, SPCS Advisory Board Chair The meeting was called to order by C.O. Smith. B Roll Call --C.O. Smith, SPCS Advisory Board Chair All Members were present at the meeting. C. Consideration and possible action to approve the Minutes from the Regular March 18, 2015 SPCS Advisory Board Meeting—S6verine Cushing, SPCS Advisory Board Secretary Motion by Gambone, second by Pukys to to approve the Minutes from the Regular March 18, 2015 SPCS Advisory Board Meeting. (Approved 4-0) (Cushing Absent) D. Discussion and possible action regarding any questions from the Board Members related to the review of the grant cycle timeline and the Policy, Guidelines, Application, Scoring Rubric, and Recommendation Process for the FY 2015-16 Strategic Partnerships for Community Services Grant Cycle that were presented at the March 18, 2015 SPCS Advisory Board Meeting— C.O. Smith, SPCS Advisory Board Chair SPCS Advisory Board Minutes April 21, 2015 Page 1 of 3 Smith asked the board members if there were any additional questions regarding the information that was provided at the last meeting. There were no additional comments. E Review and discussion regarding a"mock" scoring ofasample Strategic Partnerships for Community Services Grant Application utilizing the current Policies and Guidelines and Scoring Rubric--C.O.Smith, 8PC8Advisory Board Chair and Suzy Pukvs SPC3Advisory Board Vice Chair Cushing arrived at 3:15 p.m. Pukys provided a sample Grant Application and scoring rubric for the board to review. She went through each section of the sample application and the scoring rubric and discussed the parameters ofthe application and rubric. The application she utilized was one from one of the grantees for the Health Foundation. She explained to the board members that there were 2 parts the Grant Application, one the Common Grant Application, and Zthe Abstract Summary Page for the City ofGeorgetown. The purpose ofeach was provided tothe board members. There was discussion regarding the purpose and reasoning utilized in compiling the current policies and guidelines, as well as the abstract summary, scoring rubric, and common grant application. This will be the first year for the new grant application process. The Board discussed the possibility of making additional recommendations to the City Council once this year's grant cycle was completed. Once the cycle has been completed the board will be in better position to let the City Council know what works and what doesn't and whether there are additional recommendations to make the process the most effective and efficient it can be. Shirley Rinntold the board members that they would be receiving the compliance reports from the agencies that received funding from the FY 2014-15 Grant Cycle for their review and reference. She indicated that these compliance reports would be helpful tothe board members as they reviewed the upcoming grant applications. She told them she would provide the notebooks to them at that end of the meeting. Consideration and possible action to set additional dates and times for 2015 Partnerships for Community Services Advisory Board Meetings --C.0, Smith, SPCS Board Chair The next meetings for the SFCS Advisory Board is tentatively scheduled for May 19, 2015 at om 3:00 p.m. in the City Hall Main Floor Conference Room, located at 113 E. � Street, Georgetown, Texas 78626.
