The Library Advisory Board met on Monday, October 12, 2015 at 10:00 a.m. in the Staff Conference
Room of the Georgetown Public Library, 402 W. 8t" Street
MEMBERS PRESENT: Pat Baldwin, Michael Barnes, Lois Case, Tom Hagen, Tom Milburn, Linda
Nix, and Pete Rose.
STAFF PRESENT: Eric Lashley- Library Director, Sally Bernier- Technical Services Librarian and
Laura Helpert- Cataloging Librarian
Regular Session
A. Citizens wishing to address the Board. — None were present.
B. Consideration of minutes of the September 14, 2015 meeting. — Tom Hagen made the motion
to accept the minutes of the September 2015 Library Advisory Board Meeting. Michael Barnes
seconded the motion, which passed unanimously.
C. Consideration of the Library Director's Report. — Eric Lashley. Lashley reported on the statistics
from the end of fiscal year 2014-2015. End of year statistics determined that circulation and
visitations were down, compared to the prior year. Bookmobile circulation was only slightly lower
than last year. Overdrive e -book and audiobook checkouts were higher than the previous year.
Lashley reported that the bookmobile will move to a floating collection at the end of the month.
Moving forward, there will not be a separate collection in our catalog for the bookmobile. All items
will come from extra copies in the main collection and all will be available to reserve through the
library's catalog. Having the collection designated as either WOW or Main, patrons were only able
to reserve items in the "Main" collection while WOW materials couldn't be reserved at all. This
change will allow all materials to be reserved.
Lashley noted that the library added 12,686 materials to the collection during the fiscal year, and
withdrew 13,196 materials. Meeting room attendance was estimated to be over 31,000.
Volunteers donated over 9,000 hours of their time to the library. The Friends of the Georgetown
Public Library gave over $72,000 to the library for unbudgeted materials and events.
Upcoming events include: a screening of Back to the Future on October 16, the annual Halloween
party October 23, and Live Music Sunday on October 18, featuring the Austin Classical Guitar
Ensemble.
Lashley presented the library's new website to the board and discussed features he does and
doesn't like. He reminded the board that the website is a work in progress and library staff
members are making changes every week to enhance the user's experience.
Lashley reviewed the patron comments. Pete Rose inquired about when the library will be moving
the CD books to the second floor and asked if the library could utilize volunteers help move the
collection. Lashley said he will meet with the staff to come up with a deadline to have the materials
moved by and recruit volunteers to help with the task. Rose also asked how long the library
expected to have a backlog of materials and again offered volunteer assistance. Lashley
explained that the backlog will continue until the new Cataloging Librarian is hired. Lashley asked
Sally Bernier, Technical Services Librarian, if she would attend the meeting to address some of
Rose's concerns.
D. Introduction of library staff member. — Eric Lashley. Lashley introduced Sally Bernier- head of
Technical Services and Laura Helpert- Cataloging Librarian. Bernier explained how materials
records are cataloged and what it will take to get rid of the backlog. Lashley noted that if the library
has any staff vacancies in the near future, the library will fill the Cataloging Librarian position and
delay hiring for the vacant position.
Laura Helpert introduced herself. She has lived in Georgetown since 2001 and is a long-time
patron of the library. She previously was a Children's Librarian in Temple, Texas. After having
children she was a stay-at-home mother and has recently re-entered the workforce. She started
as a temp -on-call employee, became a part-time employee and now works full-time as a
cataloger. Laura also does collection development of the fiction materials and the Overdrive (e -
books) materials. She explained that the thing that surprised her the most as an employee is the
fact that the library staff goes to great lengths to please our patrons.
E. Report on the annual Connectinq Texas Libraries Statewide (CTLS) meeting in Temple, Texas. —
Linda Nix, Tom Milburn, Eric Lashley. Linda Nix handed out a copy of her notes from the meeting.
Both she and Tom Milburn were impressed by the new State Librarian, Mark Smith. Lashley read
the newly approved goals of the Long Range Plan and handed out an overview of the Turning
Outward process mentioned by the State Librarian.
F. Report on parking lot construction on 8th Street. — Eric Lashley. Lashley reported that construction
is underway and the construction company has made good progress. The lot should provide 149
spaces and be open for use at the end of November or beginning of December.
G. Report on bookmobile networking meeting, October 2, 2015. — Eric Lashley. Lashley reported that
twenty librarians from twelve different libraries attended a bookmobile networking meeting at the
Georgetown Public Library on October 2. The furthest library to participate was Laredo Public
Library. A lot of great information was shared among the librarians and an email system was
established to allow these libraries to communicate with each other more effectively. The format of
the meeting allowed everyone to participate and have their questions and concerns addressed.
The group agreed to continue meeting on an annual basis. More narrow topics will be addressed
in these small regional meetings in the future.
H. Consideration of the Volunteer Report — Tom Milburn. Milburn informed the board that Michele
Harber (former bookmobile librarian, now volunteer coordinator) is doing a fantastic job in her new
role. He noticed that she says thank you to each volunteer when she sees them each day. Milburn
noted the need to recruit volunteers. Discussion ensued about recruiting volunteers to shelve in
the children's room. Milburn also noted some inconsistencies in the way some volunteers shelve
materials. Many are trying to keep all titles from an author together on one shelf instead of leaving
space at the end of each shelf for natural shifting of the collection. Leaving room on a shelf is
crucial to a naturally shifting collection, because materials are constantly coming and going.
I. Report on the Downtown West Project —Eric Lashley. Lashley reported that the Planning,
Economic Development, and Public communications departments will move into the old police
station by the first of the year. The proposed festival area has been diminished. None of the
architectural designs have been finalized. City staff will be required to park in the lots farthest from
the buildings to give patrons and residents better parking options.
J. Consideration and possible action to change the way board members receive agenda packets. —
Eric Lashley. Lashley asked board members how they would like to receive their agenda packets;
paper copy or electronic copy. The board decided they want an electronic copy of the agenda,
leaving out the blank pages generated by the City's software. This change will take effect for
November's agenda.

HIGHLIGHTS
• Austin Classical Guitar Ensemble provided live music on Sunday, October 18.
• The Art Hop Exhibit continues displaying in the library until October 31.
• Jaime Gould, the new Children's Library Assistant, began her Storytime duties on
October 5.
• The 50`h Anniversary Committee hosted a Back to the Future event for all ages on
October 16. The event included crafts, a photo booth, snacks and a screening of the
movie.
• Suzette Davidson is out on medical leave. Staff members and temps- on- call will fill in
during her absence. Suzette is expected to return sometime in December.
• The library hosted a bookmobile networking meeting on October 2.
• Children's staff attended a "Bois and Books" training in Round Rock on October 12.
• The all ages Halloween party was held on October 23. The tween Halloween party was
October 24 and featured the Nightmare Before Christmas. The teen Halloween party
was also on October 24 and featured the Little Shop of Horrors.
• Staff members celebrated Halloween on Thursday, October 291h by dressing in fashions
from the 1960's.
PATRON COMMENTS FOR JULY 2015
1. Patron comment: It's fantastic having a library.
2. Patron comment: There is no space to shelve youth fiction!
3. Patron comment: Don't stop doing the great job y'all are doing. Smile more than you
are already over doing
4. Patron comment: Please put in your computer system books on the Wowmobile cannot
be reserved online and that you need to call to reserve them.
5. Patron comment: I do like the donation book day.
6. Patron comment: I'm happy to have lots of books. Thank you for working here.
7. Patron comment: More decorations
8. Patron comment: It would be fun to have an arcade.
9. Patron comment: There is a lack of parking. I can't walk from the old library,

10. Patron comment: Kids in teen area are too loud and disruptive. 6:30 PM Tuesday
1016115. Need to learn library etiquette.
11. Patron comment: I have attended on multiple Sunday events. The classical guitars
were well prepared and I appreciate them doing a concert for us. Problem: Could no
hear them (could hear the larger ones) Problem: Children were not told by librarians to
be quiet and they could be heard well above even the larger guitars. The only place the
concert could be enjoyed was to escape to the second floor.

September 14, 2015
The Library Advisory Board met on Monday, September 14, 2015 at 10:00 a.m, in the Staff
Conference Room of the Georgetown Public Library, 402 W. 81h Street
MEMBERS PRESENT: Pat Baldwin, Michael Barnes, Tom Milburn, and Linda Nix.
STAFF PRESENT: Eric Lashley- Library Director
Regular Session
A. Citizens wishing to address the Board. — None were present.
B. Consideration of minutes of the July 20, 2015 meeting. — Michael Barnes made the motion to
accept the minutes of the July 2015 Library Advisory Board Meeting. Tom Milburn seconded the
motion, which passed unanimously.
C. Consideration of the Library Director's Report. — Eric Lashley. Lashley reviewed the Library
Director's Report that was provided to board members in the month's agenda packet. Lashley
noted that volunteer hours increased during July and August. The number of books added to the
collection decreased during August, due to the resignation of Cataloging Librarian, Brenna
Normann. Lashley read the patron comments from the library's suggestion box.
Lashley reported changes in the library's staff. Library Assistant Laura Helpert has been hired to
fill the Cataloging Librarian position. The part-time position vacated by Laura Helpert will be
posted soon. Noreen Rafique resigned to become a full-time student at St. Edwards University.
Kalena Powell and Michele Harber are swapping many of their job duties. Kalena will be
responsible for the operation of the bookmobile. Michele will take over as the volunteer
coordinator, while still managing behind -the -scenes operation of the bookmobile. The library will
hire a full-time Children's Services Library Assistant to cover the story times that Kalena was
performing.
The City's annual budget was passed at the first Council meeting in September. The budget does
include a Cataloging Librarian position. Lashley thanked the Library Board for their support of this
position.
Lashley reported that the library will be hosting a bookmobile networking meeting on October 2,
2015 for area libraries interested in starting a bookmobile service for their patrons. The annual
CTLS (Connecting Texas Libraries Statewide) meeting will be held in Temple on Friday,
September 25. All board members are welcome to attend.
The Friends of the Georgetown Public Library held their annual meeting on September 8, 2015.
During fiscal year 2014-2015, the Friends have given the library over $72,000 in support.
D. Consideration and possible action to approve the library staffs recommendation to select Ingram
Inc. as the preferred book vendor for the library. — Eric Lashley. Lashley explained that there are
two major book vendors for public libraries: Ingram, Inc. and Baker & Taylor. The library has used
Ingram in previous years because we can utilize a State of Texas contract with negotiated pricing,
discounts, and free shipping. Baker & Taylor's pricing and shipping casts are comparatively
higher. Milburn moved to approve the selection of Ingram, Inc. as the library's preferred book -
vender. Barnes seconded the motion, which passed unanimously.
E. Consideration and possible action to approve the library staff's recommendation to select Midwest
TNe as the preferred media vendor for the library. - Eric Lashley. Lashley explained that Midwest
Tape gave the best discounts and service for media such as DVDs, music CDs, and books on CD.
Pat Baldwin moved to approve the selection of Midwest Tape as the library's preferred vendor
for media.. Barnes seconded the motion, which passed unanimously,
F, Update! on the new parking lot and Downtown Vilest Prole !. -- Eric Lashley. Lashley reported that
the Cit�r is waiting for permits by the Texas Commission on Environmental Quality before
beginning construction. Lashley reported that he had met with City representatives concerning a
parking shady they are doing in conjunction with the Downtown West Project. The second public
meeting was held for the Downtown West Project on August 1, 2015. The concerns expressed
by the public will be presented to Council in September. The proposed large festival area near gth
Street has been removed from the project:
tom. Consideration of the Volunteer Report. -- Tom Milburn: Milburn reported that he and Lashley had
met with Volunteer Coordinator, i alena Powell, regarding Milburn acting as a liaison between the
Library Advisory Board and the library's volunteers. Powell and Lashley are in favor of this idea
and Milburn will now report any volunteer related interests or concerns to the Board during the
monthly meetings. Milburn reported that the only concern expressed thus far was regarding the
OverDrive downloadable books product. Milburn said he referred the volunteer's concern to -
Assistant Director, Sally Miculek and she responded to the volunteer,

Eric Lashley; The Beard tabled this item until next meeting, since only four members were
present at the time. This item will be on the October agenda for all seven board members to
discuss.
I. Consideration of dates of future Board meetings. —Eric Lashley. The next Library Advisory Board
meeting will be held on Monday, October 12, 2015 at 0:00 a.m.

DIRECTOR'S MONTHLY REPORT
GEORGETOWN PUBLIC LIBRARY

HIGHLIGHTS
• The library was closed on September 7 in observance of Labor Day.
• The Friends of the Library held their Annual Membership Meeting and luncheon on
September 9. The Friends reported that they had given over $64,000 in support to the
library during the past fiscal year.
• Cactus Groove provided live music on September 20, 2015.
• The Texas Society of Sculptors' Summer Show concluded on September 25.
• Storytime programs resumed on September 1.
• The 50t' Anniversary Committee hosted a Book Art Contest at the end of September.
Entries were displayed through the first week of October. Winner of the contest was the
"Book Snowflake."
