Preserve, promote and enhance the cultural heritage and unique character of the community. Attract visitors to maximize the financial impact of tourism on the community. The Convention & Visitor Bureau Board met on Friday, March 11 at 8:30 a.m. at Convention and Visitors Bureau Office, located at 103 W. 7th Street, Georgetown, Texas. MEMBERS PRESENT: MEMBERS ABSENT: STAFF PRESENT: GUEST: Regular Session 1. Welcome/Call to order Georgene Richaud, Ray Dorton, Christy Fisher, Tauyna Vessels, Rita Healy, Al Shankkle (Arrived 8:41 a. m.) Karen Soeffker Cari Miller, Marie Woodard, Rolando Roman - Cyclocross Festival Milton VanDusen - Jack Frost Basketball Tournament Richaud called meeting to order at 8:31 a.m. Legislative Regular Session 2. Discussion and possible action regarding approval of the February 12, 2016 minutes Motion by Dorton, second by Fisher to approve minutes of February 12, 2016. Approved 5-0. 3. Board Member Introductions New member, Rita Healy, General Manager, Sheraton Georgetown Texas Hotel & Conference Center, was introduced as a newly appointed member of the Board. Shankkle arrived at 8:41 a.m. 4. Discussion and possible action regarding the nomination and election of Board Vice -Chair and Secretary Motion by Vessels, second by Dorton to elect Fisher as Vice -Chair. Approved 6-0 Motion by Fisher, second by Vessels to elect Dorton as Secreatry. Approved 6-0 5. Discussion and possible action regarding board meeting time, day, and location Motion by Dorton, second by Fisher to continue to hold meetings on the second Friday of each month at 8:30 a.m. Approved 6-0 6. Cyclocross Festival Hotel Occupancy Tax Grant Follow-up Report Presentation — Roman presented the event follow-up report for the 2015 Cyclocross Festival. 7. Jack Frost Basketball Tournament Hotel Occupancy Tax Grant Follow-up Report Presentation. VanDusen presented the event follow-up report for the 2015 Jack Frost Basketball Tournament. 8. Discussion and possible action regarding Texas Hill Country Shopping Guide and Tourist Handbook advertising proposal. Miller and Richaud provided additional information regarding the advertising proposal and potential CVB participation. After a short discussion, the following motion was presented. Motion by Vessels, second by Shankkle to not participate in the Texas Hill Country Shopping Guide and Tourist Handbook advertising opportunity. Motion Approved 6-0 9. Discussion and possible action regarding Red Poppy Festival reserved seating fees. Miller provided background information regarding the current Red Poppy Festival reserved seating fee arrangement and offered potential changes to the current fee structure. Motion by Dorton, second by Fisher to increase the Saturday reserved seating fee to $375. Approved 6-0 10. Discussion and possible action regarding advertising and media exposure and dates of upcoming events Miller provided current status of the CVB's advertising and media activities. Woodard provided an update of activities related to Group Sales and Services detailing her recent sales trip to San Antonio and the planned trip to Dallas next month. The CVB February Monthly Report is attached. Continue work on Sales Collateral materials, name badge layout, lanyards and Sales Kit Folder Red Poppy Festival • Obtained $48,300 in sponsorship commitments ($31,300 cash, $17,000 in-kind) • Booked Tracy Lawrence for Saturday evening entertainment • Accepted 115 Arts & Crafts Vendors (sold out)
