Call to Order Board Chair Thomas Janes called the meeting to order at 6:38 p.m. B. Roll Call Board Members in Attendance: Thomas Janes, Chair; Hannah Pierce, Vice Chair; Jacqueline Massey, Secretary; Alyssa Hyle; Alvin Gusman Board Members Absent: Kris Kresser, Taylor Rennie, Cooper Cash, Devione Lewis C. Review of Youth Advisory Board By-laws, Attendance Requirement, Roster and Terms - Traci Stengle, Special Services Superintendent, Georgetown Parks and Recreation Traci Stengle reviewed the board By-laws with the board including the board purpose, number of members, terms of office, officer duties, voting, attendance and vacancies. Excessive absenteeism is failure to attend 75% of regularly schedule meetings, including board meetings and subcommittee meetings. Special meetings and subcommittee meeting options were also reviewed. Board member contact information was updated by those in attendance. Review of member terms revealed that they may be some discrepancies in the terms for Thomas Janes, Jacqueline Massey, and Hannah Pierce, and Alyssa Hyle. Traci Stengle will review records in order to confirm roster terms are correct. D. Update on Summit Focus Groups—Traci Stengle, Special Services Superintendent, Georgetown Parks and Recreation Traci Stengle reported that a recent Collaborative Meeting hosted a guest speaker that spoke on suicide prevention and training. This particular group may be assisting with the focus group for that topic. The Georgetown Project is currently working with organizational leaders to help guide the discussion for each focus group. once dates, times, and locations for the focus groups are decided, Youth Advisory Board members will be invited to attend one of the focus groups and report any findings back to the board. The focus groups may bring light to additional needs of the community and lead to additional ideas for action items for the Youth Advisory Board. E. Update on Website Opportunities and Logo -Traci Stengle, Special Services Superintendent, Georgetown Parks and Recreation 4 Traci Stengle shared with the board that we have permission to setup a web page off our Georgetown Parks and Recreation web site. We can also work on creating a logo that would represent the board. The Special Events and Marketing Coordinator, Addison Elliott, has agreed to assist the board with setting up this page. She will be invited to the next board meeting to discuss the next phase. Hannah Peirce also suggested inviting the art clubs to assist with logo ideas. Traci Stengle re -iterated that the logo should also represent the community as a whole and not just GHS. Legislative Regular Agenda F. Discussion and possible action to approve the minutes from the March 21, 2016 Youth Advisory Board Meeting Motion to approve the minutes was made by Alyssa. Motion was seconded by Hannah. The minutes from the February 1s' Youth Advisory Board meeting were approved 5 —0-4. G. Discussion and possible action to elect the Secretary of the Youth Advisory Board Hannah Pierce made a motion to elect Jacqueline Massey as Secretary of the Youth Advisory Board. Motion was seconded by Alyssa Hyle. Motion approved 5 — 0 — 4. H. Discussion and possible action to elect the Vice -Chair of the Youth Advisory Board Alyssa made a motion to elect Hannah Pierce as Vice -Chair of the Youth Advisory Board. Motion was seconded by Jacqueline Massey. Motion approved 5-0-4. Adjournment Thomas moved to adjourn the meeting. Alyssa seconds the adjournment.
