Call to order: The meeting was called to order at 6:01 pm. It was noted that Randy Havelka was designated a voting member representing Green Builders. 2. Financial: A. Lorie Lankford, Accounting Supervisor for the City of Georgetown, who was unable to attend, provided the Financial Statement to the PID Board. According to the documents submitted by her, some assessments had not been collected to date; but it is expected that all remaining assessments will be collected prior to the end of the fiscal year. As of June 30, 2010, the reserve is $111,501.72. Ms. Lankford will attend the PID Board meeting next month. The PID Board will then submit the operating budget for 2011, and will then recommend the annual tax rate. B. Recap of approved expenditures since the May 11, 2010 meeting was provided to Board members. Approved expenses were for the monthly landscaping fee provided by Sunterra as well as irrigation repairs. 3. Consideration and possible action to approve the minutes of the Georgetown Village Public Improvement District #1 meeting held on May 11, 2010: A motion was made to approve the minutes as presented. ' Motion—Tom McKitrick Second — Richard Nesbit Ayes — 5 Nays — 0 Motion approved. 4. Consideration and possible action regarding request by Sunterra for maintenance and additional work: Matt Saulsgiver submitted an itemized proposal for replacing dead plants and adding mulch to the Rosedale entrance with the total being $2,948.87. A motion was made to accept Sunterra's bid for plant replacement and mulch in the Rosedale entrance. Motion — Richard Nesbit Second — Randy Havelka Ayes — 5 Nays — 0 Motion approved. Matt Saulsgiver submitted a proposal for spraying deer repellent on the bulbine plants in the Village Commons, Rosedale, and Westbury entrances for $415. A motion was made to accept Sunterra's bid for spraying deer repellent on bulbine plants in the Village Commons, Rosedale, and Westbury entrances. Motion—Tom McKitrick Second - Richard Nesbit Ayes — 5 Nays — 0 Motion approved. Matt Saulsgiver submitted a proposal for pruning bushes along both sides of Shell Road, including the hauling away of all material for $875. A motion was made to accept Sunterra's bid for pruning bushes along both sides of Shell Road, including the hauling away of all material for $875. Motion—Tom McKitrick Second — Richard Nesbit Ayes — 5 Nays — 0 Motion approved. Matt Saulsgiver submitted a proposal for mowing, edging the sidewalk, and blowing the Bellaire park area on Madrone for each time at $235.79. A motion was made to accept Sunterra's proposal for mowing, edging the sidewalk, and blowing the Bellaire park area on Madrone for one time at $235.79. Motion—Tom McKitrick Second—Richard Nesbit Ayes — 5 Nays — 0 Motion approved. Tom McKitdck requested that Green Builders develop the Bellaire entrance landscaping. Chance Leigh stated Green Builders will not be responsible for this. Discussion ensued. Chance Leigh asked Matt Saulsgiver to submit to the PID Board in 30 days a proposal for irrigation, power source, and landscaping for this area. Chance Leigh will ask Grass Patch to submit one also. A motion was made stating the PID requests bids from Sunterra and Grass Patch regarding the development of the Bellaire entrance. The PID Board will address this issue; however, future entrances may or may not be PID responsibility. Motion —Tom McKitrick Second —Richard Nesbit Ayes — 5 Nays - 0 Motion approved. Matt Saulsgiver requested clarification on what is needed at the Bellaire entrance. Chance Leigh will give both contractors information regarding this. 5. Consideration and possible action regarding request by developer to maintain park on Madrone: Addressed under #4. No action required. 6. Proposed GTV PID Newsletter. Newsletter draft was presented by Cheryl Welch with a request for Board member feedback. Discussion occurred. Board members decided newsletter was ready for reproduction and delivery to Georgetown Village residents. Chance Leigh will make arrangements for reproduction and supply schematic to get it delivered. Tom McKitrick and Betsy Stiefelmaier will deliver the newsletter to residents on the east side of Georgetown Village. The remainder of the board will deliver newsletter to residents on the west side of Georgetown Village. A motion was made to have newsletter reproduced not to exceed $300. Motion—Tom McKitrick Second—Richard Nesbit Ayes — 5 Nays — 0 Motion approved. 7. Status of Section 6: It was noted for the record that no new information was available regarding this matter. This item will remain on the agenda until such time that it is resolved. 8. New/Other Business: None 9. Opportunity for resident(s) to address the PID Board: Ken Cofer, resident, asked about the condition of the east side of Summers Green Park. Chance Leigh stated the City of Georgetown is responsible for the maintenance of this area. 10. Adjourn: A motion was made to adjourn the meeting at 7:12 pm.
