CALL MEETING TO ORDER. ` The meeting was called to order at 5:03 pm. 2. CONSIDERATION AND POSSIBLE ACTION TO APPROVE MINUTES OF FEBRUARY 11, 2008 MEETING A motion was made to approve the minutes as read: Reagon Seaver — Motion — Ayes - 7 Brad Johnson — Second — Nays — 0 Motion passes Seven (7) — Zero (0) 3. GEORGETOWN VILLIAGE PUBLIC IMPROVEMENT DISTRICT #1 — ORDINANCE A. It was noted that Sections 6 and 8 of Georgetown Village were not included in the Georgetown Village Public Improvement District #1. A resolution was passed to include Sections 6 and 8 in the Georgetown Village Public Improvement District #1 in accordance with Platt identifying boundaries. Green Builders will file appropriate paper work with City of Georgetown. 4. UPDATE AND DISCUSSION OF PREVIOUSLY APPROVED LANDSCAPE AND MAINTENANCE ITEMS A. It was noted that the previously approved Kiosks for dissemination of information by Green Builders had been purchase and will be located as follows: 1 — To be located by the Gazebo on Westbury Lane Georgetown Village PID Minutes of 5/12/08 Meeting I — To be located in Madrid Park by the mailbox area B. The matters pertaining to the maintenance of the alleyway and the repair of the Gazebo on Westbury Lane. C. The matter pertaining to painting sign poles, replacing missing signs, designating cross walks was discussed. Rather than carving this matter over, the following motions were made: (1) A motion was made to authorize the Georgetown Village PID President to work with Green Builders to have unpainted poles painted and missing signs replaced not to exceed $1500.00. Reagon Seaver — Motion — Ayes — 7 Mark Gram — Second — Nays — 0 Motion passes Seven (7) - Zero (0) (2) A motion was made to authorize the Georgetown Village PID President to work with Green Builders to paint and purchase appropriate signage for the cross walk in the alley way to Village Park (between residents 223 & 225) not to exceed $600.00. Tabled for a special meeting to be held prior to August 2008 was a follow-up to the November 19, 2007 agenda item and minutes directing the landscape upgrading of the parks on a predetermined schedule to include park improvements such as, but not all inclusive, replacement of park benches including the bench pads, replacement/repair of irrigation systems and renovation of pedestrian walkway easement sidewalks. 5. DISCUSSION AND POSSIBLE ACTION ON NEW LANDSCAPE AND MAINTENANCE ITEMS A. The PID has requested additional information from the landscaper regarding the cost to upgrade the parks to a minimum established standard. Upon receipt, a special meeting will be held to consider appropriate action. 6. UPDATE AND DISCSION OF CURRENT YEARS BUDGET AND EXPENSES YTD, AND CURRENT LANDSCAPE CONTRACT. A. The PID requested that the following information be obtained from the City of Georgetown prior to any action being taken regarding the expenditure of funds for additional landscaping or maintenance: Specifically, the Georgetown Village PID President is to contact the City of Georgetown to request information regarding the breakdown of budget items for the PID to review. The PID members would like this information to be obtained in Fiscal Year quarters if at all possible. The PID does not have this information available to it at this time. Georgetown Village PID Minutes of 5/12/08 Meeting lB. The PID also requested a copy of the current landscape contract in order to clarify obligations of the contractor. 7. RESIDENTS WISHING TO ADDRESS THE BOARD A. Two Georgetown Village residents presented their concerns regarding the condition of Chestnut Park. Specifically, a developer used the park as a thoroughfare during the construction of new homes; and afterward made no attempt to restore the park in spite of this being brought to his attention. In addition, they noted, via pictures submitted to the Board, that the overall maintenance of the park has not been on the same par as other parks in the Village and asked that this matter be addressed. It was noted that the park had either been seeded along with the other parks over the winter and the seed did not take, or that it had not been seeded at all. The homeowners should not have to pay for this failure. Mr. Chance Leigh of Green Builders noted for the Board that he was aware of the condition of Chestnut Park and that Green Builders had officially notified the developer of their responsibility to reestablish the park, at a minimum, to the condition it had been in prior to it being used as a construction thoroughfare. Green Builders will assure that Chestnut Park is brought up to the standard being established for all parks overseen by the Georgetown Village Public Improvement District #1 8.
