HomeMy WebLinkAboutMinutes_CVB_03.14.2017Minutes of Meeting of the Convention & Visitor Bureau Board City of Georgetown, Texas March 10, 2017 The Convention & Visitor Bureau Board will met on Friday, March 10 at 8:30 am at Convention and Visitors Bureau Office, located at 103 W. 7" Street, Georgetown, Texas. MEMBERS PRESENT: Georgene Richaud, Christy Fisher, Tauyna Vessels, Rita Healy, Karen Soeffker, Stephanie Blanck MEMBERS ABSENT: Al Shankkle STAFF PRESENT: Cari Miller, Ray Dorton GUEST: Mark Miller, City of Georgetown Transportation Services Manager Milton VanDusen, Jack Frost Basketball Tournament Director Regular Session (This Regular Session may, at any time, be recessed to convene an Executive Session for any purpose authorized by the Open Meetings Act, Texas Government Code 551.) 1. Welcome/Call to order Chair Richaud called the meeting to order at 8:30 a.m. Legislative Regular Session 2. Discussion and possible action regarding approval of the February 10, 2017 minutes — Cari Miller, CVB Manager Motion by Fischer; second by Vessels to approve the February 10, 2017 minutes. Approved 6-0. 3. Board member introductions - Georgene Richaud, Board Chair - New member, Stephanie Blanck, was introduced as the newly appointed member of the CVB Board. 4. Discussion regarding transportation issues/concerns —Mark Miller, Transportation Manager Mark Miller provided an update on several topics that included status of the current sidewalk improvement areas; ADA compliance concerns; rework of areas around the Courthouse and signage location concerns within the city and along I-35. Miller also addressed the issue of restaurants utilizing city sidewalk areas in conjunction with their outside food service and the conditions found at numerous locations. He will develop a plan for presentation at the next Board meeting that addresses the restaurant's responsibilities relative to sidewalk maintenance. No action was taken. 5. Jack Frost Hotel Occupancy Tax Grant Follow-up Report Presentation — Cari Miller, CVB Manager VanDusen briefed the results of the Jack Frost Basketball Tournament held in December 2016. Overall tournament attendance was up in 2016 and more people utilized Georgetown hotel/motels as reported by the various team participants. The Tournament had an increased number of college scouts viewing the high school team players. Expressed interest in more advertising partnering with City and local businesses. No action was taken. 6. Discussion and possible action regarding the nomination and election of Board Vice -Chair and Secretary- Georgene Richaud, Board Chair Motion by Vessels, second by Soeffker to elect Christy Fisher as Vice Chair. Approved 6-0 Motion by Fisher, second by Vessels to elect Stephanie Blanck as Secretary. Approved 6-0. 7. Discussion and possible action regarding board meeting time, day, and location- Georgene Richaud, Board Chair Motion by Vessels, second by Fisher to continue to meet on the 2°d Friday at 8:30 a.m. in the CVB Conference Room. Approved 6-0. 8. Review of the City Council's Boards and Commissions Attendance Policy - Georgene Richaud, Board Chair Chair Richaud briefed the City Council's Attendance Policy. No action was taken. 9. Discussion and possible action regarding Hotel Occupancy Tax Grant process and application forms- Cari Miller, CVB Manager Miller briefed the HOT Grant Purpose Statement as previously developed and presented a revised Purpose Statement for the HOT Grant Program as follows: "To provide financial assistance to groups that bring activities or events to Georgetown which result in increased occupancy for Georgetown lodging facilities." Motion by Blanck, second by Vessels to approve the revised Purpose Statement. Approved 6-0. 10. Discussion and possible action regarding advertising and media exposure and dates of upcoming events- Cari Miller, CVB Manager Miller briefed the CVB monthly report, indicated that HOT revenue is experiencing a significant increase. Several publications recently presented favorable articles about Georgetown as a travel destination. During Super Bowl week advertising was placed in the Houston Chronicle. In February, Pandora advertising spots featuring Chet Garner. Board members were encouraged to provide names of potential Association contacts of which they may be a member or individuals they may know within an Association. The Board will have briefings over the next few months from Kimberly Garrett, Director of Parks & Recreation (May); Nat Waggoner, Transportation Analyst, Streets (April) and Mark Miller, Transportation Manager (April).
