MEMBERS PRESENT: Stephanie Blanck, Rachel Cummins, Rita Healy, Georgene Richaud, Al Shankle, Jim Wilson MEMBERS ABSENT: Tauyna Vessels STAFF PRESENT: Cari Miller, Marie Woodard, Marcy Renneberg GUEST: Milton Van Dusen Chair Richaud called the meeting to order at 8:38 a.m. Legislative Regular Session 1. Jack Frost Invitational Basketball Tournament Hotel Occupancy Tax Grant Follow -Up Report Presentation — Cari Miller, Tourism Manager Van Dusen presented the follow-up report. No action was taken. 2. Discussion and possible action to approve a Transportation Grant for the American Therapy Association Conference — Cari Miller, Tourism Manager and Marie Woodard, Group Sales and Servicing Coordinator Discussion was had around the guidelines of the transportation grant. It was recommended that the guidelines be put on the next agenda for a more comprehensive discussion. Motion by Wilson, second by Healy to approve the grant request in the amount of $1,024. Approved 5-0 (Healy abstained) 3. Discussion and possible action to approve a Transportation Grant for the Bhakta Open Conference— Cari Miller, Tourism Manager and Marie Woodard, Group Sales and Servicing Coordinator After a review of the application and discussion the following motion was made. Motion by Blanck, second by Wilson to approve the grant request in the amount of $2,500. Approved 5-0 (Healy abstained) 2/14/19 4. Discussion and possible action to approve a Transportation Grant for the Center for STEM Education Conference Cari Miller, Tourism Manager and Marie Woodard, Group Sales and Servicing Coordinator After a review of the application and discussion the following motion was made. Motion by Cummins, second by Shankkle to approve the grant request in the amount of $1,180. Approved 5-0 (Healy abstained) 5. Discussion and possible action to approve a Transportation Grant for the Texas Downtown Association Conference — Cari Miller, Tourism Manager Item pulled from agenda. 6. Discussion and possible action to approve a Transportation Grant for the National Instruments Finance Conference — Cari Miller, Tourism Manager and Marie Woodard, Group Sales and Servicing Coordinator After a review of the application and discussion the following motion was made. Motion by Cummins, second by Shankkle to approve the grant request in the amount of $403.00 Approved 5-0 (Healy abstained) 7. Presentation and discussion regarding the upcoming Tourism Strategic Plan - Cari Miller, Tourism Manager Miller presented the proposed Strategic Planning data collection and time frame (24 weeks). No action was taken. 8. Presentation and discussion regarding the CVB Performance Measures - Cari Miller, Tourism Manager Miller presented the FY 2018-19 Q1 Performance Measures. No action was taken. 2/14/19 2 9. Discussion and possible action regarding the Explore Georgetown App - Cari Miller, Tourism Manager & Marcy Renneberg, Marketing Coordinator After presentation and discussion, it was agreed that the Explore Georgetown Mobile App is no longer cost effective. Motion by Wilson, second by Shankkle not to renew the contract with AVAI Mobile Solutions effective April 28, 2019. Approved 6-0 10. Red Poppy Festival Update - Cari Miller, Tourism Manager Miller gave an update on the upcoming Red Poppy Festival. No action was taken. 11. Discussion and possible action regarding advertising and media exposure and dates of upcoming events- Cari Miller, Tourism Manager Miller provided current status of the CVB's advertising and media activities. The January public relations report is attached. No action was taken.
