MEMBERS PRESENT: Stephanie Blanck, Rita Healy, Daniel Orozco, Christy Fisher, Jim Wilson MEMBERS ABSENT: Rachel Cummins, Karen Soeffker STAFF PRESENT: Cari Miller, Marie Woodard, Marcy Renneberg GUEST: Amanda Still, Kathy Grifford-Grazinskas, Barry Scott Williamson, Dwight E. Edman Chair Healy called the meeting to order at 8:34 a.m. Legislative Regular Session 1. Discussion and possible action regarding approval of the December 19, 2018 and February 14, 2019 minutes - Rita Healy, CVB Board Chair Motion by Wilson, second by Blanck to approve the December 19, 2018 and February 14, 2019 minutes Approved 5-0 2. Board Member Introductions — Rita Healy, CVB Board Chair All Board members were introduced. Amanda Still introduced as the City of Georgetown Arts and Culture Coordinator. 3. Discussion and possible action regarding the nomination and election of Board Vice -Chair and Secretary— Rita Healy, CVB Board Chair Motion by Blanck, second by Healy to elect Wilson as Vice -Chair. Approved 5-0 Motion by Wilson, second by Healy to elect Blanck as Secretary. Approved 5-0 4. Discussion and possible action regarding board meeting time, day, and location— Rita Healy, CVB Board Chair Motion by Healy, second by Blanck to continue meeting on the second Thursday of each month at 8:30 a.m. Approved 5-0 3/14/19 5. Discussion and possible action to approve a Hotel Occupancy Tax Reimbursement Grant for the Texas Bach Festival - Cari Miller, Tourism Manager Clifford-Grazinskas and Williamson presented the application. After review and discussion, the following motion was made. Motion by Blanck, second by Fisher to award $2,000 to the Texas Bach Festival contingent on the presentation of a post event survey using an online survey tool. Survey Monkey was suggested. Approved 4-0 (Healy abstained) 6. Discussion and possible action to approve a Transportation Grant for the Texas Downtown Association conference — Cari Miller, Tourism Manager and Marie Woodard, Group Sales & Servicing Coordinator After thorough review of the grant the following motion was made. Motion by Blanck, second by Wilson to approve the grant application for a maximum of $1,100. Approved 4-0 (Healy abstained) 7. Discussion and possible action to approve a Transportation Grant for the Office of the (' Attorney General Financial Crimes Conference —'Cari Miller, Tourism Manager and Marie Woodard, Group Sales & Servicing Coordinator After thorough review of the grant the following motion was made. Motion by Orozco, second by Wilson to approve the grant application for a maximum of $966.14. Approved 4-0 (Healy abstained) 8.Discussion and possible action regarding the Transportation Grant Application- Cari Miller, Tourism Manager After a thorough review of several items in the application the following motion was made. Motion by Orozco, second by Wilson to make the changes below. • Page 1, #1 - Add "Any exceptions must be approved by the Georgetown CVB. • Page 2, #6 - Payment of amount agreed upon in the grant application will be made "to either the booking group or the conference facility as indicated on the application." • Page 6, Section 7: add to the bottom: Reimbursement to: Booking Group or Conference Facility (circle one) Approved 5-0 3/14/19 10. Discussion and possible action regarding Keepin' Georgetown Friendly Destination Training - Marcy Renneberg, Marketing Coordinator No action taken. 11. Discussion and possible action regarding advertising and media exposure and dates of upcoming events - Cari Miller, Tourism Manager No action taken.
