October 10, 2019
The mission of the Georgetown Convention and Visitors Bureau is to increase the economic impact on
Georgetown by promoting the community as a tourist and meeting destination.
MEMBERS PRESENT: Stephanie Blanck, Rachel Cummins, Christy Fisher, Rita Healy,
Daniel Orozco, Karen Soeffker, Jim Wilson
MEMBERS ABSENT: None
STAFF PRESENT: Cari Miller, Marie Woodard, Kim McAuliffe
GUEST: . Conley Giles - Purple Heart Integration Project
Chair Healy called the meeting to order at 8:33 a.m.
Legislative Regular Session
1. Discussion and possible action regarding approval of the September 12, 2019 minutes - Rita
Healy, C VB Board Chair
Motion by Orozco, second by Wilson to approve the September 12, 2019 minutes as written.
Approved 6-0. (Cummins arrived after vote)
2. Discussion and possible action to approve Hotel Occupancy Tax Reimbursement Grant for the
Texas Masters Pickleball Tournament — Cari Miller, Tourism Manager and Conley Giles
representing the Purple Heart Integration Project
Giles presented the application and answered questions. After a lengthy discussion, the
following motion was made.
Motion by Fisher, second by Wilson to approve $1,000 grant for the November 2019 event and
request that the organization reapply in early 2020 for the May 2020 event.
Approved 4-3 (Blanck, Cummins, Fisher, Wilson voting in favor)
3. Discussion with the Downtown Georgetown Association regarding communication with the
downtown merchants/restaurants - Cari Miller - Tourism Manager; Marie Woodard - Group
Sales and Servicing Coordinator. and Kim McAuliffe - Downtown Development Manager
Discussion was held around the communication between the CVB and DGA when Conference
transportation grants have been awarded to come to downtown Georgetown. Woodard will
discuss hospitality expectations to all involved once a grant has been awarded.
No action was taken.

4. Discussion and possible action to approve a Transportation Grant for the Southern Baptist of
Texas Church Planter Retreat - Cari Miller, Tourism Manager and Marie Woodard - Group
Sales and Servicing Coordinator
Motion by Orozco, second by Soeffker to approve the grant request for a maximum
reimbursement of $778.40
Approved 6-0 (Healy abstained).
5. Discussion and possible action to approve a Transportation Grant for the Honey well
International HIS Forum - Cari Miller, Tourism Manager and Marie Woodard - Group Sales
and Servicing Coordinator
Motion by Orozco, second by Cummins to approve the grant request for a maximum
reimbursement of $2,500
Approved 6-0 (Healy abstained).
6. Discussion and possible action regarding Transportation Grant Guidelines — Cari Miller,
Tourism Manager with Marie Woodard, Group Sales and Servicing Coordinator
Wilson moved, second by Orozco for the following changes to the Guidelines:
o Item 1, Page 1: last sentence reads "Any exceptions must be approved by the
Georgetown CVB Advisory Board.
o Item 6, Page 1: Since rapid response time to a meeting planner's request proposal
(RFP) is crucial to business, the Georgetown CVB Board will review and take action
on the grant request at the next scheduled meeting.
o Item 7, Page 2 (Financials): No more than $2500 will be paid to any one group by the
Georgetown CVB in any one fiscal year. Any exceptions must be approved by the
CVB Advisory Board.
Motion approved 7-0.
7. Discussion and possible action regarding the 2020 Red Poppy festival Sponsorship levels -
Cari Miller, Tourism Manager
Sponsorship levels and recommendations reviewed.
Motion by Fisher, second by Cummins increase the sponsorship levels to the following:
Field of Poppies = $10,000
Red Poppy = $6,000
Bloom = $3500
Approved 7-0

8. Discussion and possible action regarding advertising and media exposure and dates of
upcoming events - Cari Miller, Tourism Manager
• Next Steps for the Strategic Plan was discussed
• November 4 - Best of Georgetown Awards at the Sheraton
• November 14 next CVB meeting
• November 17 from 2 - 5 PM reindeer, sleigh, crafts and the Capitol Tree on the Square
• November 29 - Lighting of the Square
