HomeMy WebLinkAboutMinutes_CVB_08.13.20208/13/2020 Minutes of Meeting of the Convention & Visitor Bureau Board City of Georgetown, Texas August 13, 2020 via Zoom The mission of the Georgetown Convention and Visitors Bureau is to increase the economic impact on Georgetown by promoting the community as a tourist and meeting destination. MEMBERS PRESENT: Stephanie Blanck, Blake Triplet, Jim Wilson, Rachel Cummins, Christy Fisher MEMBERS ABSENT: Karen Soeffker, Daniel Orozco STAFF PRESENT: Cari Miller, Trish Long, Eric Johnson GUEST: None 1. Discussion on how this virtual conference will be conducted, to include options for public comments and how the public may address the Commission - Cari Miller, Tourism Manager Miller explained how the Zoom meeting would be conducted. 2. Welcome/Call to order – Jim Wilson, CVB Vice -Chair at 8:38 a.m. Legislative Regular Session 3. Discussion and possible action regarding approval of the June 11, 2020 minutes - Jim Wilson, CVB Vice -Chair Motion by Cummins, second by Triplet to approve the June 11, 2020 minutes as written. Approved 5-0 by roll call vote. 4. Discussion and possible action regarding the nomination and election of Board Vice-Chair and Secretary - Jim Wilson, CVB Vice -Chair Motion by Cummins, second by Triplet to nominate Jim Wilson as Vice Chair and Stephanie Blanck as Secretary. Approved 5-0 by roll call vote. 5. Discussion and possible action to recommend contracting with DecorIQ for the leasing, installation, and maintenance of the 2020 holiday lights, the installation and maintenance of the building cornice lights, and the installation and removal of the holiday wreaths and tree in the amount not to exceed $101,975 - Cari Miller, CVB Tourism Manager, Trish Long, Eric Johnson The contract was reviewed and discussed. This company has been doing the lights since 2015 and $81,000 will be coming from the CVB Budget. Motion by Blanck, second by Cummins to recommend City Council approve the contract. Approved 5-0 by roll call vote. 8/13/2020 6. Discussion and possible action to regarding a Transportation Grant for Altrusa International District Nine Conference - Cari Miller, Tourism Manager Altrusa International will be held April 15 - 18, 2021. Motion by Blanck, second by Cummins second to approve the grant application for a maximum reimbursement of $1,167.00. Approved 4-0 by roll call vote (Triplet abstained). 7. Discussion and possible action the Transportation Grant Program and Application - Cari Miller, Tourism Manager As per requested at the June 2020 CVB Board meeting, Miller and Triplet were given the task to review the purpose and application of the Transportation Grant. A red lined copy of the grant was reviewed by the CVB Board. After much discussion, the name of the grant will be changed to read "Hotel Conference and Meeting Grant Program". During this time of COVID-19, most who are booking conferences are driving in and have their own transportation. It is imperative to entice with incentives all conferences to come to Georgetown. Motion by Blanck, second by Cummins to approve all changes to the grant application as presented. Approved 5-0 by roll call vote. 8. Discussion and possible action regarding advertising and media exposure and dates of upcoming events - Cari Miller, Tourism Manager Packet reviewed and discussed. POPPtoberfest has been canceled and the 2021 Red Poppy Festival will be held April 23 - 25, 2021. The Visitors Center hours have temporally changed to 11:00 - 5:00 Monday - Saturday and closed on Sunday. At this time, a decision has not been made regarding the Lighting of the Square. Next meeting is September 10, 2020.
