PRESENT: Jane Estes, Tim Fleming, Sharon Snuffer, and Linda Wilde. STAFF PRESENT: Eric Lashley – Library Services Director, Lawren Weiss-Administrative Assistant ABSENT: Susie Flatau and Laura Sewell Call to order at 4:30 pm A. Citizens wishing to address the Board. – Jane Estes, Board Chair. None were present. No action required. B. Announcements regarding arts and culture. -Jane Estes, Board Chair. Updates from City staff and board members on the following topics:  Georgetown ISD  Southwestern University’s Senior Show  Georgetown Symphony Society and Round Rock Symphony merger  Texans for the Arts board update C. Consideration and possible action to approve the November 27, 2018 meeting minutes. –Jane Estes, Chair. No discussion necessary. Motion by Wilde; second by Snuffer to approve the November 2018 minutes as distributed. Approved 5-0 (Flatau and Sewell absent). D. Review of Library Director’s monthly report. –Eric Lashley, Library Director. Lashley reviewed his report with the board (attached). He also provided updates on the meeting with Georgetown Art W orks regarding memberships, bylaws and other topics. Lashley reported the City will have an estimated thirty thousand dollars to create an outdoor arts project, utilizing the Covey architect firm. City staff have discussed options such as a farmers market, sculpture garden, shade structures and performance space. The Arts and Culture Board will be invited to stakeholders meeting in February. There will also be a parking garage project coming soon that could involve the board’s participation. No action required. E. Discussion of the arts and culture grant program. –Eric Lashley, Library Director. Lashley asked the board to consider making changes to the current structure of the arts and culture grant program. The current program is contingent upon funding from the City and allows individuals or non-profits to apply for one of two rounds within the City’s fiscal year. This model is confusing both to staff and applicants. Lashley proposed doing one call per calendar year that will cover events taking place within an 18 month period, instead of the two 6 months rounds currently in place. The goal is to make the grant timelines more straightforward so the program can eliminate barriers for individuals and non-profits who may want to apply. No action required. Page 2 of 3 F. Discussion of Arts and Culture Coordinator vacancy. –Eric Lashley, Library Director. Lashley announced that the Arts and Culture Coordinator position had been posted on the City’s website. Lashley has put together a panel who will conduct interviews for the selected applicants. No action required. G. Consideration and possible action regarding future meeting dates. –Jane Estes, Chair. The next meeting will continue as regularly scheduled on Tuesday, January 15 at 4:30 p.m. Motion by Snuffer; second by Fleming to adjourn the meeting. Approved 4-0 (Flatau, Sewell and Watson absent).
