Library Advisory Board
City of Georgetown
September 14, 2015
The Library Advisory Board met on Monday, September 14, 2015 at 10:00 a.m. in the Staff
Conference Room of the Georgetown Public Library, 402 W. 8th Street
MEMBERS PRESENT: Pat Baldwin, Michael Barnes, Tom Milburn, and Linda Nix.
STAFF PRESENT: Eric Lashley- Library Director
Regular Session
A. Citizens wishing to address the Board. – None were present.
B. Consideration of minutes of the July 20, 2015 meeting. – Michael Barnes made the motion to
accept the minutes of the July 2015 Library Advisory Board Meeting. Tom Milburn seconded the
motion, which passed unanimously.
C. Consideration of the Library Director’s Report. – Eric Lashley. Lashley reviewed the Library
Director’s Report that was provided to board members in the month’s agenda packet. Lashley
noted that volunteer hours increased during July and August. The number of books added to the
collection decreased during August, due to the resignation of Cataloging Librarian, Brenna
Normann. Lashley read the patron comments from the library’s suggestion box.
Lashley reported changes in the library’s staff. Library Assistant Laura Helpert has been hired to
fill the Cataloging Librarian position. The part-time position vacated by Laura Helpert will be
posted soon. Noreen Rafique resigned to become a full-time student at St. Edwards University.
Kalena Powell and Michele Harber are swapping many of their job duties. Kalena will be
responsible for the operation of the bookmobile. Michele will take over as the volunteer
coordinator, while still managing behind-the-scenes operation of the bookmobile. The library will
hire a full-time Children’s Services Library Assistant to cover the story times that Kalena was
performing.
The City’s annual budget was passed at the first Council meeting in September. The budget does
include a Cataloging Librarian position. Lashley thanked the Library Board for their support of this
position.
Lashley reported that the library will be hosting a b ookmobile networking meeting on October 2,
2015 for area libraries interested in starting a bookmobile service for their patrons. The annual
CTLS (Connecting Texas Libraries Statewide) meeting will be held in Temple on Friday,
September 25. All board members are welcome to attend.
The Friends of the Georgetown Public Library held their annual meeting on September 8, 2015.
During fiscal year 2014-2015, the Friends have given the library over $72,000 in support.
D. Consideration and possible action to approve the library staff’s recommendation to select Ingram,
Inc. as the preferred book vendor for the library. – Eric Lashley. Lashley explained that there are
two major book vendors for public libraries: Ingram, Inc. and Baker & Taylor. The library has used
Ingram in previous years because we can utilize a State of Texas contract with negotiated pricing,

discounts, and free shipping. Baker & Taylor’s pricing and shipping costs are comparatively
higher. Milburn moved to approve the selection of Ingram, Inc. as the library’s preferred book
vendor. Barnes seconded the motion, which passed unanimously.
E. Consideration and possible action to approve the library staff’s recommendation to select Midwest
Tape as the preferred media vendor for the library. – Eric Lashley. Lashley explained that Midwest
Tape gave the best discounts and service for media such as DVDs, music CDs, and books on CD.
Pat Baldwin moved to approve the selection of Midwest Tape as the library’s preferred vendor
for media. Barnes seconded the motion, which passed unanimously.
F. Update on the new parking lot and Downtown West Project. – Eric Lashley. Lashley reported that
the City is waiting for permits by the Texas Commission on Environmental Quality before
beginning construction. Lashley reported that he had met with City representatives concerning a
parking study they are doing in conjunction with the Downtown West Project. The second public
meeting was held for the Downtown West Project on August 12, 2015. The concerns expressed
by the public will be presented to Council in September. The proposed large festival area near 9th
Street has been removed from the project.
G. Consideration of the Volunteer Report. – Tom Milburn. Milburn reported that he and Lashley had
met with Volunteer Coordinator, Kalena Powell, regarding Milburn acting as a liaison between the
Library Advisory Board and the library’s volunteers. Powell and Lashley are in favor of this idea
and Milburn will now report any volunteer related interests or concerns to the Board during the
monthly meetings. Milburn reported that the only concern expressed thus far was regarding the
OverDrive downloadable books product. Milburn said he referred the volunteer’s concern to
Assistant Director, Sally Miculek and she responded to the volunteer.
H. Consideration and possible action to change the way board members receive agenda packets . –
Eric Lashley. The Board tabled this item until next meeting, since only four members were
present at the time. This item will be on the October agenda for all seven board members to
discuss.
I. Consideration of dates of future Board meetings. –Eric Lashley. The next Library Advisory Board
meeting will be held on Monday, October 12, 2015 at 10:00 a.m.

DIRECTOR’S MONTHLY REPORT
GEORGETOWN PUBLIC LIBRARY
September 2015
HIGHLIGHTS
The library was closed on September 7 in observance of Labor Day.
The Friends of the Library held their Annual Membership Meeting and luncheon on
September 9. The Friends reported that they had given over $64,000 in support to the
library during the past fiscal year.
Cactus Groove provided live music on September 20, 2015.
The Texas Society of Sculptors’ Summer Show concluded on September 25.
Storytime programs resumed on September 1.
The 50th Anniversary Committee hosted a Book Art Contest at the end of September.
Entries were displayed through the first week of October. Winner of the contest was the
“Book Snowflake.”
