The Library Advisory Board met on Monday, September 15, 2014 at 6:30 p.m. in the staff conference
room of the Georgetown Public Library, 402 W. 8 th Street
MEMBERS PRESENT: Michael Barnes, Lois Case, Tom Hagen, Linda Nix, and Margaret
Thompson
Regular Session
A. Citizens who wish to address the Board. None were present.
B. Consideration of minutes of the August 18, 2014 meeting. – Lois Case made the motion
to accept the minutes of the August 2014 Library Advisory Board Meeting and Tom Hagen
seconded the motion. The motion passed unanimously.
C. Consideration of Library Director’s report – Eric Lashley – Lashley introduced Lawren
Weiss to the board and informed the board that she is learning the duties of the
Administrative Assistant position in preparation for the retirement of Judy Fabry. Lashley
asked Margaret Thompson to share her good news. Thompson is the new school librarian
at Leander Middle School.
Lashley reported that circulation for the month of August was up over the previous year, but
visitations were less than the previous year.
Internet usage was 6,233 users, there were 1,801 e-book checkouts and 368 downloadable
audiobooks were checked out. The bookmobile circulation was 2,741. Lashley noted
bookmobile circulation may be down for the month of September due to a mechanical
failure on the bookmobile that caused a number of runs to be canceled.
Lashley reported 916 volunteer hours for August.
Lashley reported that approximately 65 people attended the Friends of the Library’s annual
membership meeting on Wednesday, September 10, at which new officers were elected.
Lashley noted that the first Maketember program will be September 20 from 2 p.m. to 4
p.m. and the live music on Sunday, September 21 will be New Orleans-inspired jazz.
Lashley noted that inventory will be held Tuesday, October 7 through Friday, October 10.
The meeting rooms will be available to previously scheduled meetings.
Lashley read the patron comments for the month of August.
D. Report on future staff vacancies at the Library – Eric Lashley – Lashley reported Leslie
Bradley’s last day was on September 13 and Judy Fabry’s last day in the library will be on
October 31. Their job duties will be reassigned to other staff members during the transition
period. Leslie Bradley’s position will have a new title of Fine Arts Librarian and the
volunteer coordinator duties will be reassigned to a Library Assistant II position.
E. Report on library budget for FY 2014-15 - Eric Lashley – Lashley reported that the library
received an additional $8,000 for programming. Staff will receive a cost of living
adjustment and are eligible for merit pay. The City has budgeted funds to update the
audiovisual equipment in the meeting rooms and there are also funds available to replace
carpet and furniture.
F. Report on the library website project. – Eric Lashley – Lashley reported that the City has
hired Steel Branding to update all of the City’s websites. The City is conducting focus
groups and Lashley suggested that the consultants use the library board as a focus group.
G. Report on status of the parking lot at 8 th and MLK, Jr. – Eric Lashley – Lashley reported
that the contract between the City and County has been signed. He noted that the City
needs to go before the Historic Architectural Review Commission (HARC) to get approval
to demoli sh the metal buildings. There is an item on the September 25, 2014 HARC
agenda to approve the demolition.
H. Consideration of dates of future Board meetings – Eric Lashley – The board noted that the
next meeting will be held on October 20, 2014. There was no motion to move the meeting
date or time.
Chair Linda Nix adjourned the meeting at 7:05 P.M.

SEPTEMBER 2014
HIGHLIGHTS
The Maketember event held on September 20 featured a Glow Doodle Studio, spin art, Legos,
Littlebits, Makey Makey, a 3-D printer and more. Approximately 200 patrons turned out for the
event. Thank you to our Maketember partners Girlstart, TechShop. Learning Fun 101, and
the Society of Creative Anachronism.
The Tween Garden club started again on September 13.
The Williamson County Art Guild displayed art for the month of September.
On September 21, Le Grosse Tete performed New Orleans style jazz for our patrons for our
live music series.
Toni Nietfeld and Melissa Mote attended the Connecting Texas Libraries State wide (CTLS)
technology training on September 26 at the Kyle Public L ibrary. Eric Lashley, Sally Miculek,
and Linda Nix attended the CTLS annual meeting in Kyle on September 26.
Bethni King attended two Strategic Government Resources training sessions. Bethni is one
of the supervisors in the City of Georgetown selected to attend this year-long management
training course.
PATRON COMMENTS FOR AUGUST 2014
1. Patron comment: Please purchase Andrea Boeshaar’s books Season of Redemption in
Large Print.
2. Patron comment: The library allows way too much noise.
3. Patron comment: Library or Beach?
4. Patron comment: Let some read books so the know more of the library.
5. Patron comment: Hi, have music in here please.
6. Patron comment: I think all kids in middle school should be able to check out gaming
remotes.
7. Patron comment: Please requi re patrons to keep their shoes and socks on! Very
unsanitary!! New trend up-stairs!
8. Patron comment: Please purchase more boys titles in JF collection.
9. Patron comment: Staff rude. Would not let children play with toys at 4:25 PM. The library
is supposed to be open until 5 PM.

DONATIONS -- September 2014

SUBJECT:
Consideration and possible action authorizing library staff to purchase books from Ingram, Inc. in
a total amount not to exceed $110,000 for fiscal year 2014-2015. Eric Lashley
ITEM SUMMARY:
The City Council must approve spending more than $50,000 with a single vendor. Before Council
considers approving this spending, it must have been vetted by a City board related to the
department making the requests. The Library Advisory Board serves in that capacity.
In central Texas, only library materials vendors Ingram, Inc. and Baker & Taylor are set up to
handle the volume of single-title sales a library generates. Fiscal responsibility dictates that we
give most of our business to the one with the deepest discounts.
The library's budget for materials for FY 14-15 is $140,000. In FY 13-14, under contract 715-N,
State of Texas Co-Op # M2461, we spent $101,000 with Ingram because they gave us the deepest
discounts: 47% for hardcover books, 41% for paperbacks, and 31.5% for DVDs. Also, under this
contract we receive free shipping. We will operate under a new contract, 715-M2, for FY 14-15.
All discounts and free shipping remain the same.
FINANCIAL IMPACT:
The decision the Board makes will go forward to City Council. Approval will permit the library to
continue its current purchasing process.
