SUBMITTED BY: Lawren Weis s ATTACHMENTS: Description Type Minutes October 2016 Backup Material Page 4 of 13 Minutes of the Meeting of the Library Advisory Board City of Georgetown October 18, 2016 The Library Advisory Board met on Tuesday, October 18, 2016 at 6:30 p.m. in the Small Conference Room of the Georgetown Public Library, 402 W. 8th Street MEMBERS PRESENT: Pat Baldwin, Michael Barnes, Tom Hagen and Tom Milburn MEMBERS ABSENT: Pete Rose and Lindsay Cooper STAFF PRESENT: Eric Lashley- Library Director Vice Chair Tom Hagen called the meeting to order at 6:30 P.M. A. Citizens wishing to address the Board. – None were present. B. Consideration of the minutes from the September 20, 2016 Library Advisory board meeting. –Tom Hagen, Vice Chair. Michael Barnes moved to accept the September 2016 minutes as distributed. Pat Baldwin seconded the motion, which passed unanimously. C. Review of correspondence from the City Manager. –Eric Lashley, Library Director. The board reviewed a letter from City Manager David Morgan, responding to Chair Rose’s letter regarding Lashley’s participation in the Texas Library Association’s Texas Accelerated Library Leaders (TALL)/ Texas Leadership Development Institute Program as a mentor to the participants. Lashley expressed appreciation for the recognition from both the Board and City Manager. No action required. D. Consideration of Library Director’s Report. – Eric Lashley, Library Director. Lashley reminded members Baldwin and Rose that they must re-apply to remain on the Library Advisory Board for another term. After some discussion, the Board recommended inviting Teresa Robinson to apply to the Board to fill a vacancy left by Jonathan Sherwin last month. Lashley reviewed the monthly statistics with the Board and announced upcoming library events and staff conferences. Lashley announced that the library had received a donation of $1,000 from the Sun City Kiwanis for children’s programming. The library also participated in a bike study with a University of Texas Urban Planning graduate class. September’s comments from the library’s suggestion box were read. No action required. E. Report on Library Community Resources Coordinator position. –Eric Lashley, Library Director. Lashley handed out Patrick Lloyd’s resume (attached to these minutes), the candidate selected for the new Community Resources Coordinator p osition. Lashley informed the Board that Patrick was one of seven candidates interviewed out of more than 70 applicants. A panel of staff and nonprofit directors interviewed the candidates and unanimously sele cted Mr. Lloyd. Lloyd will begin work on Monday, November 14. Lashley and the board discussed the job duties Lloyd will provide for the library and area nonprofits. No action required. F. Report on inventory. –Eric Lashley, Library Director. Lashley reported the staff completed an inventory of the entire library in two and a half days. The loss rate was under 2 percent and Lashley expects the loss rate will continue to drop in the weeks ahead. A list of missing items will be distributed to the librarians to decide whether or not to reorder missing items and those that are not replaced will be removed from the catalog. Page 5 of 13 G. Report on the Strategic Plan Survey. –Eric Lashley, Library Director. Lashley reported that Sally Miculek and Suzette Davidson are working on the strategic plan survey. The library plans to have the survey out in November. No action required. H. Consideration of future meeting dates. – Tom Hagen, Vice Chair. The next Library Advisory Board meeting will be Tuesday, November 15, 2016 at 6:30 p.m. No action taken. Chair Rose adjourned the meeting at 7:25 PM. SUBMITTED BY: Lawren Weis s ATTACHMENTS: Description Type Director's report October 2016 Backup Material Statis tics October 2016 Backup Material Memorials Log October 2016 Backup Material Page 7 of 13 DIRECTOR’S MONTHLY REPORT GEORGETOWN PUBLIC LIBRARY OCTOBER 2016 OCTOBER- HIGHLIGHTS  The library was closed October 11-14 for inventory.  Cain & Asbury performed on October 16, in the library’s Live Music Series.  Art Hop competitors’ pieces were displayed at the library and Georgetown Art Center during October. A multi-location reception and award ceremony was held at the library and Art Center on October 1.  GPL Cinema presented a double feature on October 22 with Hotel Transylvania at 2 pm and a Viewer’s Choice Hitchcock film at 6:30 pm. Viewers chose to watch Dial M for Murder (Psycho and Rear Window were the other two options).  Children’s staff hosted 3 Harry Potter themed parties this month for f amilies, tweens and teens.  Lashley attended the Fast Pitch event coordinated by Chisholm Trail Communities Foundation. The library was nominated for an arts and culture grand from the organization, and won $3,000. The promotional video will also be used by the library. PATRON COMMENTS 1.
