SUBMITTED BY: ATTACHMENTS: Description Type Minutes December 2016 Backup Material Page 3 of 12 Minutes of the Meeting of the Library Advisory Board City of Georgetown December 13, 2016 The Library Advisory Board met on Tuesday, December 13, 2016 at 6:00 p.m. in the Small Conference Room of the Georgetown Public Library, 402 W. 8th Street MEMBERS PRESENT: Pat Baldwin, Michael Barnes, Lindsay Cooper, Tom Milburn, Teresa Robinson, and Pete Rose. MEMBERS ABSENT: Tom Hagen STAFF PRESENT: Eric Lashley- Library Director Chair Rose called the meeting to order at 6:00 P.M. A. Citizens wishing to address the Board. – None were present. B. Consideration and possible action to approve minutes from the November 15, 2016 Library Advisory Board meeting. –Pete Rose, Board Chair. Tom Milburn moved to accept the November 2016 minutes as distributed. Pat Baldwin seconded the motion, which passed unanimously. C. Consideration of Library Director’s Report. – Eric Lashley, Library Director. Lashley reviewed monthly statistics with the Board. He reported that there were no incidents with the homeless individuals the previous month because those who were causing disturbances had been issued Criminal Trespass Warnings. Lashley reported library staff rescheduled training for the Family Place Libraries grant to April 2017. The library will receive $6,000 to implement the program. Board members viewed a YouTube promotional video about the Family Place program. https://www.youtube.com/watch?v=rtaepSyLjOk&t=320s Lashley showed another promotional video by the Harwood Institute https://www.youtube.com/watch?v=EMfAC-CQlZA. The organization was hired by the American Library Association to help libraries engage with their communities. Lashley ex plained that he is the chair of the Texas Library Association’s Community Engagement Task Force. The goal of the task force is to help libraries tackle issues and provide a non-judgmental space in their community. November’s comments were read from the library’s suggestion box. No action required. D. Report on Library Community Resources Coordinator position. –Eric Lashley, Library Director. Lashley reported that Patrick Lloyd, Community Resources Coordinator, has been meeting with nonprofit agencies within the community such as, representatives from the Caring Place, Georgetown Health Foundation, Georgetown Project, Williamson County Health District, Fire Department, Barbara and George Brightwell, and the Emergency Transitional Housing Coalition. He also met with the City’s Transportation Committee about the fixed route bus system. Patrick will soon meet with the Ministerial Alliance and the City’s Commission on Aging. He is currently designing a tracking system to collect data and will be making a report to the board each month. Patrick will also begin training staff on dealing with difficult patrons. No action required. E. Report on upcoming Courageous Conversations program. –Eric Lashley, Library Director. Director Lashley reported that the library selected Congressman John Lewis’ series March, as the book to be used to direct discussions for Courageous Conversations programs in January and February. March is a three volume graphic novel series dealing with the civil rights movement and is a recent winner of the National Book Award. There will be discussions January 31, February 7, and February 21, 2017 from 5:30 P.M. to 7:30 pm at the library. On February 28, 2017 there will be a screening of the movie Good Hair, starring comedian Chris Rock. No action required. Page 4 of 12 F. Report on ADA (Americans with Disabilities Act) improvements at the library. –Eric Lashley, Library Director. Lashley informed the board that the City hired a construction company to make the sidewalk adjacent to the 9th Street side of the building ADA compliant. During construction the company damaged the native plant garden. The City will require the construction company to repair damages they caused. The City will also be replacing the black audio-visual equipment boxes, located in the Friends and Hewlett meeting rooms, with lockable cabinets. Lashley reported that the library is purchasing 2 laptops to be housed in the new AV cabinets in the Friends and Hewlett Rooms, because staff members are spending too much time troubleshooting the various types of laptops brought in by meeting room users. Renters will have access to the laptops for meetings, and library staff will save time in assisting with set-up and troubleshooting the equipment. G. Consideration of future meeting dates. – Pete Rose, Board Chair. The next board meeting will be held Tuesday, January 17 at 6:00 pm. Chair Rose adjourned the meeting at 7:10 PM. In memory of Tanya Jo Wiggins Steele Zinser, Sr.$1000 for Overdrive e-books GEORGETOWN PUBLIC LIBRARY DONATIONS -- December 2016 Page 9 of 12 DIRECTOR’S MONTHLY REPORT GEORGETOWN PUBLIC LIBRARY DECEMBER 2016 DECEMBER- HIGHLIGHTS  The library’s holiday hours were in effect December 19-31, with closings December 23-26.  Chaski performed on Sunday, December 18 in the library’s Live Music Series.  The Creative Arts Society displayed art in the library’s gallery during December.  GPL Cinema screened Elf December 20 and Santa Buddies December 22 in the Children’s Room.  During December, the library’s weekly e-newsletter averaged a readership of 4,073 people. About 52% view the newsletter on a mobile device.  Staff members attended the City’s Employee Appreciation Luncheon on December 9.  The children’s staff hosted a Winter Wonderland party on December 9 that included a visit from Santa.  Tweens enjoyed an Hour of Code event on December 10, and teens celebrated the holidays with an Ugly Sweater Party on December 17.
