C E RT IF IC AT E O F P O S T IN G I, R obyn Densmore, C ity S ecretary for the C ity of G eorgetown, Texas, do hereby c ertify that this Notic e of Meeting was pos ted at C ity Hall, 808 Martin Luther King Jr. S treet, G eorgetown, T X 78626, a place readily ac cessible to the general public at all times, on the ______ day of __________________, 2019, at __________, and remained so pos ted for at least 72 continuous hours preceding the sc heduled time of s aid meeting. ____________________________________ R obyn Densmore, C ity S ecretary Page 1 of 6 Minutes of the Meeting of the Library Advisory Board City of Georgetown March 5, 2019 The Library Advisory Board met on Tuesday, March 5, 2019 at 6:00 p.m. in the first floor Conference Room, Georgetown Public Library, 402 W. 8th Street MEMBERS IN ATTENDANCE: Lindsay Cooper, Cale Hart, John Hudson, Michael Kelley, Thom Sinwell, Linda Schaffer and Richard Thielmann. STAFF IN ATTENDANCE: Eric Lashley – Library Director. The meeting was called to order at 6:00 p.m. by Chair Cooper. Regular Agenda A. Citizens wishing to address the Board. None were present. No action required. B. Introductions of new board members Cale Hart and Richard Thielmann. – Lindsay Cooper, Chair. Cooper asked the veteran board members to introduce themselves to Hart and Thielmann. She then asked Hart and Thielmann to introduce themselves to the board. No action required. C. Review of bylaws and attendance policy for the Library Advisory board. – Eric Lashley, Library Director. Lashley reviewed the bylaws and noted the board is also responsible for processing a reconsideration for library materials when a patron issues a complaint to the board. Lashley reviewed the attendance policy, noting that members must attend at least 75% of the meetings or they can be removed by City Council. Lashley reviewed other roles of the board such as the importance of updating the strategic plan and officers’ responsibilities. No action required. D. Consideration and possible action to approve minutes from the February 5, 2019 Library Advisory Board meeting. – Lindsay Cooper, Chair. Motion by Kelley; second by Schaffer to approve the February 5, 2019 meeting minutes. Approved 7-0. E. Discussion and possible action to elect a Vice-chair and Secretary. – Lindsay Cooper, Chair. Motion by Kelley; second by Hudson to elect Thom Sinwell as Vice-chair. Approved 7-0. Motion by Sinwell; second by Hudson to elect Michael Kelley as Secretary. Approved 7-0. F. Consideration and possible action regarding meeting time, day, and location. – Lindsay Cooper. Following brief discussion, motion by Schaffer; second by Hart to keep the regularly scheduled meeting time for the Library Advisory Board on the first Tuesday of each month at 6:00 p.m. in the first floor staff conference room of the library. Approved 7-0. G. Consideration of Library Director’s report. – Eric Lashley, Library Director. Lashley showed the board an article from the Williamson County Sun of former board chair Pete Rose and former board member Pat Baldwin (attached). Lashley reported staff member Patrick Lloyd was interviewed for the NBC Nightly News with Lester Holt on Monday, February 18. The story was about social workers in libraries and could run anytime in the next 2 months. Lashley noted the Red Poppy Plaza shade structures had finally been installed after months of delay. Page 2 of 6 The library hosted a Black History Banquet on February 22. The library purchased 20 Chromebooks for patron checkout using the IMLS National Medal award funds. Lashley reviewed the monthly statistics with the board and explained to the new board members the complexities of circulating e-books. Lashley also reviewed significant donations and gifts given to the library, read patron comments from the suggestion box, and an e-mail regarding the library’s use of a patron photo in its publicity (attached). No action required. H. Report on meetings with Georgetown Independent School District’s staff. – Eric Lashley, Library Director. Lashley presented a report from the library’s children’s staff documenting the engagement with members of Georgetown ISD. There was discussion from the board concerning the library’s objectives in regards to programming for students of GISD. Hudson reviewed for the new members the focus groups he conducted with each high school. Lashley asked for guidance to get buy-in from GISD Administration. Kelley asked Lashley to change the agenda item in the future to allow for action items. He suggested, “Discussion and possible action regarding interaction with the Georgetown Independent School District.” After much discussion, Hudson reiterated the need to place objectives for GISD in the context of the strategic plan. No action required. I. Consideration and possible action regarding the library’s strategic plan. – Eric Lashley, Library Director. Lashley will distribute a copy of the strategic plan to the new board members. Hudson felt the library is behind schedule on drafting the new strategic plan. He emphasized he wanted measureable objectives and suggested the board schedule a retreat to finish the plan. The board looked at their calendars, but Cooper suggested they bring back objectives they would like to incorporate into the plan at the April Board meeting. Cooper asked Lashley about the $20,000 grant given to the library by the W.D. Kelley Foundation. Cooper asked to have an agenda item added for the next board meeting to discuss how those funds can be used in the future. Hudson suggested if the strategic plan included a major author event, the funds could be used for that purpose. No action taken. Patron Comments 1. Once again housekeeper has used the FOUL smelling solution on the water Fountain. Use glass cleaner!! 2. Great help ERIN its Awesome! 3. I want to tell you that I was taken care of by Miss Gloria. She is very kind and very professional person in the performance of her work. I am very grateful for her help. Thank you. 4. Patron complained of lack of up-to-date baking books. 5. There was not a lot of open seating for studying, so we had to have a tiny table to study. 6. Too Cold 70° In Winter? 7. Since the library provides Pampers for babies, how about providing Depends for the elderly. Lot of older people in Georgetown now.
