Rinn, Executive Assistant to the City Manager MINUTES Legislative Regular Agenda A. Call to Order--Suzy Pukys, SPCS Advisory Board Chair The Meeting was called to Order at 3:32 p.m. B. Roll Call --Suzy Pukys, SPCS Advisory Board Chair All Members were present. C. Consideration and possible action to approve the Minutes from the March 29, 2016 SPCS Advisory Board Meeting—George Porter, Secretary Motion by Rauch, second by Griffin to approve the Minutes from the March 29, 2016 SPCS Advisory Board Meeting. (Approved 5-0) D. Discussion and possible action regarding any questions from the Board Members related to the review of the grant cycle timeline and the Policy, Guidelines, Application, Evaluation, and Recommendation Process for the FY 2016-17 Strategic Partnerships for Community Services Grant Cycle that were presented at the March 29, 2016 SPCS Advisory Board Meeting-- --Suzy Pukys, Board Chair The Board discussed the current process for vetting applications that are submitted to the City for determination whether the applications are complete. Rinn told the Board that currently city staff vets the applications that are received prior to the Board review. The Board felt that the initial vetting of the applications for completeness should be a Board responsibility and that the Board should determine whether or not an application was submitted by the deadline and includes all of the required criteria and whether to accept or reject each application. Motion by Gambone, second by Porter to have the Board schedule a meeting right after the FY 2017-18 Strategic Partnerships for Community Services Grant Application deadline to review submitted applications to ensure that each submitted application was submitted by the deadline and includes all of the required criteria and to accept or reject each application based on that review. Discussion and possible action regarding any additional revisions and/or updates to the City of Georgetown Evaluation Rubric for use during the FY 2016-17 Grant Application Cycle. --Suzy Pukys, Board Chair The Board discussed and finalized the Evaluation Rubric, which is attached to the Minutes as Exhibit “A”. F. Consideration and possible action to set any future dates and times for 2016-17 Partnerships for Community Services Advisory Board Meetings--Suzy Pukys Board Chair The Board will meet on Wednesday, July 6, 2016 beginning at 9:00 a.m. City Hall Main Floor Conference Room at 113 E. 8th Street, Georgetown, Texas 78626 to begin deliberating funding recommendations. G. Adjourn Motion by Griffin, second by Gambone to Adjourn. As p art o f the review and d is cus s io n, eac h Board Memb er will disc lo s e any c o nflic ts o f interests they may have with regard to any of the agenc ies that ap p lied for fund ing. The Bo ard Memb ers will also vet eac h of the applic ations that were received for comp letenes s and determine its eligib ility for further cons id eration o f a funding reco mmendatio n.
