Welcome/Call to order at 8:43 AM– Karen Soeffker, CVB Board Chair Legislative Regular Session 2. Discussion and possible action regarding approval of the July 8, 2021 meeting minutes - Karen Soeffker, CVB Board Chair Motion by Wilson, second by Triplet to approve the July 8, 2021 meeting minutes. Approved 4-0 (Fisher was not present for vote) 3. UIL State Soccer Tournament Hotel Occupancy Grant Follow-up Report Presentation - Cari Miller, CVB Tourism Manager Item pulled from agenda 4. Discussion and possible action to approve a Hotel Conference and Meeting Grant for the Texas Association of County Engineers and Road Administration (11/15-18/2021 - Cari Miller, CVB Tourism Manager Based upon the number of room nights projected at the Sheraton Austin Georgetown Hotel & Conference Center the group is eligible for up to $2,500. Grant funds will be used to offset a portion of the expenses of the conference. Motion by Fisher, second by Wilson to approve the grant application for a maximum reimbursement of $2,500.00. Approved 4-0 (Triplet abstained) 8/12/2021 5. Discussion and possible action to approve a Hotel Conference and Meeting Grant for the Stockade Summer Convention 2022 (7/10-14/2022) - Cari Miller, CVB Tourism Manager Based upon the number of room nights projected at the Sheraton Austin Georgetown Hotel & Conference Center the group is eligible for up to $2,420. Grant funds will be used to offset a portion of the expenses of the conference. Motion by Fisher, second by Wilson to approve the grant application for a maximum reimbursement of $2,500.00. Approved 4-0 (Triplet abstained) 6. Discussion and possible action to approve a Hotel Conference and Meeting Grant for the Texas Association of School Boards HR Services Academy 2022 (11/6-8/2022)- Cari Miller, CVB Tourism Manager Based upon the number of room nights projected at the Sheraton Austin Georgetown Hotel & Conference Center the group is eligible for up to $1,565. Grant funds will be used to offset a portion of the expenses of the conference. Motion by Fisher, second by Wilson to approve the grant application for a maximum reimbursement of $1,500.00. Approved 4-0 (Triplet abstained) 7. Discussion and possible action to approve a Hotel Conference and Meeting Grant for the Texas Association of School Boards HR Services Academy 2023 (11/5-7/2023) - Cari Miller, CVB Tourism Manager Based upon the number of room nights projected at the Sheraton Austin Georgetown Hotel & Conference Center the group is eligible for up to $1,617. Grant funds will be used to offset a portion of the expenses of the conference. Motion by Fisher, second by Wilson to approve the grant application for a maximum reimbursement of $1,500.00. Approved 4-0 (Triplet abstained) 8. Discussion and possible action to approve a Hotel Conference and Meeting Grant for the National Association of Royalty Owners (7/19-22/2022) - Cari Miller, CVB Tourism Manager Fort Worth CVB is offering this organization a $5,000 incentive to book in Fort Worth. The Georgetown CVB guidelines for this grant do allow for exceptions to be made. After much discussion, the following motion was made. 8/12/2021 Motion by Fisher, second by Wilson to approve the grant application for a maximum reimbursement of $5,000. Approved 4-0 (Triplet abstained) 9. Discussion and possible action to approve changes to the Hotel Conference and Meeting Grant Application Guidelines - Cari Miller, CVB Tourism Manager The Georgetown Sheraton has recently lost two conferences to College Station and Fort Worth. Both cities are offering large incentives. Discussion was held regarding the pros and cons of changing the grant guidelines to increase the maximum grant amount, which is currently $2,500. Following much discussion, the Board decided to leave the guidelines as is and use the CVB Board exception if needed in the future. 10. Staff Report - Cari Miller, Tourism Manager • Hired Rachel White as the Group Sales Coordinator and she will start on Aug. 30 • POPPtoberfest - October 1 - 3 o Dysfunction Junction will play Friday night o No Parade for this event o Music will be on three stages o Saturday night: Brave Combo, Two Tons of Steel, Dale Watson o Pet Parade on Sunday Adjournment Motion by Soeffker, second by Blanck to adjourn the meeting at 9:17 a.m.
