October 12, 1993 12: 00 p.m.
Library Board Room
Present: Jean Marie Mendez, Morton Icing, Mary Beth Huba, Tomi
Spence, Tresa Long, Mary Pat McLaughlin, Robert Horick (arrived at
12: 15)
Absent: Pat Ball, Martin Beeman, Rhonda McCollough
The meeting was called to order at 12:10 p.m.
1. Morton king moved and Jean Mendez seconded approval of the
minutes as circulated. The motion passed unanimously.
2. Jean Mendez reported that library resources helped a friend
of hers to diagnose the illness of her dog, enabling her to get the
dog to the veterinarian in time to save its life.
Mary Beth Huba expressed her gratitude for the help the
library has given her in her job as school librarian.
Note: Bob Horick arrived at 12:15 p.m.
3. Mary Pat reported that the Budget had passed as expected.
' 4. Tomi Spence reported on the Long Range Planning Committee
meeting held September 27. After some discussion, the Board decided
that it would not be necessary to schedule another meeting of the Long
Range Planning Committee before the next meeting of the Advisory
Board.
Mary Pat is preparing an application for the J. Frank Dobie
Award.
5. At Morton King's suggestion, the first sentence of the
Statement of Policies will be,changed to read: "It is the purpose of
the Georgetown Public Library to provide the City of Georgetown a
pleasant community facility in which to read, choose books and other
Library materials, request assistance from Library staff, attend
Library programs, use the copying machine or use the meeting rooms."
Mary Pat will check with the City Attorney to determine whether or not
it would be appropriate to change the title "Statement of Policies" to
"Code of Conduct".
6. Further discussion of the Advisory Board job description will
be postponed until after Christmas.
7. There were no expenditures to be dealt with this month.

8. CTLS Lay Representative John Uuer will provide a written
report to the Board on the CTLS meeting held September 24 and attended
by John, Jean Mendez and Awry Pat McLaughlin.
Jean Mendez thanked Tomi Spence for the updated index of Board
minutes.
Tresa Long moved to adjourn at 12:55 p.m., seconded by Bob
Horick and passed unanimously.

MONTHLY REPORT
LIBRARY SERVICES DIRECTOR
OCTOBER 1993
ADMINISTRATION
The staff participated in two sessions of the Program Review. On
October 1 the staff reviewed the organization patterns and the
qualities we wish to strive for as supervisors and employees.
On October 8 Lisa Miller -Gray, Volunteer Services Coordinator of
the Austin Public Library, presented a workshop on getting,
training, and keeping volunteers. Library Board and GIVE Board
member Tomi Spence and a Librarian from Cedar Park also attended.
Ethel Barnes attended training in Dallas on the new ILL system.
Mary Pat McLaughlin attended a Team Building Workshop sponsored by
the City.
The City Council approved the appointment of Jean-Marie Mendez as
Alternate Lay -Representative to CTLS.
Mary Pat McLaughlin attended a staff meeting of the Southwestern
University library staff to discuss ways of sharing information and
ways of serving the two sets of patrons.
PERSONNEL
Karen Breslin is on leave after the birth of her son, Quinn
Anthony. A temporary staff member will be hired to work until her
return.
COLLECTION
All current adult magazines in the display area were placed in
opaque covers.
PROGRAMMING
An exhibit on Hispanic Heritage included items from many countries
loaned by staff and patrons.
St. Helen's Ballet Folklorico presented a dance program for the
children's story hour.
BUILDING
The couches in the Children's Room have been recovered in a stain
resistant material using funds provided by the Library Board.
FRIENDS OF THE, LIBRARY
The Friends of the Library will suspend meetings until after the
holiday season. New officers will be elected in the spring.

October 12, 1993 following Advisory Board Meeting
Library Board Room
Present; Jean Mendez, Morton King, Mary Beth Huba, Tomi Spence,
Tresa Long, Robert Horick, Mary Pat McLaughlin
Absent: Pat Ball, Martin Beeman, Rhonda McCollough
The meeting was called to order at 12:55 P.M.
1. The following corrections were made to the minutes of the
previous meeting: In item 3, the name Mark was changed to Mard
In item 4, the final two sentences of the last
paragraph should read "Jean Mendez will investigate this for us, and
will assist Mary Pat in making the request. The motion was seconded
by Tresa Long and passed unanimously."
Bob Horick made a motion to approve the minutes as corrected.
The motion was seconded by Jean Mendez, and passed unanimously.
2. Jean Mendez has prepared and presented to IBM her proposal
that the company donate a laser printer to the Library. She expects a
response this week. IBM would require that we (the 501(c)(3) Board)
buy the printer, then would reimburse us for the cost. Robert Horick
moved to accept this proposal after funds are approved by IBM. Morton
King seconded the motion, which passed unanimously.
Mary Pat reported on a proposal from our sister city of
Lyndoch, Australia to exchange books about our respective areas. The
Lyndoch library proposes to send books totaling $100.00 Australian.
Jean Mendez moved to send books to Lyndoch worth $100.00 American,
with a 10% to 15% leeway to cover shipping charges. Morton King
seconded the motion, which passed unanimously.
3. The VCR on the Chubb security cameras broke down in August.
Chubb has sent us a repair bill for $537.37, saying that insurance
will not cover the cost of repairs as the damage was due to an Act of
God (a lightening strike). Bob Horick will communicate with Chubb on
this issue, and the Board chose to delay payment of the bill until Bob
makes his report.
The low bid for providing library computers was submitted by
Austin Computer, Following a lengthy discussion about the brand of
computers the Board should approve purchasing, it was decided to defer
a decision until Bob Horick can speak with Georgetown Information
Services Coordinator Jeff Clausius about the computers.
Morton King moved to adjourn the meeting at 1:20 p.m., seconded
by Tresa Long and passed unanimously.
