HomeMy WebLinkAboutMinutes_LAB_06.11.1991GEORGETOWN PUBLIC LIBRARY BOARD June 11, 1991, 12:00 noon Library Board Room Present: Mary Beth Huba, Nancy Snead (presiding), Pat Ball, Judi Shanklin, Jean-Marie Mendez, Morton King, Tomi Spence, Mary Pat McLaughlin, Robert Horick (arrived late). Absent: Amelia Washington The meeting was called to order at 12:10 p.m. After a motion by Jean-Marie Mendez and a second by Mary Beth Huba, the minutes of the previous meeting were approved unanimously. Discussion was held on the art guild policy. Jean-Marie Mendez made a motion that the policy be approved with the following additions: 1. Insurance coverage for display items is not provided by the Georgetown Public Library or the City of Georgetown. 2. The Board of the Georgetown Public Library reserves the right to request removal of any items from display. Judi Shanklin seconded the motion, which passed unanimously. Mary Pat McLaughlin asked for the use of $1800.00 from the gift money fund; $1300.00 of which would be used to purchase new books through September, with the remaining $500.00 to be used to start a Spanish Language collection. Morton King moved for approval of the expenditures, Jean-Marie Mendez seconded. The motion passed unanimously. Mary Pat McLaughlin reported that the security gates are now operable, meaning that the main doors will have to be left unlocked when the meeting room is in use. The revised meeting room policy is ready to be taken before the city council. Discussion was held on the subject of issuing free library cards to Literacy students who live outside Georgetown's city limits. This was agreed to with the stipulation that the tutor accompany the student applying for the one year card. Mary Pat will ask the Literacy Council to provide a list of the tutors to the library. Morton King moved to approve this policy. Mary Beth Huba seconded the yV motion, which passed unanimously. li Mary Pat McLaughlin reported that circulation numbers have risen substantially, creating a need for increased funds to update and expand collections. She also reported that the City Council has approved the Board's recommendations on changes to the Century Plan. Tomi Spence reported that the Friends of the Library book sale held June 7 & 8 in the library courtyard netted proceeds of $166.02 after expenses of $20.83. Mary Pat reported that the Men's Garden Club will finance and supervise landscaping of the library grounds by the Boy Scouts. Discussion of library cards for city staff was deferred until the July 9 meeting. BUILDING Work on the security gates is complete after a second visit from the repairmen to adjust the locking spines and anchor the last panel inside the closet. In checking the air handler for the children's room, A-1 has found several problems in the E,7stem, including a bad damper motor, bad thermostats, crossed wiring, and dirty compressors, and now another regulator for the compressor. After several trips, they are close to a better control of our air temperature. The humidity will still be a problem until replacement parts are received. One of the front windows was broken during mowing, but has now been replaced. Since we have had so much trouble with the security system, 3M allowed use one free repair/analysis visit. The final word is that 2 of the 4 panels need to have the "main board" replaced at $1200.00 each, plus they would still need at least 2 visits a year to check the alignments. It is probable that the false alarms we have experienced are caused by radio equipment at the Police Station. No remedy .is possible, and this continued problem prevents 3M from issuing a maintenance policy. PERSONNEL Natalie Martin is our new Library Aide, replacing Sam Denman Monico Gonzales and Bruce Miller will be working for 7 weeks through the Employment Resources program. Monico will be shelving for Joy, and Bruce will be helping Brenda with shelving and other projects. Our paid staff has also been aided by a number of great adult volunteers who come on a regular basis. Bernice Archer works on weeding cards from the old catalog. Yvonne Ortiz, a Southwestern student gaining training working with kids,, has been helping Brenda supervise the Teen Volunteers. Cottie Bell Israels and Sandra Staton have been reading shelves and shelving in the Children's area. Morton King has been reading shelves in the adult non-fiction. Lee Sparks is working on the weeding project mentioned below. Candy Louive comes in the evening to shelve. We also have a constant turnover in community service volunteers performing a variety of tasks. We would be in serious trouble without all these grea:� volunteers. . AD14INISTRATION Several of the staff completed a three-week seminar on parent - child communication offered by the City. Several Board members and i participated pated 4n the Governance workshop presented by John Carver. Peg and I have been working with Dynix or, resizing all files on the computer. We were running come checks on the computer and found we were down to 5% of our available memory. After deleting some temporary files, and having Dynix resize some of the partitioned space for our permanent file.-, we are back up to 25% available. This will hold us until next year, but at that time, we will probably need to add an additional $20,000 disk drive. COLLECTION The weeding is underway in the children's non-fiction. We have also received some volunteer help for th-J,.s project in the form of a professional school librarian, Lee Sparks, who is off for the summer. We received a $500 gift from Don and Clara Scarbrough to add to the Large Print and Audio Tape collections. PROGRAMMING The Summer Reading program is well underway. 488 children and mothers were here for the opening programs of puppets shows and magic shows. We had to ask a few mothers to step out to make room for a few more kids. Other popular programs were sand painting and seed painting on crafts day, The Teen volunteer group is smaller this year, with 14 in each of the 2 sessions. The smaller groups allows a chance for better training. These volunteers, in addition to their work, have received training sessions including an orientation on library skills, a 3-hour program from the D.A.R.E. officer, and a 2-hour session on learning story -telling. FRIENDS OF THE LIBRARY' The cast for Mystery night is complete. Serious rehearsals will start August 29. The writing contest for Sth and 9th graders, sponsored by Barbara Seever, is in progress. Awards will be presented August 12.
