The minutes of the Dec.4,'90 meeting were approved as submitted (moved by J.Shanklin, 2nd by N.Benold)' 2. A donation of $250 has been received by the Library for the ~~ purchase of children`s science and history books~ J.Moendez moved that the following purchases from the gifts funds be made: $250 for chiIdren"s science 8" history books; $100 for the National ChiIdrem's Book Council registry and for the materials to make a "book worm" puppet: and up -to $400 for a VCR (N.Benold 2nd). The motion was approved. The National Children"s Book Council is a registry of childrem's books bibliographies, programs, & displays' It will cost $45. Cable television has dedcided it will air our children's story time on cable television, so the staff is making a puppet for these story -times for television, at an approximate cost of $55' Finally, $1,500 had been budgeted for the purchase of a televison & VCR for the Library' However, for $1,500 the Library can obtain a large screen television, which will be easier for groups to view' Therefore the VCR will be acquired from the gift fund' ^ GEORGETOWN PUBLIC LIBRARY 808MARTIN LDTBEDKING GEORGETOWN,TX78626 PBONG5l2/863-3l68 GEORGETOWN PUBLIC LIBRARY BOARD, page two January oe, 1991 Note: MaryBeth Huba arrived O 12:35 « 3. The Collection Development Plan has been sent to all Board members for review. This plan was developed from the survey and from the actual circulation statistics. The plan indicates the following roles for the Library: a Popular Materials library , which includes materials of high interest and fiction for all age groups; a Children's Center, which is a preschoolers' "door to learning" and reading; an Independent Learning center, which supports independent learning projects, & has a strong non-fiction collection, such as "how-to" books; a Reference Library, which provides reference & information services; and Other Activites, such as having the meeting room available for community groups. It was noted that young adults do not use the Library very much currently. This is being addressed: it will be considered a cross between the popular materials area thigh interest items) and the children's area (due to age). A special section of the Library may be separated by a glass wall for sound control. This area would be redecorated to better suit the young adults. Materials of interest to young adults would be added to the collection. However, it was noted that "Cliff Notes" will not be included in the collection. Finally, a volunteer program may be implemented to provide home -work help and tutoring, which may be coordinated with the High School parent group currently providing this service. The Mission Statement on the Collection Development Plan was revised to read as follows: "To provide recreational and informational materials, services, and programs to patrons of the Georgetown Public Library." J.Shanklin moved that the Collection Development Plan be approved as revised (MB.Huba 2nd). The Plan was approved as revised. GEORGETOWN PUBLIC LIBRARY, page three January 08, 1991 4. The City Attorney has reviewed the Art Committee's proposal, and has determined that the Library Board does not have the authority to establish such an independent committee. Only the City Council has the authority to establish such a committee. As we want to keep the art policy simple, we will not recommend the establishment of such a committee. Instead, we will return the project to the Board's art committee (R.Horick & A.Washington) for another approach. A basic policy is needed, and the liability problem must be addressed. A working subcommittee could be utililized, with reports and final authority resting in the Library,Board. We suggest the current art committee consult with the Art Guild, local banks, and the R.R. Library, as all display art, and may have an acceptable policy for our use. 5. The Library Directors report has been mailed to all Board members. Some additional comments regarding registration were made: the computer currently does not clear -out patrons registered but who no longer use the Library, so the totals on record may be high. But the Directors report only addresses current registrations. MaryPat and Hartley Sappington went to the Library & Information Services Conference, and Hartley was elected as an alternate delegate to the Washington conference to be held in July. The staff has visited the Round Rock Library to be better able to aid patrons regarding the Reciprocal Borrowing Agreement. b. It was noted that Feb.13 is "Legislative Day", and that any patrons wishing to speak to the legislators regarding the importance of Library funding are urged to attend. It will be held in the Radisson Plaza Hotel. Registration is due Jan.15 to obtain an informational packet. This information will also be given to the "Friends". The meeting was adjourned at 1:15. Respectfully submitted: J n-Marie Mendez cretary 4b MONTHLY REPORT LIBRARY SERVICES DIRECTOR JANUARY 1991 BUILDING No new problems to report. PERSONNEL Rebecca Greer resigned to return to live with her mother. Denman has been hired as Library Aide. Sam Brenda Miller -Clark requested temporary part-time employment in order to spend time with her son. She will be working 20 hours/week until July 1, 1991. The City has agreed to hire a temporary part-time person to work in the afternoons and Saturdays during this period. ADMINISTRATIVE DUTIES Fifteen Round Rock patrons have registered for Georgetown privileges under the Reciprocal Borrowing agreement. The beginning of the project has gone fairly smoothly. Hartley and I attended the Texas Conference on Libraries and Information Services in Austin on January 4. Hartley was elevated to delegate and represented us well in the Government Official meetings. He was elected as an alternate delegate to the White House Conference in July. Nancy and I attended the CTLS membership meeting in Bastrop January 30. AUTOMATION The CTLS Union catalog has finally arrived. Round Rock holdings are listed in this CD-ROM as well as Austin, Waco and partial holdings of several small libraries. In response to everyone's concerns over Operation Desert Shield, the Library has provided television news coverage for our patrons. Colortyme has loaned us a television,,which has been turned to news coverage when available and Cablevision will be installing lines as soon as possible. The new National Geographic Atlas is available near the TV forrreference. 1 I have addressed two local groups about the Library this month. I spoke to the Kiwanis on January 16 and the Country Club Area Neighborhood Association on January 31. The PTA Cultural Arts competition winners were displayed in the meeting room from January 25--31 and the Williamson County Gem and Mineral Society materials are currently on display. Dr. Lois Parker was invited to speak to a group at Stonehaven and chose to speak on the Library. She and I selected a group of craft and how-to books which she used in her talk. FRIENDS OF THE LIBRARY The Friends reorganization steering committee met January 14 to review a second draft of the by-laws in preparation for a general meeting in February.
