RE: Request for Funding from the Georgetown United Way Agency
Dear Ms. Vaciavik:
Thank you for the opportunity to request funding from your agency. We appreciate having been notified in
time to be part of this process. I have found most of the requested support documentation. However, the
Library 501(c)3 group has never, to the knowledge of the present members, been audited nor have they
prepared budgets. This year will be the first time funds will be budgeted for specific projects. That will,
however, take place during the upcoming meetings in August and September. I have spoken with the
Board Chairperson and she will be happy to answer any questions.
Again, thank you for the opportunity to participate in this process. The Library is dedicated to serving the
community in any way we can, and we appreciate your financial assistance.
Sincerely,
Sheila Ross Henderson

To the Library Board, May 4, 1995
We would like to request assistance with planning a trip to the Exchange and Gifts division of
the Library of Congress this summer. Martin Beeman has offered us the use of free tickets on
Southwest Airlines. I called the Library and found out the following information:
We may take advantage of their program by presenting a letter of introduction naming the
persons choosing the books and the name of our institution. We must also register and give our
tax ID number. There is no limit on the number of books we can choose, which may be either
new or used. There is no list or catalog to what is available. The books chosen will be boxed at
the Library. I have spoken to Congressman Lamar Smith's office, and they will provide franking
labels for free shipping of the materials.
The room where the books are kept is open 124 Monday through Friday. We would like to
suggest spending two days viewing and selecting materials and two days of travel time for the
trip.
Dixie Hanna, who does our ordering, and I would like to go on this trip. We would welcome
the opportunity to explore the Library of Congress and what they have to offer us for future
services, as well as have the chance to choose books for the library collection.
Estimated costs are:
3 nights at Capitol Hill Suites, across the street from the Library of Congress and
recommended by staff member there. With an LC discount, a studio suite (2 double beds, full
kitchen) is 114.50/night. 343.50
Food, $50 per person per day. 400.00
Transportation from airport, misc. 50.00
TOTAL
$793.50
Proposed dates for the trip are Monday July 31, 1995 through Thursday August 3,1995.
We hope that you will consider this at your next meeting.
