Library Board Room
Present: Jean Marie Mendez, Tomi Spence, Mary Beth Huba, Martin
Leeman, Tresa Long, Morton King, Pat Ball, Mary Pat McLaughlin
Absent: Robert Horick (excused), Rhonda McCollough
Called to order at 12:00 p.m.
1. Morton King moved that the minutes be approved as circulated,
seconded by Pat Ball and passed unanimously.
2. Mary Beth read a letter of thanks from Mard Herrick of the
Georgetown Parent Education Project for the support given by the
Library and Board for his organization's Parent Education Month in
November.
3. Jean Mendez moved to accept the Display Policy concept with
some editing to be done per the Board discussion, and a final form to
be mailed to each member for consideration and final approval prior to
January 31. If any member strongly objects to the final form of the
Display Policy after the editing procedure, a special meeting of the
Board will be called.. The motion was seconded by Morton King and
passed unanimously.
4. The motion which Morton Ding made at the previous meeting
(and which was tabled) was read by the secretary; "...that the opaque
covers be removed from the magazine collection immediately."
Following vigorous discussion of this motion, a vote was taken and the
motion failed unanimously.
Martin Beeman moved to recommend to the 501(c)(3) Board that it
approve the funds to purchase carousels for the magazine collection so
that the magazines may be moved from their current location in the
library and the opaque covers removed as soon as possible. Jean
Mendez seconded the motion, which passed with Morton King opposing.
Morton King moved that this Board address the City Council -to
urgently request that the Council reimburse the 501(c)(3) Board for
the purchase of the magazine carousels. There was no .second, and no
action taken.
5. Jean Mendez moved to approve the purchase of "Butterflies:
How to Attract Them" and "The Butterfly Garden" with money given by
the Red Poppy Garden Club to the City Gift Fund. Martin Beeman
seconded the motion, which passed unanimously.
6. The Calendar of Actions was discussed and some changes made
for -the coining year.

7. Mary Pat announced that the CTLS Advisory Council has two
openings yet to be filled. Our Lay Representative would be eligible
for one of these positions if' he is interested. She also gave the
final draft of the Materials Selection Policy to each of the members.
8. I'lary Beth Huba appointed a nominating committee consisting of
MorLon King and Martin Beeman. They will present a slate of officers
at the February meeting.
The members were reminded that the meeting day and time will
change beginning with the meeting in February. The next meeting will
be Monday, February 14 at 6:30 p.m.
Tresa Long moved to adjourn at 1:05 p.m., seconded by Martin
Beeman and passed unanimously.

Please tell us how you determine the community need for services for which you are
requesting funding:
The Library annually conducts informal surveys of patron and potential patrons. The Director
participates in community programs that identify and address community deeds. The Childre's
Services Coordinator meets with children, parents and appropriate groups to determine whether
programs and material are meeting the needs of those we serve.

JANUARY 1994
ADMINISTRATION
Mary Pat McLauglin attended a CTLS Planning Committee retreat and
the CTLS annual membership meeting.
PERSONNEL
Karen Breslin returned from maternity leave.
COLLECTION
The Library closed for three days of inventory. The staff was able
to inventory every book on the shelves. Both the Round Rock Public
Library and Southwestern University Library loaned portable
equipment for use during the inventory. For the next few weeks,
the staff will be locating and correcting any problems and
misplaced items reported by the computer.
The inventory was accompanied by a second Amnesty Week to encourage
return of long -overdue items. During Amnesty Week, November 29--
Dec 7, patrons returned 991 books, compared to 674 books during the
previous week. During Amnesty Week, January 17 - 24 patrons
returned 742 late checkins books, compared to 590 during a
comparable week.
New magazine carrousel shelving, purchased by the 501(c)(3) Library
Board was received. The magazines were moved to the new location
near the middle of the main section and the plain white covers were
removed from the magazine holders.
Members of APO, a service organization at Southwestern University,
and several citizen volunteers provided many hours of pre -inventory
help to assure the books were in order for the inventory.
The VITA tax volunteers began providing free tax service on
Saturday January 22. The AARP volunteers will start in February.
Both groups will continue until April 15.
PROGRAMMING
Cub Scouts and a school group visited the Library for tours_
Tom Clifton, local wood carver, provided a story hour and short
demonstration for the children.

January 11, 1994 following Advisory Board meeting

Present: Morton King, Pat Ball, Jean Marie Mendez, Tomi Spence,
Mary Beth Huba, Martin Beeman, Tresa Long, Mary Pat McLaughlin
Absent: Robert Horick (excused), Rhonda MoCollough
The meeting was called to order at 1:05 p.m.
1. Martin Beeman moved that the minutes be approved as
circulated, seconded by Pat Ball and passed unanimously.
2. Jean Mendez reported that the check from IBM for the purchase
of a laser printer had been received. The Board thanked Jean for her
hard work on this project, and agreed to send a thank you note to IBM
for this generous donation.
3. Mary Pat had spoken to Bob Horick about the NEC computer --
which the city recommends, and he agrees that they would be fine for
the Board -to purchase.
4. The contract with Chubb and the financing of our security
cameras needs to be re-evaluated by the Board in the coming months.
5. Martin Beeman moved to purchase magazine carousels for the
Library, (the amount will be approximately $1686.00 with shipping and
handling), seconded by Jean Mendez. The motion passed with Morton
King opposing and Pat Ball abstaining.
Pat Ball moved to approve the purchase of "Current Biography"
from 1978-1993 for approximately $912.00, and "Masterplots Definitive
Revised Ed." for approximately $450.00. Martin Beeman seconded the
motion which passed with Morton King abstaining.
6. Martin Beeman and Morton King will serve as a nominating
committee for the 501(c)(3) Board, and will present a slate of
officers at the February meeting.
Pat Ball moved to adjourn the meeting at 1:25 p.m., seconded by
Tresa Long and passed unanimously.
