Georgetown Public Library Advisory Board Library Meeting Room April 8, 1996 Present: Amy Anderson, Martin Beeman, Allene Booth, Nelda Burson, Elizabeth Gray, Sheila Henderson, Leah Merrifield, Sally Riddle, and Sharon Sanders Absent: Jeff Kilgore, Rebecca Pfiester Chairperson Amy Anderson called the meeting to order. The minutes of the February 12, 1996 meeting were approved with the correction of Sally Riddle's name to Riddle from Riddles. Sheila Henderson reported that she recently received positive feedback regarding the Library staff from a patron. Amy Anderson reported on the work of the Long Range Planning Committee. The Committee has been hard at work and plans to have a final draft report to the full Library Advisory Board for the May meeting. The Committee is working on a 5 year plan which will hopefully accommodate Georgetown's anticipated growth. Anderson asked the Board members to think about projects and priorities for the library for the coming years. Ideas/areas Board members suggested were: Sun City, the need for a larger physical facility, and a children's librarian. Anderson reminded the Board that the focus of the Long Range Planning Committee (LRPC} is "where do we want the library to go and how will we get there?" The idea of fundraising carve up, and it was noted that Library fundraising has traditionally been done by the Friends of the Library. Nelda Burson noted that the LRPC is also looking at alternatives ways for the 501(c)(3) to function. Library Director Sheila Henderson reviewed the statistical handouts presented to the Board and indicated that the format of the information can be modified as the Board needs. Board members suggested having statistical comparisons for the last two years in addition to current information and noted that the graphics Henderson used made the reports/figures clearer and more readable. Henderson noted that the new staff member Mandy, who handles book processing, acquisitions, and systems management would be attending dynx training. Also noted: Lee Sparks has been promoted to assistant directorfreference librarian and there are two staff positions to fill (full-time public services librarian and part-time staff assistant.) Board members thanked Henderson and Elizabeth Gray for their efforts in upgrading and expanding Library staff positions. The Library Kids Club has gotten off to a fair start. It meets on Wednesday at 4:30 p.m. Also noted by Henderson: Celebrity Day on April 19, 1996 from 11-2, the amnesty program has gone well so far, and Sparks and Henderson will attend TLA in 2 weeks. The Board noted the excellent local publicity the Library has received recently and suggested that a history of the Library's media attention be kept. Allene Booth moved to adjourn and Martin Beeman seconded the motion. Residents of Georgetown provided a variety of lovely quilts for the display and library staff assembled quilt books from the collection to complete the exhibit. Bob Hart, City manager, attended the March b staff meeting of the Library. He distributed service award bonuses to two employees, Judy Fabry and Dixie Hanna. Amanda "Mandy" Lancaster, began work as the Technical Services Librarian on March 11. The Library staff discussed and planned the organization of a Library Kid's Club, with the intent of channeling some of the energy of our youth toward productive tasks. Due to commitments of members, we canceled the library board meeting scheduled for March 11. Lee Sparks was hired as the reference librarian and promoted to Assistant Director. Her new title, effective April 8, is Assistant Director/Reference Librarian. STAFF - Out and About! Lee Sparks and Sheila Henderson met with Mr. Peter Rolls, Sun City resident, regarding Internet training for staff and the public. Mr. Rolls is offering his assistance as well as assistance from Del Webb management. Details still remain to be worked through. The City's Board and Commissioners Dinner, held on March 7, was attended by staff members Dixie Hanna, Judy Fabry, Lee Sparks and Sheila Henderson On March 8, Sheila Henderson visited the following stores 'and merchants to solicit gift items for the library's kids programs: Bealls, Walmart, HEB, B's Hallmark, Eckerd's, and Merl Norman. Sheila Henderson met with Brian Pearson of the Williamson County Sun to solicit on his Sunday morning radio program and pre -taped the 30 minute interview on March 13. Lee Sparks, Michelle Crider and Sheila Henderson met with Pat Tuohy of CTLS on March 18 to develop goals and objectives for the Long Range Planning Committee to review On March 20, Sheila Henderson compiled a report and gave it to Rebecca Pf ester who represented the library's needs to the Facilities and Services Planning Group. Mandy Lancaster, Lee Sparks and Sheila Henderson participated in the City's Budget Workshop on March 25. On March 22, the library staff and IS Coordinator, Jeff Clausius met with Carrie Pearson of Ameritech Dynix to discuss and plan the upgrade to the new release of Dynix. On March 25, Sheila Henderson met with Holly Hammett of United Cerebral Palsy Association, to discuss hiring opportunities for her clients. Lee Sparks participated in a two-day Conversational Spanish workshop held on March25-26. A Team Training workshop was attended by Esther Wilson, Kathleen Bresnan and Sheila Henderson on March 26-28. The Library was closed on March 29 for in-service. PROGRAMMING Spring Break Programs planned by Rosa Garcia were well attended and enjoyed by all. Guests included a magician, animals and a tortilla maker! Storytimes for March included: Let's Read About: Texas (Make your own film), St. Patrick's Day (Make a green pancake), Spring Time at the Pond (Make a duck hat), and Animal, Animals, Animals (Make a jumping bear). VOLUNTEERS Illnesses plagued the volunteer group during March. However, we still appreciate them! FRIENDS OF THE LIBRARY The Friends of the Library group is preparing for the annual book sale. FUTURE PLANSM The Library is holding a Celebrity Day on April 19 to introduce city and county officials to library patrons and vice versa. The purpose is to garnish support for the library. During the entire month of April, we are offering Amnesty to all patrons who have overdue books. We ask that patrons contribute nonperishable food items that Nve will give to the Caring Place. Georgetown Area Library Board 501(c)(3) Library Meeting Room April 8, 1996 Present: Amy Anderson, Martin Beeman, Allene Booth, Nelda Burson, Elizabeth Gray, Sheila Henderson, Leah Merrifield, Sally Riddle, and Sharon Sanders Absent: Jeff Kilgore, Rebecca Pfiester Chairperson Amy Anderson called the meeting to order. The minutes of the February 12, 1996 meeting were approved with the correction of Sally Riddle's name to Riddle from Riddles. Burson reported that the LRPC is considering restructuring the 501(c)(3) as a foundation for financial support of the Library. Henderson presented a request to the Board for the purchase of Robertson's Colony, which is authored by a local resident and would become part of the Texana Collection, Beeman moved approval of the request and Leah Merrifield seconded. The motion passed unanimously. Henderson next presented a request to the Board for the purchase of a color printer for Library office use noting a color printer allows for nicer and more professional looking printed information. Beeman moved that the Board allow Henderson up to $500 for the purchase of a color printer and supplies. Booth seconded and the motion passed unanimously. Burson expressed concern regarding the manner in which the 501(c)(3) has been spending the financial resources of the corporation. The Board noted the need to have clearer distinctions between the Advisory Board, the 501(c)(3), and the Friends of the Library.
