Georgetown Public Library Advisory Board
Library Board Room
June 9, 1997
Present: Sheila Henderson, Nelda Burson, Sharon Sanders, Sally Riddle, Michelle Crider,
Greg Gibbons, Nell Dickson, and Lay Representative Rebecca Pfiester
Absent: Daniel Castro, Martin Beeman, and Amy Anderson

Acting as chair in Amy's absence, vice chair, Nelda called the meeting to order. The
minutes of the May 12, 1997 meeting were approved as written by a motion from Sally
and a secondby Greg; the motion passed.

There were some positive comments about the book parade and how it was covered in the
news paper.
There were no comments from the chair.
There were positive comments on the staff/board retreat.

During the Library Director's report, there were some clarification questions about the
reported library statistics. Sheila answered the questions and said the method of reporting
will be changed to be clearer. Greg emphasized the need for keeping statistics and updates
on the progression / accomplishments of the long range plan. Sheila expressed the need
for board members to be more visible at the Library (attending library functions and
talking with patrons). Greg suggested the possibility of updating the long range plan each
year (removing all accomplished tasks and evaluating the plan). Rebecca suggested that a
"Long Range Plan Issues" period be added to the agenda for each meeting.
Sally moved to adjourn the meeting, Nell seconded, the motion passed.

MONTHLY REPORT
GEORGETOWN PUBLIC LIBRARY
May,1997
lHighlights
Sheila Henderson was among many local business leaders and professionals invited to
be a guest reader for students at Williams Elementary School on May 1. It was a fun and
rewarding event.
Ken Anderson, Williamson County District Attorney, introduced and signed his new
book, Crime in Texas, at a book release party hosted by the Library and Friends of the
Library on May 14.
Staff and Board members participated in a two day retreat at the T Bar M Ranch in
New Braunfels on May 30 and 31. The Development of a Library Foundation, a
proposed budget and a review of the Long Range Plan were several issues discussed by
the group The retreat was facilitated by CTLS Coordinator, Pat Tuohy.
STAFF - Out and About!

Kathleen Bowling gave tours of the Library to Cub Scout Troop 405, and a Brownie
Troop.
i
Sheila Henderson and Lee Sparks attended a reference workshop and planning meeting
sponsored by CTLS at Temple Public Library on May 2.
On May 5, Sheila Henderson attended a follow-up meeting on the disposition of the
shotgun house. Criteria for committee membership was discussed.

On May20, Theresia Elder, Judy Fabry, Kathleen Bowling, and Eric Lashley
attended Del Webb's First Annual All -Employee Health Fair and registered 26 new
patrons.

Sheila Henderson, Eric Lashley, Lee Sparks, Craig Dowell, Rosa Garcia, and Cristy
McNicholas attended a budget workshop sponsored by the Finance department on May
27 and 28.
Ethel Barnes, Kathleen Burnop, Kathleen Bowling, and Eric Lashley attended the
Georgetown Information Volunteer Exchange (GIVE) Volunteer and Health Fair at
Sun City, and registered 41 new patrons on May 28.

On May 29, Sheila Henderson participated in a Georgetown Project grant development
workshop.
ADMINISTRATION

Amanda' Sackreiter started as our new evening and weekend Library Page.
PROGRAMMING
I
In May, Ms. Rosa organized all her activities for the Summer Reading Program. She
plans to have a kick-off parade on the Square, followed by a program & craft at the
Library. !During our Storytime Hour, the children enjoyed wonderful books such as: Baby
Owl/ by M Waddell, Two. Little Train by M W Brown, and M,y Five Sensed by Aliki.
For crafts the children made Hand prints on Tile, box car trains, and paper dogs & cats.
VOLUNTEERS

We can never say enough about our volunteers. Ms. Rosa would like to say thanks to all
her helpers and volunteers who help with Storyhour, and to those who have volunteered
their services during the summer with the Summer Reading Program. She will need all
of you. j
FRIEND'S OF THE LIBRARY
The Friends provided refreshments for the Book signing party in May, and will be on
hand to help Ms. Rosa with the Summer Reading Program.

I
In vestigating connections with Community Businesses, tracking genealogy
resources and developing a computer disk I CD Rom policy.

Present: Sheila Henderson, Nelda Burson, Sharon Sanders, Sally Riddle, Michelle Crider,
Greg Gibbons, Nell Dickson, and Lay Representative Rebecca Pfiester

Acting as chair in Amy's absence, vice chair, Nelda called the meeting to order. The
minutes of the May 12, 1997 meeting were approved as written by a motion from Sally
and a second by Greg; the motion passed.
Discussion of the birthday celebration gala was included in the Library Foundation agenda
item. Michelle made a motion that the gala be tentatively set for October 25, 1997 from �
6pm to 10pm (or later if Sun City will allow) at the Sun City's Six Flags Ballroom. Sally
seconded the motion; the motion passed. Sun City will charge $250 for the ballroom
which can accomodate 400 people for dinner. The approximate cost for dinner is S12 -
$18 per person. The dinner could be buffet or sit-down. The board made suggestions for
speakers. Sheila will try to contact the suggested people. Sally volunteered to bring some
possible designs for the invitation to the next meeting as well as some possible logos for
the library foundation. The board received an Alternative Foundation Proposal for
consideration at the next meeting. The proposal may help in the transition of the board to
the Foundation. The proposal shall be put on the agenda for the next meeting.
Sheila presented a mock budget for the foundation and clarified any questions about it.
Greg presented a treasurer's report in a handout.
The meeting was adjourned by a motion from Sally and second from Nell and a passing
vote.
