Georgetown Public Library Advisory Board Library Board Room March 10, 1997 iPresent: Amy Anderson, Michelle Crider, Nell Dickson, Sheila Henderson, Greg Gibbons, and Sharon Sanders. Amy Anderson called the meeting to order at 6:47 p.m. The minutes of the Feb. 10 meeting were approved with a motion by Nell and a second by Sharon. Two comments from citizens were discussed. First, pertaining to the letter about the senior citizen discount, it has already been decided not to give this consideration at this time. Second, pertaining to a letter dated a year ago, Sheila discussed the progress that has been made: 1. Check-out desk closer to the entrance is in consideration. 2. Back issues of available magazines will be out in the access of patrons as space becomes available. 3. Amnesty is in consideration on a sporadic schedule so that patrons do not take advantage. 4. Sunday hours are being considered and Sheila is working on those figures. 5. On-line Access ... we have access to Austin Public Library and the University of Texas. New Board Members (Michelle Crider and Greg Gibbons) were introduced. The third new member (Dr. Castro) was out-of-town. Sheila initiated a discussion of the Board and Staff Retreat. Several locations are in consideration. Two possible dates were introduced (May 30-31 and June 6-7). It was decided that the June date was better for those present, Sheila will call everyone to set this up. The retreat will be to discuss policies and the budget for the 501(c)(3). The driving to the destination will begin after the library closes on Friday, and Saturday morning will start the sessions. A representative from TLA will be there. Bob Hart, Georgetown City Manager, is in favor of this. Michelle reported on the City of Georgetown 150th Birthday Celebration which will be the first weekend of Oct. 1998. Donations were $20 for a book and $1000 for a piano. plaque will be placed on the piano that states it was donated by Sun City. The house behind the library was discussed by a group consisting of Sheila, a Councilman, a City Employee and citizens. The Mayor announced that it will be donated to the Citizens Memorial Association to make a museum out of it. Sheila stated that she is concerned because of parking problems, bathroom facilities, and who is going to retain control of the building. On March 25th, Council will be looking into it. The construction of the Texana and the Computer Rooms is almost completed. Staff Offices will be started soon. On April 17 at 11:30, Laura Bush will be speaking at the Library as part of National Library Week. Sheila has also invited local celebrities to work behind the circulation desk. The schedule will be similar to last year. Stats for this month were good. It was busy for a short month and the library was closed for two days. There was some discussion on who we could contact for the Library Birthday Celebration. Sharon is taking care of that. ORebecca Pfeister was appointed as a Lay Representative to CTLS for the Board. Michelle will be alternate. Nell moved to adjourn the meeting, Sharon seconded, the motion Passed. Respectfully submitted by Michelle Crider. I am sure the items above will be some capital cost, and time of planning, but hopes and useage of the library is part of a growing community, and many thanks to the LIBRARY BOARD, on the time and effort in this direction.... MONTHLY REPORT GEORGETOWiti PUBLIC LIBRARY February,1997 Highlights The Library observed Black History Month by hosting a program on February 17 that included demonstrations and presentations by local artists, musicians, a chef, speakers and much more. The program received very positive comments and was covered in detail by the Williamson County Sun. Craig Dowell began work as head of Technical Services on February 17. Construction of the Texas History and Computer Room began February 27. Completion is expected by early March. . STAFF - Out and About! Sheila Henderson attended a meeting with Assistant to the City Manager Murray Blackman, Council Member Shelley Davis, and two local residents on February 9 to discuss possible uses for the shotgun house located directly behind the Library. On February 11, Judy Fabry and Eric Lashley attended the TLA Legislative Day at the Capitol. Eric Lashley attended a Literacy Council meeting for Celebrate Literacy Program volunteers at the Round Rock, YMCA on February 15. Eric handed out certificates to those Georgetown citizens involved in the program. On February 26, Sheila Henderson attended a strategic planning session for members of the GISD Site -Based Committee. Library Staff attended a day and V2 workshop on affective communication February 27 and 28. The workshop was conducted by Jean Knight. Rosa Garcia and Kathleen Burnop attended a Summer Reading Program workshop in Austin on Friday, February 28. 11 ADMINISTRATION Kelly Loomis was hired as library assistant.. PROGRAMMING Black History Month was celebrated at the Library on February 17. We enjoyed listening to a children's choir, and other local talent for stories and songs, viewed art displays, tasted great home cooking from a local chef, and as a special guest, Mr. Joseph C Parker, Jr. was invited to speak to our group. Mr. Ben Stafford was our Master of Ceremonies and he kept everyone guessing as to what he would do next. He gave out prizes for trivia questions, and kept the show moving along from event to event. VOLUNTEERS On Wednesday, February 19, two students involved in the Business Link Program were on hand for the day to work in the Library along side the staff Eric Lashley kept them busy shelving books, and doing other everyday duties as needed. Our volunteer staff has been most helpful in the Technical services area getting those new books out to our collection. M On Monday, February 17, the Friend's served refreshments at the Black History Program. They are also asking for donations for their up coming book sale in April. FUTURE PLANS!!! Sheila Henderson has been invited to speak at the Delta Gamma Tau monthly meeting to be held at Carver Elementary on March 3. Boards and Commissions Banquet is scheduled for March 6 at 6:30pm, at the Sun City Georgetown Village Center. Construction of staff offices is scheduled to begin March 7. Staff will attend the Texas Library Association in Fort Worth, April 7-11. First Lady Laura Bush will be guest speaker at the Library's Celebrity Day on April 17. 0 Georgetown Public Library 5 01 (c)(3) Library Board Room March 10, 1997 Present: Amy Anderson, Michelle Crider, Nell Dickson, Sheila Henderson, Greg Gibbons, and Sharon Sanders. Amy Anderson called the meeting to order. The minutes were approved by Sharon and seconded by Nell. A report was given by Nell concerning the Foundation. Notes, proposed forms, and the by-laws were handed out and read. Attorney Randy Grimes might assist in the paperwork, Greg Gibbons has considered taking the position of Treasurer, the official vote will take place at the next meeting with the necessary quorum. Gift money expenditures were reported in the meeting handouts. The Board was invited to look at the two new rooms. The meeting was adjourned by a motion from Nell and a second from Sharon, the motion passed. Meeting adjourned at 7:50 p.m. Respectfully submitted by Michelle Crider.
