HomeMy WebLinkAboutMinutes_LAB_02.10.1997Georgetown Public Library Advisory Board Library Board Room February 10, 1997 Present: Amy Anderson, Sheila Henderson, Nelda Burson, Sharon Sanders, Rebecca Hester, Martin Beeman, Sally Riddle, and Michelle Crider. Absent: Nell Dickson, Jeff Kilgore. Amy Anderson called the meeting to order. The minutes of the December 3, 1996 meeting were changed to read (in paragraph 5) "The library will not be updating new board member's notebooks with past meeting minutes and handouts." The minutes were approved with the changes by a motion from Nelda and a second by Martin. There was one comment from a citizen: the library received a complaint about the text of a bulletin board. Sheila reported that the library patron was satisfied with discussing the issue with her and submitting a written complaint. No action will be taken on this matter. A copy of Sheila's response to December's comment from a citizen was presented in the meeting handouts. It was noted that the next board meeting is during spring break. If you know that you cannot attend, call Sheila or Amy as soon as possible. The meeting may be moved to the following monday. The board agreed to forego the formal nominating process for electing officers. The following elections were decided by majority votes. Amy Anderson - Chairperson Nelda Burson - Vice Chairperson Sally Riddle - Secretary Because reviewing the Reconsideration and Code of Conduct forms would be time- consuming and because there are many other policies that need to be reviewed, Sheila presented the idea that the board meet on a weekend in a retreat setting to do some of these lengthy reviews. Martin made a motion that Sheila look into the options for time, date, place, and cost of the retreat. Sally seconded the motion and it passed. There were no donations reported and Sheila presented the director's report as written with the note that they are interviewing to fill a recently vacated staff position. Sheila mentioned if we wanted to have input on the retention process for certain librars- documents. The board decided to allow the current retention policy to stand for now. Board reappointments were discussed. It was decided that it might be beneficial if board members had some input into the selection process for new board candidates. Board members were asked to contact Mavor Leo Wood regarding this matter. n U Michelle Crider reported on recent activities of the Friends of the Library. Michelle also announced the upcoming book sale. Sheila noted that the library will be having special activities Monday, February 17, 1997 in honor of Black History Month. Mulock 3021 Addie Lane Georgetown, Texas 78628 Dear Mr. Mulock: I have reviewed your complaint regarding reading materials written by author Jake Logan and your request to remove the books from the shelves. These books were chosen and added to the collection within the scope of the library's selection policy: The author is a popular one and these books have circulated often. This does not mean that we agree with the eontent.or the presentation of the content of materials found in this book or any of the books in our library. It does mean however, that the patron must use his or her own judgement in determining the type of material they wish to read. If a particular author's writing is objectionable, then perhaps we can assist in finding another author whose writings' better suits your reading preference. The Library attempts to provide materials for all members of the community, without exclusion. We hope that you understand our position with this matter and will continue to be a patron of the library. I sought the library board's advice regarding your request and they concur with the decision not to remove the books. If you wish to bring this matter before the board, they welcome the opportunity to speak with you. We will hold the next board meeting in the Library Board Room Monday, January 13, 1997, at 6:30pm. A Volunteer Appreciation Day, held on December 10, was attended by approximately 30 volunteers, past, present, and those interested in participating in the Library's volunteer program. Assistant Director, Lee Sparks, was chosen as this years' Information Resources Employee of the Year. The sprinkler system next to the children's area overflowed causing water to run down the walls, into the library and onto shelves located next to the walls. Approximately 400 books received some water damage. Of the 400, about 100 were irreparable. The search for a new head of Technical Services ended with the selection of Craig Dowell, associate director at SouthArk Community College in El Dorado, Arkansas. Mr. Dowell is expected to assume duties here on February 17. The Library is now connected to the City's network, which allows us access to an internal E-mail Program. STAFF - Out and About! Library Staff attended the annual Employee Recognition Luncheon on Friday, December 13. On December 13 and 14, Sheila Henderson attended a workshop on Censorship sponsored by the Texas Library Association. Dynix Catalog Training was held at the Library on December 17-19. Esther Wilson and Lee Sparks attended. Lee Sparks, Eric Lashley, Cristy McNicholas and Sheila Henderson met with Vicky . Robinson in December and January regarding our records retention schedule Sheila Henderson and Judy Fabry attended an Advocating for your Library workshop in Killeen, on Friday, January 17. On January 24, Judy Fabry, Rosa Garcia, and Kathleen Bowling attended a Multi cultural Meeting in Rockdale. Sheila Henderson was guest speaker at the annual observation of Martin Luther King, Jr. Day hosted by Southwestern University and the Fellowship of Churches organizations on January 20. ADMINISTRATION Kathleen Burnop was hired as library page, part-time. PROGRAMMING In December Ms. Rosa was very busy preparing her Christmas Open House. Her program included local talent from the community and even had the neighborhood children gather for a song or two. The Friends' and Library staff helped by donating cookies and other goodies for the occasion, and joined in with the singing. During the Story hour the children listened to the readers and enjoyed making hats, snowmen, and other neat project idea's with Kathleen Bumop and Helen McHugh. VOLUNTEERS On December 10, Eric Lashley organized an appreciation luncheon for all the volunteers of the Library to thank them for all the hard work they have done for us in 1996. Door prizes were given out and Mr. Leo Wood was our volunteer of the year for 1996. Eric also outlined several new projects that we will be starting up for the new year and welcomed anyone who is interested in joining our volunteer team. It wasa very enjoyable afternoon with lots of good food and fun for all. FRIEND'S OF THE LIBRARY The Friends' hosted a book review of 3 very talented local authors, on January 27. The authors were: Ellis Posey, Marjorie Von Rosenberg, and Helen Jackson. FUTURE PLANS! r r Attendance at the annual Texas Library Association sponsored Legislative Day, February 10 & 11. • Black History Month Program to be held on February 17. Absent: Nell Dickson, Jeff Kilgore. Amy Anderson called the meeting to order. The minutes of the December 3, 1996 meeting were changed to read (in paragraph 3) "The Texana room will cost an estimated S4184 and the computer room will cost an estimated S4600. After some discussion, the board approved that $8784 be allocated for enclosing the Texana and computer rooms..." The minutes were approved with the changes by a motion from Sally and a second by Martin. Report from the Steering Committee was tabled at the request of Nell Dickson The construction of the two enclosures will begin soon. The library will need to be closed until noon each day for one week when the construction actually starts. The board discussed purchasing cataloging software. Sheila reported the cost of a networked version of the software and a modem to make it useable totals $1395. Martin made a motion that the board allocate up to $1500 for the purchase of this software and hardware. The discussion included the fact that this should be a budgeted item and Sheila indicated that there was not a way to budget this item in time for this year, but it will be included next year. The board is only purchasing a modern and a 1-year license for 2 users. The discussion also included concerns about spending money that may be needed for a future foundation or board to be able to attract more money. Rebecca seconded the motion and the motion passed by a unanimous vote. Gift money expenditures were reported in the meeting handouts. The board voted to keep the same officers as in the Library Board. The exception is that Amy Anderson was asked to contact Nell Dickson to see if she would be willing to be nominated for Treasurer of the 5016 board. Sheila let the board know that the library received a donation of $1,000 from Del Webb for the purchase of a piano. The piano is in the main meeting room. The meeting was adjourned by a motion from Sally and second from Martin and a passing vote. Respectfully submitted by Sally Riddle.
