HomeMy WebLinkAboutMinutes_LAB_08.12.1996Georgetown Public Library Advisory Board Library Board Room August 12, 1996 Present: Amy Anderson, Nelda Burson, Sheila Henderson, Jeff Kilgore, Rebecca Pfiester, Martin Beeman, and Sally Riddle Absent: Allene Booth, Leah Merrifield, Elizabeth Gray, Sharon Sanders Chairperson Amy Anderson called the meeting to order. The minutes of the July 8, 1996 meeting were approved as written with a motion from Martin and a second by Nelda. There were positive comments from a citizen presented by Sheila and no comments from the Board Chair. There was no report of the Steering Committee in the absence of Allene Booth. it was also noted that this item should be tabled because it is to be brought up in the 50 1 (c)(3) meeting. Sheila reported that the budget submitted by the library has been tentatively approved by the city council. It includes 1) allowance for four new part-time employees which are needed to cover weekend and evening hours and 2) $11,000 for book purchases. The expenditure of gift funds report was presented and discussed. Martin introduced a question regarding how to set up a gift fund in the name of Harry Gold. Rebecca and Martin agreed to look into this and to inform the Williamson County Sun. Nelda pointed out that one of the Gift Fund donor's name should be changed from "Mi. & Mrs. William S. Lott" to "Judge William S. Lott". Sheila reported that the library will be closed September 3 - 6 while the library goes through a computer system conversion process. The summer reading program will be scaled down next year. This summer's program required too many of the library's resources. After visiting the archive section of the Round Rock Library, Sheila recommended that the library should not pursue efforts to move that collection to the Georgetown Library. Sheila Henderson attended a neighborhood meeting with Chief Hesser on august 1, to discuss library opportunities for youth. Library Staff attended the APLICTLS Staff Development Day can August 2. program planning session in preparation for the TLA District HUCTLS Fall Membership joint meetings was attended by Sheila Henderson onAugust 5. On August 9, Lee Spars attended a Telecommunications Infrastructure meeting in San Marcos, Sheila Henderson and Elizabeth Gray met with. Kevin Marsh can August 13 to discuss the roll the Library should or should not be playing in the development of the proposed Community Information rmation Network-, Sheila Henderson met with the Friends' group on August 15, to discuss the purchase of a laminating machine for the Library, In August 15, and 19, Sheila Henderson attended Georgetown Project meetings. Can August 21, Lee Sparks attended a web design class at Sun City. Lee Sparks attended the MAIN sponsored web raising workshop on Saturday, August 24 Sheila Henderson attended the Council 96/ '7 Budget meeting on August 26, On August 26, Mandy Lancaster, Ralph Love, and Ethel Barnes attended a boob preservation demonstration at the Library Lee Sparks attended a Loss Control workshop on August 27, sponsored by the Safety Commission. On August 29, Sheila Henderson, Lee Sparks, Eric Lashley, and Mandy Lancaster attended a City wide Drug and Alcohol seminar at the Library, ADMINISTRATION The following positions recieved reviews and upgrades during the month of August - library assistants - circulation (salary adjustment), acquisitions assistant (salary adjustment), acquisitions and cataloging assistant (salary adjustment, grade change), library page (position change, salary adjustment, grade change), assistant library director (grade change), and technical services librarian (grade change). Monica Rulshi er resigned the position of Library Page in order to return to college. PROGRAMMING August has been a quiet month for the Library Children's department. Ms Rosa has been gathering ideas for her fall programs, and recovering from her hectic summer program. Starting on September 12, the Children's Children'storytime will once again begin: VOLUNTEERS Our Tech Support staff has enjoyed having a number of volunteers for the past few weeps. Their help is greatly appreciated in entering and deleting books which gives us a head start on our inventory for September. FRIEND'S OF THE LIBRARY The August meeting of the Friends' was held to discuss the amendment of their bylaws. They also have planned a fund raiser and a social gathering for later this fall. Elections are also corning up, and nominations are welcome for new officers: FUTURE PLANS!!! Inventory of the library's collection will be conducted September 3 through September 6. Staff will lead sessions and participate as hosts of the TLA District HUCTLS Fall Membership joint meetings to be held September 28, 1996. Contract signing and installation of release 153 of the Dynix system will begin in September. Respectfully submitted by Sally Riddle MONTHLY REPORT GEORGETOWN PUBLIC LIBRARY July 1996 lHighlights July saw the culmination of the Summer Reading Program after many weeks of fun and educational activities and programs. Ms. Rosa and assistant, Karen McCreless are to be commended for the magnificent job they did in promoting this year's Olympic theme: Ready... Set ... READ! A record was set for the number of activities and programs offered by the Library. There were over 500 registered participants, with attendance well over 100 for each of the special programs. Local merchants responded generously to the call for donations of food, prizes, and money. STAFF - Out and About! On July 8, Sheila Henderson participated in a group discussion hosted by the Georgetown Project Committee. Sheila Henderson shared information with the technological sub -committee of the Georgetown Project on July 11, held at GISD Administration Building. Teresa Hersh, Human Resources Director, began staff development training for the Library staff on July 11. On July 15, Elizabeth Gray and Sheila Henderson met with Bob Hart to discuss alternative funding opportunities for the Library. Elizabeth Gray, Lee Sparks, and Sheila Henderson met with Kevin Marsh of Information Access Institute to discuss community networking opportunities on July 22. Mr. Peter Roll of Sun City, began Internet Training for members of the Library staff on July 23. He will offer 3 to 4 interactive sessions in the next couple months. Mr Hugh Lewis of Georgetown Internet, also met with the staff and extended an offer of two free Internet accounts for staff members' use. Details are in progress. Sheila Henderson attended a 96/97 Budget meeting conducted by City Manager, Bob Hart, on July 24th. Lee Sparks and Sheila Henderson visited the Round Rock Public Library genealogy collection and attended the CTLS reception for Children's Coordinator, Susan Nyfeler, on July 26. Sheila Henderson attended the Texas Library Association's Annual Assembly, on July 28 and 29. She is secretary for TLA District III and Local Arrangements Chair for the District H meeting to be held in Georgetown in September. ADMINISTRATION Kathleen Baldwin -Bowling was hired as the Evening/Weekend Services Supervisor and began work on July 1. Children's Camp. Arts and crafts galore! Everything from pizza, to bird houses, to fish mobiles. Karen McCreless, Ms Rosa's Assistant has shared many of the creative talents with us during this Olympic summer. In July, the kids exercised to the beat, viewed bikes exhibited by the Young Dreamers Club, watched movies, attended a real -live puppet show, and enjoyed story hours. They also were given a tour of the Airport, enjoyed country music and animals, and learned about Disc Golf. To conclude our summer, they attended a great Lasso show in San Gabriel Park. VOLUNTEERS The Library has developed a core of youth volunteers this summer. We are really excited about having dependable, courteous and dedicated youth helping us to shelve and clean books and many other activities. Mandy has been especially pleased with the number of volunteer hours of assistance she has received. All this help has enhanced the number of books we have added to circulation. The Friend's were involved in the Summer Reading Program and were a great help to Ms Rosa. Their time and efforts were greatly appreciated in making this years program a success FUTURE .PLANS! /! Staff will attend the Austin Public Library/CTLS Staff Development Day on August 2. Sally moved to approved the minutes from the July 8 meeting, Rebecca seconded, the motion carried. The financial report was tabled until September's meeting. Jeff will have copies of the most recent financial report available before the next meeting. The library made a request to the board for $3,800 to enclose three sections of the library with glass walls. The sections are 1) computer area 2) magazine / reading room 3) Texas History collection area. The board discussed the following changes to the request: 1) not to enclose the magazine area with permanent walls, but to possibly arrange shelves in such a way as to designate the area as separate and 2) to enclose the Texas History collection area as a much larger section of the library. The board recommended that the library resubmit its request at the next meeting with the above considerations. The library has requested $2500 from the United Way. This brought to light the question of whether or not the 501(c)(3) board should be paying taxes or submitting any statements to the IRS. Amy will call the city attorney to find out more on this. Nelda volunteered to check with the board's last treasurer to see if this has been dealt with in the past. The computer purchased for the library by the board is on order and has yet to be received. The meeting was adjourned following a motion by Martin and a second from Jeff.
