HomeMy WebLinkAboutMinutes_LAB_07.08.1996Georgetown Public Library Advisory Board Library Board Room July 8, 1996 Page 1 Present: Amy Anderson, Allene Booth, Nelda Burson, Sheila Henderson, Sally Riddle, and Sharon Sanders Absent: Jeff Kilgore, Rebecca Pfiester, Martin Beeman, Leah Merrifield, Elizabeth Gray Chairperson Amy Anderson called the meeting to order. In the absence of Leah, Sally volunteered to take the minutes for the meeting. This led to Sally being elected as Board secretary (effective upon Leah's resignation from the Board) by a motion from Sharon and a second by Allene. The minutes of the June 10, 1996 meeting were approved as written by a motion from Sharon and a second by Allene. There were no comments from citizens presented and no comments from the Board Chair. Sheila presented some background information about the enclosure of the Children's Area and the enclosure of the Computer Section of the library. She reported that the Children's area is slated to be enclosed by a glass wall and doors and that there will be a separate office there for Rosa. Sheila stated that because of 1) noise and 2) security issues, the Computer Section will also need to be enclosed. This issue is currently a priority B with regard to the library budget and therefore is not likely to happen. The estimate for enclosure of the Computer Section is approximately $3,000. Board members discussed the reason why journals are not kept on public display in the main part of the library. Sheila asked the board where it stands on censorship issues specifically regarding the selection and/or display of a specific magazine issue. The board discussed the need for clarification of library policy regarding selection and display criteria for journals. Members of the board found and read the library policy. Sheila stated that she would make it a priority to have a policy handbook readily available to the public. Sheila spoke briefly about the letter from Georgetown Library in Scotland. She reported that the city manager has provided a key to the city as well as some Georgetown, Texas information and souvenirs. The library will dedicate a day in the near future to promote the library's relationship with the Georgetown library in Scotland as well as communicate with them via the Internet. The expenditure of gift funds report was presented and discussed. Georgetown Public Library Advisory Board Library Board Room July 8, 1996 Page 2 The library director's report included: 1) mention of the article about Georgetown Public Library in the CTLS newsletter 2) many improved circulation statistics 3) high participation in the summer reading program 4) accolades for the new staff members and the great job they have been doing. The meeting was adjourned by a motion from Allene and a second from Nelda. Respectfully submitted by Sally Riddle for Leah Merrifield MONTHLY REPORT GEORGETOWN PUBLIC LIBRARY June 199 Highlights Eric Lashley and C"risty McNicholas joined the Library Staff on June 3. Eric is the new librarian in charge of Public Services and Cristy is the new Staff Assistant. Both are major assets to the library: The Summer heading Program kicked off to a great start with super programs and wonderfully clever crafts. Big and small kids have enjoyed the activities held thus far: Many more events are planned for July. Community support is being gathered to organize a "Gala vent" to benefit the Library. The initial response has been enthusiastic. The color printers purchased by the Board were installed on June 25 They are expected to serve us well. GreenThumb Worker, Donnie Radford, left the library's employment on June 26. Donnie had been our chief book processor since September 1995. STAFF - Out and About! Sheila Henderson attended the Texas State Library Sumner Reading Program ickOff on June 3, 1996. She also visited the CTLS office. Mandy Lancaster attended Dynix training at Provo, June 3-4. Eric Lashley and Sheila Henderson participated in the City sponsored Hospitality 7rui inn on June 12. Sheila Henderson was in attendance at the opening ceremony of the 131st Juneteenth Celebration in Sail Gabriel Park, where Council member Shelley Daviswas guest speaker. Judy Fabry attended a grant writing workshop in;Rosebud on June 21. ADMINISTRATION Sheila Henderson submitted an article about the development of the Long Range Plan to CTLS to be included in the next issue. An article about the GPL is being written for submission to either the Texas Library Association Journal or the American Libraries publication. Sheila Henderson has agreed to serve as a member of the Georgetown Project. PROGRAMMING Children's Camp. The Summer reading program kicked off on June 6 with approximately 500 registrants, and fun activities held in San Gabriel Park. The theme this year is Ready...Set ..READj, with emphasis on Olympic activities. You will find great displays in the Library with examples of each craft to be made and the date on which we will demonstrate it. For June Ms. Rosa scheduled many exciting guests to demonstrate such activities as Karate, Judo, Fencing, Aerobics, and Gymnastics. Next month will sure to be just as exciting, with many, many more fun ideas. VOLUNTEERS Judy Fabry and Ethel Barnes report that volunteers have been focusing their attention on helping to reduce the backlog of books in Technical Services. Ruth Niedermeier is our most recent volunteer. Ruth has been helping to process books, which is an area that has needed assistance since Mandy and Esther have been steadily cataloging those new books. We certainly do appreciate Ruth, and all our other veteran volunteers. FRIEND'S OF THE LIBRARY The Friend's members have supplied food, money, decorations, time and energy toward the success of the Summer Reading Program. In the absence of Leah, Sally volunteered to take the minutes for the meeting. Sally moved to change the phrasing in the meeting minutes of June 10, 1996 from "making money" to "raising funds". The minutes were approved with the change by a motion from Sally and second by Allene. A board member mentioned that 501(c)(3) policy states that the president of the Friends of the Library is to bean ex-officio member of the 501(c)(3) board. Amy said she will speak to the FOL president to discuss the issue. As the chair of the foundation steering committee, Allene asked for volunteers from the board. Sharon volunteered to be on the committee. Members of the Friends of the Library and Sun City residents as well as Morton King were suggested as potential foundation steering committee members. Sharon moved that discussion of the financial report was tabled until the next meeting due to lack of information and Jeff's absence; Sally seconded and the motion carried. Allene thanked Nelda for the talents, experience, and history that she brings into the board meetings. The meeting was adjourned by a motion from Allene and a second by Amy.
