Meeting Minutes
May 13, 2002
In Attendance: Judy Parks, Dorothy Hagen Jackie Cuozzo, Judy Griffith, Georgene Richaud, and Jerry
Sensabaugh. Lee Sparks Assistant Library Director was also present
The meeting was called to order at 6:33 PM.
Approve Minutes:
The minutes from the last Advisory Board meeting were reviewed. Jackie Cuozzo moved and Dorothy Hagen
seconded a motion for the minutes to the last meeting to be approved. The minutes were approved unanimously.
Director's Report:
In the absence of Edc Lashley, Lee Sparks presented the Director's Report. The library is receiving training in the
new computer system, Horizon. They will go live soon The Volunteer Breakfast was a big success Thirty-five
people attended. The library is ready to start the summer reading program. Enc Lashley attended a meeting of
Georgetown Plus and he also made a special presentation at TLA.
The Friends of the Library held a very successful book sale recently. Judy Griffith reported that the sale resulted
in $3600.
City Council Workshop
Judy Parks initiated the discussion of a workshop to be held with the City Council. It would be best to have the
workshop prior to the next meeting with the Council, which is on July 9"' The subject of the workshop will be the
Library's Long -Range Plan. After discussion, Jerry Sensabaugh moved and Judy Griffith seconded a motion to
have the workshop on June 24t' at 4PM. The motion passed unanimously.
Summer Recess
The question was raised about whether the Library Advisory Board will take a summer recess this year. After
some discussion, A motion was made by Dorothy Hagen that we have a recess during July and August, Judy
Griffith seconded the motion. The point was raised that his would not give us the opportunity to discuss the results
of the workshop with the City Council. Jerry Sensabaugh amended the motion to call for a recess in August and
September. The motion was passed unanimously. The last regular meeting before the recess will be July 8th.
Dorothy Hagen then moved and Judy Griffith seconded a motion that our June meeting be held on June 24"'
instead of June 10"'. The June 24th meeting will be held concurrently with the Workshop with the City Council.
Judy Parks announced that in preparation for the Workshop with the Council, Enc Lashley will send out revised
copies of the Long Range Plan.
There being no further business, Jerry Sensabaugh moved and Judy Griffith seconded a motion to adjoum at
6:56 PM. The motion camed unanimously.

HIGHLIGHTS
• Staff began training on the Horizon automation system on April 2 and continued through April 11. Each
staff person attended at least one 8-hour session on the part of the system with which they will have most
contact.
• Horizon went live on April 18 with no major problems. System administrator, Lee Sparks, has been
working daily since then to fix problems as they come up. We are still waiting for the software for the
public catalog.
• Staff put on a thank -you breakfast for the library volunteers on April 17. About 35 people attended. Rosa
Garcia, children's services coordinator, had a pizza party later that week for the teenage volunteers.
STAFF ACTIVITIES
• Eric Lashley attended the meeting of Georgetown Plus on April 16.
• Eric was in Dallas April 23-25 for the annual conference of the Texas Library Association. Sara Samson,
who is treasurer of TLA District 3, attended the conference April 25 and 26.

• Thirteen volunteers came to the aid of staff' on April 18 and 19 as the new automation system went on
line. For the previous three days, staff had been unable to check in any materials, so a large backlog had
accumulated. The volunteers put the 2,000+ books into shelf order and loaded them onto carts so that
they could be checked in by staff. Then they shelved everything. By noon on the 19t' we were back to
operating normally, thanks to the many extra hours of labor that the volunteers gave us.
