Eric Lashley, library director, was also present. Chairperson Judy Parks called the meeting to order at 6:30 PM. Approval of Minutes: Jerry Sensabaugh moved and Zora Evans seconded a motion to approve the minutes of the previous meeting as distributed. The motion passed unanimously. Director's Report: Eric explained the new library policy changes concerning due dates for videos, DVDs, music CDs, new books, and for fines. Patron response has been positive. Verizon Foundation is giving $5000 to the library for large print materials. The library will begin its second year of the Dell Foundation Grant, which is $25,000 for computer usage. Eric explained an upcoming work-study program in which students from Southwestern University will work at the library in the evenings to help and work with local teens. The program will start in mid -January and will probably be on Monday and Wednesday evenings from 4-8 PM. The library catalog system will be upgraded soon so that patrons can renew books on-line from their homes. Web page use has gone up. A new web page design will be coming in January. Eric met with the presidents of the Friends and Foundation to consider Joint fundraising for the library and ways to promote a Library bond election. The Friends Walk-a-thon in October raised over $700 for the library. The Children's Fall Party at the library was featured in the Williamson County Sun. It was sponsored by Latinos Unidos, an Hispanic student group at Southwestern University. On December 23 the computers will be down for one half day for upgrading the Horizon software. Memorial donations in memory of patron Judy Eagle were quite significant. The family would like to memorialize her in a significant way in our new library. Gerald Carson has resigned from the Library Board due to moving out of the city. This leaves an opening on the Board; applications are available at City Hall. Date for Upcoming Retreat: Zora Evans moved and Jerry Sensabaugh seconded a motion that the Board recommend Saturday, January 24, 2004, as a possible date for a retreat with the Library Board, Library Foundation, Friends of the Library, library staff, City Council and administrators. The motion passed unanimously. Review of October 27th Workshop with City Council: Judy Griffith reported that the City Council seemed receptive and appreciative of our report and handout. There were questions about bond election date, about coordination of efforts with Southwestern, about ideas for promoting a Bond election, and about ideas for library fundraisers. It was suggested that the Board meet again with the City Council in the spring to clarify these ideas. One Book Campaign: Enc is working with Dana Hendrix at Southwestern University concerning an author for next year and ways to jointly promote a One -Book Campaign. Judy Parks suggested that Eric write a letter to President Jake Schrum thanking him for his support of cooperative efforts between the hbrary and Southwestern, and enumerating some of the joint projects underway to date. Georgetown Project Meeting: Eric will be meeting with the director of the Georgetown Project to promote the work-study program discussed above and to promote the cooperation of the Georgetown Project in helping with this program and others already in existence, instead of the Project's starting a new Teen Center of their own. The next meeting will be on December 8, 2003, at 6:30 PM. Adjournment: Georgene Richaud moved and. Zora Evans seconded a motion to adjourn the meeting. The motion passed unanimously and the meeting was adjourned at 7:20 PM. Respectfully submitted, Judy Griffith, Secretary DIRECTOR'S MONTHLY REPORT GEORGETOWN PUBLIC LIBRARY October 2003 HIGHLIGHTS • Kate Di Pronio, the new cataloging librarian, began working on October 13. She is doing excellent work and has significantly increased the output of new children's materials. Now the book processors are having trouble keeping up, so we are actively recruiting volunteers to help them. • The Friends' preschool walk-a-thon (around the Courthouse Square) on October 18 raised more than $700. Everyone who participated had a good time and the event probably will be held again next year. • Eric Lashley completed three days of Horizon systems administration training on October 16. The trainer was able to resolve or explain many of the problems with Horizon that the staff had identified and Eric learned how to make changes to the system and use its reporting functions to good advantage. • On October 30, most library items that previously had checked out for 7 days were changed to 14-day loans. This included new books, videos, and DVDs. Music CDs were changed to 21 -day loans. Fines on videos and DVDs, which had been $1.00 per day, were reduced to 100 per day. Patron response to the changes has been good. STAFF ACTIVITIES • On October 24, Gretchen Pruett and Sarah Samson attended the TLA fall membership meeting that was held in Temple. VOLUNTEER ACTIVITIES • Members of Latinos Unidos, a service fraternity from Southwestern University, put on a fall party for children of all ages on Friday, October 31. Attendance was down from previous years, probably because the event coincided with Halloween. • Three teenagers, Katy Moore, Thomas Moore, and flah Jefferson, have joined the ranks of the regualrvolunteers. They are helping in both adult and children's areas. Most often our teen volunteers only work during the summer. • GEORGETOWN PUBLIC LIBRARY Comparative Fiscal Year Statistics 2003 Oct Nov Dec Annual Total Patron Visits Current Year 20914 20914 2002-2003 17509 14213 12863 224208 2001-2002 17185 15144 11835 206478 2000-2001 18889 13893 11335 183296 (see notes below Circulation 2003 Current Year 25571 25571 2002-2003 28599 23345 20787 318820 2001-2002 27339 22579 19706 330503 2000-2001 23448 21099 20707 322238 FY 2003-2004 Statistics Children's Programs Annual Total Attendance 775 775 Programs 2 2 Story Time 9 9 Other (four, Movies, Crafts) 1 1 After School Programs 5 0 Other Services ILL Ordered 40 40 ILL filled 40 40 Lg Print Circuit 0 Internet usage (persons) 3686 3686 • Reference Transactions 577 577 Volunteer Hours Adult 299.00 299.00 Teen 51.25 51.25 Community Service 57.25 5725 Total 407.50 0.00 0.00 407.50 Registrations City Residents -new 88 88 GISD Kids' Cards 15 15 Non -residents -new 20 20 Non -residents -renew 63 63 Total 186 0 0 186 Cash Receipts Fines/Misc. He's missed 3 meetings but one absence was excused. He told Eric orally a couple of weeks ago that he is resigning because he is getting a divorce and has moved away from Georgetown. He said he'd send a letter of resignation but he hasn't done so. He also told Judy Parks, the chair of the Board, that he was resigning. Judy Fabry Administrative Assistant Georgetown Public Library 512-91-352 jkf@georgetowntx.org 0 Library Advisory Board/City Council Workshop 10/27/03 • Thank you for joining us in this workshop concerning The Georgetown Public Library • Thank you for making Sunday hours at the library a priority • Our suggestion for a Bond election date is November 2, 2004 • We have an opportunity in the library to work with students from 4-8 PM. A room is available for students to study and work on computers. The library staff would like to work with Georgetown Project, Resource Officers (GPD), and any others to help these students. A possible activity would be to teach the young people how to design their own web page. The need for a teen center can be met in the library with help from other agencies. • We are interested in suggestions for a proposed mechanism for raising money for the new library- i.e. naming rooms, purchasing new furniture, names on a brick walk. • In the past and at the present time the library is supporting ancillary community programs, for example helping people do their taxes, having the tax forms available to the public. These and other programs help make the community better.
