Georgetown -Public •Library Advisory Board Meeting Minutes December 8, 2003 In Attendance: Nancy Varljen, Ema Fielder, Jackie Cuoz7o, Judy Griffith, Georgene Richaud and Judy Parks. Library Director, Eric Lashley, was also present. Chairperson Judy Parks called the meeting to order at 6:30 PM. Approval of Minutes: Ema Fielder moved and Georgene Richaud seconded a motion to approve the minutes of the last meeting as distributed. The motion passed unanimously. Director's Report: * The library recently sponsored a children's essay contest. The winning essay will be posted on the newly revised web site. The revisions to the library web page include a `kid's page." * The library will be adding an on-line children's catalog after Christmas as well as a Spanish version of the catalog. * The children's Gingerbread House Contest is going on now. * Two four -session basic computer classes will be added in January. A volunteer will teach two classes a week. More advanced computer classes for all ages continue to be offered. * A Reference Intern from the University of Texas will start in the new semester. * Friends of the Library are donating a new CD cabinet * The library recently received an anonymous $2000.00 donation. * Volunteers and staff have worked hard and have caught up with the backlog of cataloging. New materials have gone onto the shelves. * Tax help at the library will be electronic this year. * The library currently has 13 desktop and 20 laptop computers. Computer use continues to be high. * The children's party featuring Mr and Mrs Claus will take place on December 17. * The library is considering and researching the feasibility of a self -check out system. More information will be available after the first of the year. * The computer system will be shut down for an upgrade on Dec. 23. * Five volumes of the old City Records have been restored. Publicity on this project will come soon. * Two staff members have been trained on book repair. More repairs are being done in- house. *Eric Lashley will meet with the City Manager this week to discuss publishing a "Request for Qualifications' (RFQ) for an architect to design a potential new library. Date for Retreat: The City Manager and Mayor have agreed on January 24, 2004, as a date for a retreat with the Advisory Board, Foundation, Friends, staff and other supporters. It will be held from 8-10 AM at the First United Methodist Church Fellowship Hall. A committee will be formed to sell and publicize a bond election. One -Book •Campaign: The library declined to join with Southwestern University in their visiting author program next year but will join with the Library Foundation in looking at an author senes and One -Book Campaign for the city. Georgetown Project: In cooperation with the Georgetown Project, Southwestern University will be supplying 2-4 students on Monday and Wednesday evenings to work in our library with teens on web page design and other computer uses Bond Commission for New Library: Each City Council Member will select one member to this Commission, with the Mayor selecting two members. Their work will probably start in February. A workshop has been scheduled to set parameters for this Commission. Advisory Board Membership: Reapplication is required for members whose terms are expiring. Board Members are allowed two consecutive terms. Emma Fielder and Zora Evans will be going off the board. Judy Griffith, Jackie Cuozzo, and Jerry Sensabaugh are eligible to reapply. Spring Workshop on Monetary Donations for New Library: The City Council has suggested a workshop to discuss parameters for solicting funds for a new library. Georgene Richaud moved and Jackie Cuoz7o seconded a motion to suggest four potential dates, March 8, 9, 22, or 23, 2004, and to revisit these dates at the next board meeting. The motion passed unanimously. The next meeting will be on January 12, 2004, at 6:30 PM Adjournment: Judy Griffith moved and Ema Fielder seconded a motion that the meeting be adjourned. Respectfully submitted, Judy Griffith, Secretary DIRECTOR'S MONTHLY REPORT GEORGETOWN PUBLIC LIBRARY November 2003 HIGHLIGHTS • Two grants that allow the library to hire staff have been renewed for 2004—the grant from the Dell Foundation and the Library Foundation, through which Sandra Gaiser is employed as the public technology coordinator, and the direct aid grant from the State Library, which will be used this year for a part-time reference intern. • The library received, through the Library Foundation, another grant of $5,000 from the Venzon Corporation. The grant for 2004 is designated for large print materials. • Members of the executive boards of the Friends and the Foundation met on November 5 to discuss cooperative fund-raising projects. • Eleven -year -old Adaire Kamen wrote the prize-winning essay in the contest to celebrate Children's Book Week. The topic was "What 'Free to Read' Means to Me." • Staff spent two mornings this month, before the library opened, processing replacement copies of adult books. They set up assembly lines in the main room of the library and processed approximately two hundred books in about three hours. STAFF ACTIVITIES • On November 14 Maria West and Rita Kirkpatrick traveled to Rosebud to attend a workshop on repairing books. The staff is gearing up to do more repairs in-house so that fewer books will have to be rebound. • Eric Lashley attended a CTLS long-range planning committee meeting in Salado on November 21. The group took the first steps to establish a non-profit Friends of CTLS organization, of which Eric will be treasurer. The purpose of the organization is to raise funds and apply for grants for CTLS and, perhaps, in the future, become the basis for a new kind of governance for CTLS. VOLUNTEER ACTIVITIES • Richard Miller, a former patron of the Georgetown Library, has volunteered to teach basic computer classes beginning in January. The classes will be aimed at senior citizens, but anyone may attend. He has experience teaching senior citizens and comes highly recommended.
