HomeMy WebLinkAboutMinutes_LAB_06.07.2004Georgetown Public Library Advisory Board Meeting Minutes June 7, 2004 In Attendance: Jerry Sensabaugh, Georgene Richaud, Zyg Kasner, Judy Parks, Marsha McGuire, Nancy Varljen, Jackie Cuozzo, Judy Griffith. Eric Lashley, Library Director, was also present. Chairperson Judy Parks called the meeting to order at 6:30 PM. Approval of Minutes: Georgene Richaud moved and Jerry Sensabaugh seconded a motion that the minutes of the regular May 10 meeting and the minutes of the May 22 called meeting be approved as distributed. The motion passed unanimously. Director's Report: Eric Lashley reported that the statistics for May show continued increases in library usage. He also reported that the Friends' book sale netted over $12,000. The Friends have already set the date for next year's sale and have a place to collect and sort books. He noted that the Fnends organization has grown in membership and will start to have quarterly general meetings. The first quarterly meeting will be on September 9 and will focus on the Bond election. Enc explained that the self -check-out computer is operational. Public Internet usage hit a record high and the City is planning to install a separate Ti line for the library. Eric has submitted a formal budget request for additional weekend hours The architect, Chuck Croslin, will be meeting with the Friends and Foundation on June 15, at 7 00 PM in the library, to begin to develop promotional materials for the bond campaign The Friends and the Foundation have created a Bond Campaign Committee. Their work will include a Website to explain the need for a new library. Wednesday, June 2 was the kick-off for the children s summer reading program. More than 400 people attended the event in the park, and there was good publicity covenng the event. Linda Simonson, from the school district, will meet soon with Eric to start a cooperative effort between the school and public libraries. Letters from the Board to Support Grant Applications: The library is applying for a renewal of the Dell grant for technology support and for a new grant from SBC also for technology support The Advisory Board would like to attach letters of support to these applications. Judy Parks submitted several ideas for wording and rationale for the grants. After discussion of these points, Judy volunteered to collect the ideas and compose letters of support. New Library Building Plans: Eric explained that the most recent revisions include a completely finished second floor.. There willbe a limestone facade and a few intenor changes that the library staff requested. A cap on costs has been placed at $10 million. Updated drawings will be available at the June 15 meeting and at the next Advisory Board meeting. Amazon.com.. Wish List. Eric reported that he_ hasposted three books on the wish list for the library. If people have lost a book that cannot be replaced, they can go to Amazon.com and pick a replacement from the wish list. Citizens Bond Committee: Judy Parks explained that the Bond Committee made a presentation of recommendations to the City Council. Hartley Sappington presented the library portion of the recommendation. The Council seemed receptive to the recommendations and officially accepted the report at the subsequent City Council meeting. The Bond Committee will meet on June 8 with the City's bond counsel for training on legalities of what can be done to promote the bond election. The session will be at 5 PM in the City Council Chambers, and all Library Advisory Board members are invited. The legal requirements will pertain to Advisory Board Members as well as the City Council appointed Bond Committee. Ethics Ordinance: Georgene Richaud presented some suggestions and clarifications to the proposed ethics ordinance. These had been discussed at the last Board meeting. Marsha McGuire moved and Jackie Cuozzo seconded a motion that these suggestions be sent to the City Council for their consideration. The motion passed unanimously Training for Promotion of Bond Election: Eric reminded the Board of the training scheduled for June 8, at 5:00 PM in the Council Chambers. It is important that all Advisory Board members understand the legal requirements. For those unable to attend, Judy Parks will review the training at the next Board Meeting. The next Board Meeting will be on July 12, at 6:30 PM. Adjournment: Judy Griffith moved and Jerry Sensabaugh seconded a motion that the meeting be adjourned. The motion passed unanimously. It will be important that representatives of the City (es in Council; boards/commissions and staff) provide facts only. Lee City Secretary City of Georgetown slee a geor etownbc.org (512) 930-3651 Telephone (512) -35 g Fax M r� t S y t a i yy $ s r as } a� t$ rr f #7 ff f DIRECTOR'S MONTHLY REPORT GEORGETOWN PUBLIC LIBRARY May 2004 HIGHLIGHTS • The City Council accepted the proposal of the Citizens Bond Committee for a bond, not to exceed $10 million, for construction of a new library building. • The Friends of the Georgetown Library's annual book sale netted $12,000. • The Friends donated $2000 for the purchase of coaster pagers, which staff will use to manage usage of the laptop computers. • No requested increases in budget lines were approved for the coming fiscal year, but no cuts were made. • Registration for the summer reading program has begun. This year the calendar of summer events is on the library's web page, thanks to an extra effort by the City's webmaster, Erin McDonald. • Sarah Samson, who has been the library's reference librarian since 2000, is now the adult services librarian. • The self -check station is in place and working. • High usage of the Internet at the library is overloading the City's service. The Information Resources department is investigating putting the library on a separate T-1 line. STAFF ACTIVITIES • Rosa Garcia attended a CTLS workshop on May 11 about selecting Spanish language materials. VOLUNTEER ACTIVITIES • Ms. Rosa has ten teenagers who will be helping with the summer reading program. Some of them have already begun working.
