Eric Lashley, Library Director, was also present. Chairperson Judy Parks called the meeting to order at 6:30 P.M. Minutes: Georgene Richaud moved and Jackie Cuozzo seconded a motion that the minutes of the last meeting be approved as distributed. The motion passed unanimously. Director's Report: Eric Lashley reported that August user statistics were increased over last year's. The library continues to be heavily used. He reported that the Friends of the Library held their fall meeting. The library architect gave a presentation of the proposed new library. The Friends' and Foundation's joint committee to promote the bond has yard signs ready for distribution. They also have established a Website: www.yeslibrary.org. There will be advertising in newspapers, cable, etc. Eric also explained that the City will host open houses to explain the bond proposals. There is one scheduled on Sept. 20 at St. John's; Sept 23 at Sun City; Oct 5 at the Community Center; and Oct 6 at Berry Creek. There will be models, drawings, and City staff available to answer questions. There will also be a presentation at the Chamber of Commerce Board meeting on Sept. 27, and at Sun City Kiwanis on Oct. 12. The city has also prepared a newsletter to go out in the upcoming utility bill. Eric also explained that there are now two openings on the Library Advisory Board due to the recent resignation of Zyg Kasner. There are two staff openings. Interviews are being held. Kate Di Pronio recently organized a program targeting teens. Ron Espinosa, an author/illustrator with Antarctic Press told the audience about his work, showed how he does his work, and answered questions. The event was held after library hours to accommodate the audience, which about 50 teens attended. Update on Grants: Unfortunately the library did not receive the requested Dell Computer Corporation Grant, but did receive a $5000 donation. We should hear soon about the SBC Grant. Update on City Budget: The City Council is scheduled to act on the budget on Sept. 14. The expanded hours for the library are still included. The first weekend for expanded hours will probably be either Oct. 17 or Oct. 24. Georgetown Reads!: Five books have been selected as finalists. (Ava's Man, by Rick Bragg; The Tortilla Curtin, by T.C. Boyle; Peace Like a River, by Leif Enger; Guests of the Sheik, by Elizabeth Fernea; and The Things They Carried, by Tim O'Brien.) Public voting will continue until Oct. 15. The winner will be announced on Nov. 1. There will be a kick-off event at the library on Nov. 11. Library Building Plans: Eric distributed a Library Fact Page that will be a handout at the public meetings. The fact page compares the present and proposed library and explains the costs. Meeting with Public School Library Staff: The cooperative program is doing very well and school librarians are requesting public library materials every day. There is increased circulation because of this program. Citizens Bond Committee: Judy Parks reported that there was no news since the last meeting, which presented promotional materials to be used in advertising the bond election. Chamber of Commerce Relations with Library: There was no report due to the absence of Jack Dixon. Sister Library Program: Jerry Sensabaugh reported that he will talk with children's librarian Rosa Garcia about the possibility of starting a pen pal project. Another possibility is email communication. Next Meeting: Jerry Sensabaugh moved and Jackie Cuozzo seconded a motion to move the next meeting date to Oct. 18 because of the holiday on Oct. 11. The motion passed unanimously. The next meeting will be held on Monday, Oct. 18 at 6:30 P.M. Adjournment: Georgene Richaud moved and Judy Griffith seconded a motion that the meeting be adjourned. The motion passed unanimously, and Judy Parks adjourned the meeting at 7:21 P.M. Respectfully submitted, Judy Griffith, Secretary 91tC/Y *1-e.-)64 G2 DIRECTOR'S MONTHLY REPORT GEORGETOWN PUBLIC LIBRARY August2004 HIGHLIGHTS • Marsha McGuire accepted the part-time position on the evening and weekend staff that became vacant when Valerie Ruiz was hired for the vacant full-time position. Although her present position does not require it, Marsha has a degree in library and information science. She also served on the Library Advisory Board from February through July 2004. • Early in August, Eric Lashley, Rosa Garcia, and Gretchen Pruett met with the public school librarians to establish a process for sharing public library materials. The response to the program has been extremely positive and the delivery system seems to be working smoothly. • The library was closed for inventory August I 1 -13. The staff worked from shelf lists to identify which materials are either missing or cataloged incorrectly. This was a departure from the searching methods used in past years and took much longer, but many inconsistencies and errors were found. The catalogers had most of the cataloging errors taken care of by the end of the month. • Planning for the one book/one community program, called Georgetown Reads!, was complete by the end of the month. Voting for the book selection began September 1. Sarah Samson, adult services librarian, is in charge of the project. STAFF ACTIVITIES • On Saturday, August 14, Eric Lashley participated in the clean-up of the Ridge, Track, Grasshopper, and San Jose neighborhoods that was sponsored by the Georgetown United Way. • Eric presented information about the library bond to the Main Street Advisory Board on August 19. VOLUNTEER ACTIVITIES • The help of volunteers during and immediately after inventory was invaluable. They checked in books while the library was closed and came on Saturday to shelve the backlog that had developed. Monday and Tuesday after inventory were the busiest days the library has ever experienced. Without the work of volunteers on those days it would have been impossible to keep up with the number of books being returned. 11 GEORGETOWN PUBLIC LIBRARY Comparative Fiscal Year Statistics 2004 Apr May Jun Jul Aug Sep Annual Total Patron Visits Current Year 23315 21288 24326 28160 19231 236628 2002-2003 19473 19207 22940 27268 17111 18576 224208 2001-2002 17914 18585 19877 20225 15676 15356 206478 2000-2001 19607 20221 19104 22600 16325 13443 183296 (see notes below Circulation 2004 Current Year 26983 26146 36314 33730 26367 302874 2002-2003 25450 27751 32478 34818 25197 25260 318820 2001-2002 28495 29186 33528 34915 27489 25171 330503 2000-2001 24711 29318 34323 34165 26072 24892 322238 FY 2003.2004 Statistics Children's Programs Annual Total Attendance 305 265 2913 1915 0 9694 Programs 0 0 12 9 0 39 Story Time 8 6 3 2 0 52 Other (Tour, Movies, Crafts) 1 2 4 5 0 15 After School Programs 4 0 0 0 0 20 Other Services ILL Ordered 48 28 46 21 47 425 ILLfilled 35 37 32 14 37 355 Lg Print Circuit 200 200 200 200 200 2000 Internet usage (persons; 4057 3791 5410 4915 3821 42992 Reference Transaction: 847 897 1103 1004 394 8093 levolunteer Hours Adult 373.25 443.25 445.25 381.25 417.25 4362.40 Teen 40.00 24.50 306.75 345.50 7.25 958.00 Community Service 139.25 222.50 160.00 180.50 203.50 1381.90 Total 552.50 690.25 912.00 907.25 628.00 0.00 6702.30 Registrations City Residents -new 93 93 157 114 100 1103 GISD Kids' Cards 6 13 45 23 15 171 Non -residents -new 22 20 35 30 24 271 Non -residents -renew 51 46 89 52 46 612 Total 172 172 326 219 185 0 2157 Cash Receipts Fines/Misc.
